The Degree Audit OLAP Report in Argos

Agenda  What is the Degree Audit OLAP Report?  OLAP: On-Line Analytical Processing  Accessing Argos  Running the Degree Audit OLAP Report  Interpreting the Report Data  Navigating the OLAP Cube Extras  Export to Excel  Saved OLAP Settings

The Degree Audit OLAP Report The Banner Degree Audit evaluates each student’s course history and current enrollment and displays which degree requirements he/she has met or not met. Argos is a reporting tool used to extract and present data from Banner. The Degree Audit OLAP Report is a report created in Argos that combines and displays met and not met degree requirements for all currently enrolled sophomore, junior, senior, and graduate degree students. The information extracted is limited to the student’s primary degree program and minor(s).

OLAP: On-Line Analytical Processing An OLAP cube is also defined as ‘a million spreadsheets in a box’. Enables you to change the level of the data you see (detail vs. summary) without generating multiple reports.

Accessing Argos To access Argos, go to https://banrept-prd.campus.bridgew.edu/ and enter your BSU username and password. These are the same username and password that you use to log onto your computer or email on campus.

Accessing Argos Then click the blue button for Argos

Running the Degree Audit OLAP Report Above the folder list on the left, there are two tabs; Explorer and Shortcuts. The Explorer tab shows all the folders you can access. You can click the ‘+’ to expand the list. You can see which server you are logged on to and your username in the bottom right corner.

Running the Degree Audit OLAP Report The Shortcuts tab displays all of the shortcuts you set up for yourself and those that have been shared with you. A shared shortcut has been set up for DegreeAuditSavedState.

Running the Degree Audit OLAP Report Because of the amount of data, a live report takes a very long time to run. To reduce the run time for users, the data is extracted weekly and the report is run from the saved extract. The weekly report is done early Monday mornings. You can select any of the saved dates but it is common practice to use the most recent. Ten weeks of ‘saved states’ are currently active. Select a date and click OK.

Running the Degree Audit Report You should see a cube similar to the one below.

Interpreting the Report Data The report data comes from Banner Degree Audits and includes all sophomores, juniors, seniors, and graduate students who have registered for at least one course in the academic period. It excludes students with a major of NDGR (non-degree) and freshmen. The College and Department columns refer to the students’ majors. Extracted information is limited to students’ met/not met requirements for their primary degree programs and minors. ReqMet stands for Requirement Met. Y is yes and means the student has met that degree requirement. N is no and means the student has not met the requirement. Notes: The requirement will show as met once a student has registered for a course, even if the course is not yet completed. The report will not provide detailed data for flexible program requirements (i.e. elective choices).

Navigating the OLAP Cube Click the ‘+’ to expand the data or the ‘-‘ to contract the data. Filter results to only show ReqMet that equal N to see only those who have not met the requirement.

Navigating the OLAP Cube Click the checkbox next to ‘Y’ twice to make it a red X. Then click the large green checkmark icon below to save the filter.

Navigating the OLAP Cube Now you will see only the ‘N’ column in your report.

Navigating the OLAP Cube As you can see in this image, there are 42 students that have not met their degree requirement by taking CHEM344. You can also continue to drill down by clicking the ‘+’ signs to find out the name and Banner ID for each student.

Extras After executing your OLAP Cube, right click within the cube to display the following options:

Extras: Export to Excel Selecting this option exports the OLAP Cube results directly to a spreadsheet application and displays the results on the screen. There are no input selections for this option.

Extras: Saved OLAP Settings Once you set your cube up the way that works best for you, you can save those settings. This will save you time in the future as you won’t need to remember all the steps every time you login. To save your settings: Right click in the cube. Select Saved OLAP settings Click Save Current OLAP settings Enter a name and description.

Extras: Saved OLAP Settings To use previously saved settings:
