2 1. PURPOSE To provide statutory required reports to the legislature for the ongoing review of the Hathaway Scholarship Program (HSP)  W.S. 21.16.1308(c) % of graduates who meet success curriculum requirement Relationship between courses taken/grades earned and ACT or WorkKeys test scores Relationship between courses taken/grades earned and college or university GPA

3 2. PROCESS a) Data extract from local SIS b) Send extract to the National Transcript Center (NTC) c) NTC record conversion and upload to the District’s account on the Wyoming Transcript Center (WTC) d) District review of records e) Send to WDE – Hathaway Unit

4 a) Extracts from SIS PowerSchool  Phoenix Learning has an application to extract the records from PowerSchool Infinite campus  Infinite campus has created scripts for each district to extract the records. Contact CIC or IC SASI  Local District Process Rediker  Rediker is creating a process for extracting the transcript records for their clients

5 a) Extracts from SIS cont. SIS extracts can be created in a couple of ways and either are acceptable;  Extract creates three files  File #1: Student demographic information  File #2 Student academic information  File #3 Student assessment information All three files are tied together by the student WISER ID

7 b) Sending Extract Files to NTC Districts are provided with a unique user name and password to the NTC secure file transfer protocol (SFTP) site where the extract files are uploaded Following are the general guidelines for setting up the SFTP site for submission of transcript extracts

8 b) Sending Extract Files to NTC cont. An application named FileZilla is needed to be able to access the NTC SFTP site. FileZilla is free and can be downloaded from the following website: http://filezilla-project.org/

9 1.Open the FileZilla Setup file to install FileZilla on your machine. Follow the defaults. 2. Click on the FileZilla shortcut on your desktop to open the application (Figure 1 next slide) b) Sending Extract Files to NTC cont.

10 Now, Select ‘File > Site Manager…’ Figure 1

12 Figure 3 Rename the default site name to the name of your choice as indicated in Figure 3 b) Send Extract Files to NTC cont.

13 Next, configure the WTC SFTP site connection using Host: sftp.transcriptcenter.com Servertype: SFTP Logontype: Normal User and Password: = district username and password that you received from WDE Click on Connect Figure 4 b) Sending Extract Files to NTC cont.

15 FileZilla is now successfully installed and configured Send your SIS extracts to NTC by dragging and dropping the extract files from their current location on your network or system

16 c) NTC converts and uploads records NTC receives your extracts You receive an email from Ben Henry at NTC advising that your records are on your account in WTC and ready for your review

17 Review and report any issues with the records to NTC Submit records to the WDE Hathaway Unit via the WTC d) District review of records

18 Log on to the WTC e) Send records to WDE – Hathaway Unit

19 Select: “Send multiple records/transcripts” from the upper right list of actions. e) Send records to WDE – Hathaway Unit cont.

20 Select the student(s) you want to send e) Send records to WDE – Hathaway Unit cont.

21 Select the institution who will receive the records; WDE-Hathaway Unit e) Send records to WDE – Hathaway Unit cont.

22 Verify the records and the receiving institution - click “Send” e) Send records to WDE – Hathaway Unit cont.

23 Receive confirmation and a tracking number for each record sent e) Send records to WDE – Hathaway Unit cont.

24 WDE 950 collection complete Upon the submission of all graduating student transcript records to the Wyoming Department of Education-Hathaway Unit, you have fully satisfied the requirements for the WDE950 collection. e) Send records to WDE – Hathaway Unit cont.

25 3. COLLECTION WINDOW Collection is due on July 31, 2009. o The collection window will open on June 1, 2009, and will remain open through July 31, 2009
