3 Effective Transitions ensures:  Knowledge base is preserved  Continuation of quality service to clubs  Facilitates incoming and outgoing officers work as a team  Fulfills a responsibility to prepare your successor

4 Timetable for Transitions  May – plan a transition meeting  June – hold the transition meeting  July – transition to successors

5 What happens at Transition meeting  Address any pressing business that may impact incoming officer  Things the outgoing officer wanted to do but didn’t get done  Things that would have been done differently  Transfer any documentation (lists, minutes, actions of the Area/Division Council, Calendar of activity)  Club visit reports that could assist new Area Director  Other ?

6 Who attends Transition meeting  Outgoing officer(s)  Governor and Assistants  Incoming officer(s)  Director and Assistants  Others ??

7 Lists to provide for Transition  Contacts – Clubs & meeting details  New Club officers (the new Officer list often not available from World HQ until later July)  Judges  OTY (of the year) annual awards  Schedules  Contest rotations  Other ?

8 Materials and Assets to provide for Transition  Trophies (and who has them)  Gavel  Banner  Education, PR and recognition materials  display stands  Minutes  Other ?

9 How to Introduce the New Officer  Announcements  Identify the person, contact details, and their background  By email, phone call, personal visit ?  Welcome the incoming officer to join you on any club visits and events to facilitate transition

10 Facing Restructured Area / Division?  How to adapt source of material and lists to hand over ?  If club(s) in your Area are moving to other Area(s) or Division(s)  How do you prepare your successor(s)?  What if it’s a brand new Area or Division and there is no one to transition from ?

11 Questions ?  What would you have liked to have included in the transition from your successor?  Would Webinar training have helped you on an All Leader Call?
