3 Labor Distribution When to end date a labor schedule 1.No longer want charges against current PTAEO. 2.Changing from labor schedule to org default labor schedule. 3.Employee is transferring from my organization to another organization in the same assignment.

4 Labor Distribution When NOT to end date a labor schedule 1.When employee terminates. –Guessing at the date of last payment to employee. –Unnecessary – Human Resources application is in control. –Double data entry.

6 Labor Distribution Terminations Actual termination date allows an employee to continue to be paid. Final process date stops all payments to an employee.

7 Labor Distribution Who/When to enter a final process date 1.Central HR: runs process to update the final process date one year after the actual termination date due to W2 impact. 2.Departments: must enter a final process date in order to rehire an ex-employee.

9 Labor Distribution Why does my expenditure type change? 1.ALL labor charges in the suspense accounts use Salary, Class Staff FT. 2.Human Resources’ assignment information does not equal the Labor Distribution expenditure type - auto population functionality.

12 Work Study students 1.Auto population with a twist. –Expenditure type rule #1 still applies. –Cost allowability schedule on work study award. Will not allow any expenditure types other than work study. –All non-work study expenditure types are charged to suspense.

14 Work study awards ended on 5/12/2004. To continue to pay the student two changes should have been made effective 5/13/2004. 1.Change the employee’s job on the assignment in Human Resources. 2.Change the labor schedule in Labor Distribution.

16 The correct expenditure types are charged for the 5/12 – 5/25 payroll.
