Project Name and Sponsor Project Name: Layer Three Housing. 3 methods of improved efficiency Sponsor: Melanie Peel, Director of Housing.

Background The Housing department at Louisiana Tech was put in place to provide housing to the on-campus Louisiana Tech students. They also provide free IT services to the students that live on campus.

Group Contract Decision by majority Google Docs coordinator - Chris Stanfield E-mail policy Facilitator powers

As-Is Work Order System Paper-based ticket system "Middlemen" - RA or housing front desk worker Ways this system is inefficient

As-Is Inventory System Also paper-based system. Changes in network device locations are NOT documented Inventory discrepancies Manual search for devices on command of Mr. Tony Tryon The information is never recorded and is lost every time

As-Is Knowledge Base System Currently, there is no database that contains the knowledge from the previous computer techs. Word-of-mouth training only A legacy knowledge database would be useful for the new computer tech to use as he or she encounters similar problems as other past computer techs.

Business Need This project has been initiated to improve access to information and improve customer service by using a database application and legacy knowledge system.

To-be Work Order System The system will be web-based and accessible from any on-campus computer. E-mail notification for new work orders Assignment to computer tech regionally o The west side of campus o The east side of campus o All of University Park. Students will report work orders directly to the computer techs via Internet. This cuts out the middlemen.

To-be Inventory Database A database will be created that will have the location of all Louisiana Tech Housing computers and related equipment. Accessible via the Internet for the director of maintenance. With an input of what type of equipment, the database will return the location and the state tag number of that device. Five year information turnover.

To-be Legacy Knowledge Base Articles that are searchable through the Internet. With an input of a generic question or keyword, a list of answers will be displayed. The user will have access to view, edit, or delete the answer.

Expected Value: Tangible Reduced spending on office supplies such as paper More knowledgeable computer techs; increased worker value. More work orders completed in less time.

Expected Value: Intangible Increased work order efficiency Faster response time to work orders Increased accessibility to housing service With improved efficiency, computer techs will have more time to focus on other technical issues that affect the university

Expected Value: Intangible Decreased loss of documentation Improved computer tech morale Improved student services

Special Issues or Constraints System must be completed by May 4, 2009 System must be user-friendly for student users Employees must be trained by May 17, 2009
