SciPAC Mentoring Program Program Goals Facilitate relationship building between a volunteer senior officer (mentor) and a junior officer (mentee). Successful advancement of the junior officer’s career Simultaneously meeting the needs of the Service to best fulfill its mission

SciPAC Mentoring Program Matching Process Program Manager contacted by officer to request mentor Completing form posted on the SciPAC website Email request to the Chair and/or Co-chair Follow-up conversation identifies the mentees’ goals, expectations, and career background Identification of a suitable mentor uses combination of criteria Discipline Career development track Agency Geographic location Prior service history http://usphs-scientist.org/documents/careerdev_content/mentoring.pdf

Evaluation began in July 2010 Project goals: Improve communication and knowledge sharing Identify best practices Identify opportunities for improvement CY2011 operational plans for each of the PHS category mentoring programs Develop a white paper for review by the CPO PAC that both informs and recommends a strategic plan.

Evaluation of PHS Mentoring Feedback from the Expert Panel Expand goals to include all-around development Formalize training Recognize mentoring program participants Conduct annual recruitment Be more pro-active in reaching out to new CADs Utilize senior O4s to mentor O3s Formalize program evaluation process

2011 SciPAC Mentoring Program Operational Plan: Updated Program Goals The goal of the SciPAC Mentoring Program is to provide the opportunity to all officers of the Scientist Category to achieve their full professional potential by benefiting from being mentored by a senior officer. The program will achieve this goal by: Providing support and services to all mentors and mentees. Promoting the program. Keeping records of the matched pairs and providing recognition to those involved. Monitoring the success of the program and making any necessary changes.

SciPAC Operational Plan Program Development Re-visit mentor/mentee matching process Develop Training Program Develop mentoring handbook Select/develop/repackage training materials and offer various trainings Develop a template Individual Development Plan based on promotion benchmarks Institute a participant feedback process Recognize participants in the mentoring program Letter from the CPO Category award – Scientist Mentor of the Year

SciPAC Operational Plan 2011 Mentoring Needs Assessment Survey Never been done Gives Scientist Officers an opportunity to: Provide feedback on the program Feedback will be specific to officers’ current role of mentor, mentee or interested participant Help shape program re-organization Training/Support needs for mentors and mentees Preferences for matching Options to better promote the program How to encourage more officers to participate?

SciPAC Mentoring Program Survey Overview Request from SciPAC Chair to complete survey Will include a link to the survey (Survey Monkey) First question is a directional question and is mandatory This will route you to a specific question set, dependent on your current or future role as a mentor, mentee, or interested but not yet involved Only one survey per officer The survey is anonymous. We can only track the responses and the number of responses, not who responded or what response each person provided. The survey will be available for 2-3 weeks in June-July.

Conclusions The SciPAC Mentoring Subcommittee: Participates in the overall evaluation process of the PHS mentoring programs Drafted 2011 SciPAC Mentoring Program Operational Plan Increased subcommittee membership from 3 to 6 officers Developed the SciPAC Mentoring Program Survey

Next Steps 25 June 2011 - Survey reviewed by Executive Board to obtain feedback and guidance 02 July 2011 - Survey implementation 23 July 2011 - Survey period closes 25 July 2011 – Begin survey analysis 30 September 2011 – Survey results and subcommittee recommendations provided to Executive Board
