2 2 of 16 DA0744 - Enhanced Warehouse Management Last updated: 03-01 Overview Overview of Enhanced Warehouse Management Two new options allow you to create branches, to which you can assign a selection of warehouses, and to attach those branches to specific users, thereby restricting the user’s access to product codes If a user has access to limited branches, whenever they try to use a stock item the warehouse part of the stock code will be validated to ensure it exists in a warehouse that is assigned to one of their branches Where a user attempts to affect an existing order, invoice or receipt, this will first be validated to check that they have access via their branches to all the warehouses and related stock items listed Note: The addition of branches only affects those options listed in the project document – all other options that use warehouses will not be validated or restricted by checking the warehouse branches Overview of Enhanced Warehouse Management Two new options allow you to create branches, to which you can assign a selection of warehouses, and to attach those branches to specific users, thereby restricting the user’s access to product codes If a user has access to limited branches, whenever they try to use a stock item the warehouse part of the stock code will be validated to ensure it exists in a warehouse that is assigned to one of their branches Where a user attempts to affect an existing order, invoice or receipt, this will first be validated to check that they have access via their branches to all the warehouses and related stock items listed Note: The addition of branches only affects those options listed in the project document – all other options that use warehouses will not be validated or restricted by checking the warehouse branches

4 4 of 16 DA0744 - Enhanced Warehouse Management Last updated: 03-01 Branch Warehouses To create a branch warehouse, type in a 2-character alphanumeric Branch code – this code might represent a category or a geographic location – then select CR-Confirm Type in a description of the Branch (up to 40 characters long) and select CR-Confirm To associate a warehouse with the branch, type in or use F2-Browse to select a Warehouse code, then select CR-Confirm The option Branch Warehouses allows you to define Warehouse Branch Codes – you can then select individual Warehouses to associate with the Branch

5 5 of 16 DA0744 - Enhanced Warehouse Management Last updated: 03-01 Branch Warehouses The list of warehouses associated with the branch is displayed alphanumerically by Warehouse To add another warehouse to the list of associated warehouses select F4-Add, then type in or use F2-Browse to select the required Warehouse code Warning: A Warehouse may only be associated with one Branch Warehouse To add another warehouse to the list of associated warehouses select F4-Add, then type in or use F2-Browse to select the required Warehouse code Warning: A Warehouse may only be associated with one Branch Warehouse To remove a warehouse from the list of associated warehouses, highlight the Warehouse code using the arrow keys then select F5-Delete – you are prompted to confirm your action

7 7 of 16 DA0744 - Enhanced Warehouse Management Last updated: 03-01 Branch Users The option Branch Users allows you to assign one or more warehouse branches to a specific user – this provides control over the user’s activity by only allowing them access to products within the warehouses associated with their assigned branch(es) Type in or use F2-Browse to select a User code (up to 10 alphanumeric characters), then select CR-Confirm If this user has ‘manager’ status, you can tick this checkbox to allow them access to all products within all warehouses – you will not have to restrict their product access to specific branches

8 8 of 16 DA0744 - Enhanced Warehouse Management Last updated: 03-01 Branch Users To assign a warehouse branch to the user type in or use F2-Browse to select a Branch code, then select CR-Confirm If this user is not a ‘manager’, and you left the Allow users access to all branches and warehouses checkbox blank, you can now assign warehouse branches to them

12 12 of 16 DA0744 - Enhanced Warehouse Management Last updated: 03-01 Full Stock Details The user can only add a new product to the Stock file if the Warehouse code part of the Stock code is associated with one of their branch warehouses Having assigned one or more branch codes to a user, that user will only have access to the warehouse codes associated with their branch warehouses – they will therefore only be able to CREATE and PROCESS stock items in branches that they have permission to access F2-Browse will only list those products in warehouses associated with the user’s assigned branch warehouses The user can only reproduce a stock item in another warehouse (via F4- New) if the new warehouse is within their branch warehouse permissions

14 14 of 16 DA0744 - Enhanced Warehouse Management Last updated: 03-01 Sales Orders When raising a new Sales Order, the user will be restricted to only entering (or selecting products via F2-Browse) products that are stored within the warehouse codes associated with the Warehouse Branch codes to which they have access If amending an existing Sales Order, all product lines on the sales order MUST exist in a warehouse associated with the user’s Branch Warehouses – otherwise an error is displayed and they are prevented from accessing the order Note: These restrictions also apply to raising Quotations, Sales Invoices and Sales Credits Having assigned one or more branch codes to a user, that user will only have access to the warehouse codes associated with their branch warehouses – they will therefore only be able to PROCESS stock items in branches that they have permission to access

16 16 of 16 DA0744 - Enhanced Warehouse Management Last updated: 03-01 Purchase Orders When raising a new Purchase Order, the user will be restricted to only entering (or selecting products via F2-Browse) products that are stored within the warehouse codes associated with the Warehouse Branch codes to which they have access If amending an existing Purchase Order, all product lines on the purchase order MUST exist in a warehouse associated with the user’s Branch Warehouses – otherwise an error is displayed and they are prevented from accessing the order Note: These restrictions also apply to entering Receipts and raising Purchase Invoices Having assigned one or more branch codes to a user, that user will only have access to the warehouse codes associated with their branch warehouses – they will therefore only be able to PROCESS stock items in branches that they have permission to access
