4 Common myths on time I can manage time without a plan I don’t have time for down time I need to be available 24/7 I’m the only one who can do it “right” If I don’t do it, it won’t get done Name some other time myths… How do we change this thinking? 4

5 Truths about time management Darren Hardy says “if we all have the same hours in the day, then it could be said it is how we use those hours that delineates the successful from the mediocre” Gary Keller says “You need to be doing fewer things for more effect instead of doing more things with side effects. 5

6 Tips we know we should do but don’t… Decide what times of day you are the most productive, and schedule your most difficult jobs then. Use waiting-time effectively by planning small tasks you can do in short segments of time. When you return a phone call, minimize phone tag by including a time you can be reached. Spend the most time on the job that produces the most income. Don’t let non-productive tasks consume your time. Set completion dates for tasks to avoid procrastination. Sometimes you have to say “no,” and that’s OK! 6

7 Immediate Change Time Management Tips Treat every day like you are going on vacation the next day Make daily to do lists (and then, get ‘er done!) Reward yourself – take time away Spend the first 15 minutes of every day, or the last 15 minutes at night, making a to-do list. Book end your days. Get up an hour earlier every day and see how much more you get done in a week EAT THE FROG – Brian Tracey said to “Eat the frog” first. DO the one thing that you know is SO important to do BUT you just keep putting it off. Start the day right and “Eat The Frog.” Schedule your daily Power Hour. No excuses. Put a stop sign on your office door. Make calls to people that you know, past leads, people in your database, people in your email drips every day and keep in touch and follow up. 7

8 Long Term Time Management Tips Develop checklists and systems for everything in your real estate business; Continually refine/update them Pick a system that works for you and stick with it Don’t be afraid to try something new if your plan is not working as you thought Create a system to prioritize tasks, but plan on re-evaluating priorities daily If you Work Smart vs. Work Hard, you will have no problem finding time to schedule for yourself 8

9 Positive Tips for Change for Busy Real Estate Professionals Learn to say “No” politely – Les Hewitt said “I want you to know that this has nothing to do with you and everything to do with me. I need to just say No. I hope you can understand?” Touch each piece of paper or open an email only once…Meaning only sit and read when you have time to review and respond, not just on the fly and then again and again. Always ask yourself “Is what I am doing right now the best use of my time (right now)?” Limit your social networking to only 30 minutes at the beginning or the end of your day. Limit your account posts (Facebook) to the most valuable people in your personal and business life. Not everyone. Every 15 minutes take note of what you are doing. Track and measure the use of your time every day. Hold yourself accountable. 9

10 Systems for Time Management Time Block – Jim Rohn said: finish your week before it begins. Prior to starting your week, block your time slots in advance. Time for you first. Time for family and friends second. Time for high dollar activity next (Lead generation, buyers, sellers, price reductions, negotiating offers). Rest of schedule can be filled in as the week progresses. Do I “Do” it? Do I “Delegate” it? OR Do I just “Dump” it? (Don’t feel guilty!) Delegate routine chores, but be sure you train your helpers well. 10

11 REAL WORLD Time Management Tips Group showings Avoid getting stood up Answer questions the same Create a sense of urgency Book appointments 24 hrs out Call 1 hour ahead of appointments Sync calendar to phones TFRA Zip code list Turn your vendors into inspectors TAKE TIME OFF! Value your time and ask others to do the same! 11
