3 A.1. Backing up the system With our current configuration (Destiny 10.1), the Central Office does our daily differential backups and our weekly full backups. 5 B. Running Circ Reports Circulation is the core of Destiny Library Manager. Select Reports > Library Reports > Circulation Page 1: Choose Limits, click continue, Page 2: Choose format, click continue, Page 3: Choose details, click run report, Click View. This list covers some of the main functions include: check in / check out / remotely check in and check out / create library holds / check resource availability / print circulation receipts/ track status of resources. Click here and make choices about what you will have in your report. There are 3 pages of choices before you can view your report.

6 C.1/4. Start Library Inventory 1.Select Back Office > Inventory. 2.Click Start New. 3.Enter information for the inventory. a.Inventory name b.Call number range c.Circulation types d.Except for copies that have been seen on or after…. 4.Click OK

7 C.2/4. Scan / load textbook inventory barcodes 1.Take inventory with a barcode scanner. 2.Take inventory with a wireless scanner. Scan barcodes into a text editor. Name and save the file. Make sure to save it as a.txt file and record the name and location of the file. 3. Upload the file. Select : Back Office > Inventory in the “Account for each Barcode Section”, click “Upload”. Check the inventory job summary in “Job Manager” to review any exceptions.

Finalize Library Inventory 1.In Library view, select Back Office > Inventory. 2.From the Partial Library Inventory started on list, select the inventory you want to finalize. 3.Make selections accordingly. 4.If you want to finalize, choose what you want to do with the unaccounted for materials. 5.Click Finalize. A confirmation message appears to validate that you want to finalize this inventory. 6.When the inventory is finalized at the site, click Finished. This allows the District to finalize it. When all the schools in the District are finished, the district will then finalize all the sites, which gives them a full picture of the system assets.

Inventory Reports Generate an in-progress inventory report : 1.Select reports >Library reports > Inventory control. 2.Click In-progress Inventories. 3.Click View next to your inventory. 4.Select the copies you want to see in the report. 5.Click Run Report. 6.Click refresh list, then view next to your report. Destiny displays a summary of the report options. 7.Click Report to view the full report. Generate a completed inventory report. 1.Select Reports > Library Reports > Inventory control. 2.Click completed inventories. 3.Click view next to your report. 4.Click report to view the full report

10 D. Collection Age Report Choose Reports > Library reports > Collection Statistics _ Summary. The report gives Circulation: gives an overall look at your collection statistics using a Dewey Range. Circulations for today, this month, this year, and total are displayed by Dewey range. Choose Age: Gives an overall age of our collection by Dewey range for copies that have dates within their record. Gives average age of A Dewey range. You can drill into each Dewey range to get more information that is detailed. Value: Gives an overall value of your collection by Dewey range for copies that have prices within their record.

11 E.1/3. Bar code / spine labels / unused bar code report Bar code: choose Reports > Library Reports > Barcode Labels > choose used/unused (fill in the other choices on this page and ) > run report

12 E.2/3. Spine labels / unused bar code report Spine labels: Select Reports > Library Reports > Spine/Pocket Labels From the new menu, Create spine / Pocket labels, (fill in the information required and ) > choose run report.

13 E.3/3. Unused bar code report Barcode lists: Select Reports > Library reports > Barcode Lists. Next Menu (Select Unused Barcode Numbers) fill in the information required and ) click Run report.

14 F. Running custom Reports Select Reports > Report Builder > New Report. Step 1: Make selections based on what you want your report to communicate. Step 2: Select the information that you want in your report. Click arrow. Step 3: If you want to group the information, make selections accordingly, Click arrow. Step 4: Select the column order you want the report to reflect, click arrow. Step 5: Specify the sort order of your report details, click arrow. Step 6: Select how you want the information summarized, click arrow. Step 7: Select what you want included in the report. Click arrow. Save report page opens….type a Name for your report and provide a Description…select Save and Run or…. Save or Cancel.

15 Tutorial Assessment Section four: Reports and utilities require you to be logged in as System Administrator. Additionally, you must select Reports > Library Reports and then choose from the long list available. The exceptions to this are the System Backup / rebuilding and the Inventory. I recommend that you get plenty of expert advice for the back up and system rebuild! The inventory report requires a lot of work from you to scan every book in the media center to get a valid inventory. Make sure to have a good wireless scanner and know how to upload your barcodes to the computer.
