3 © 2005 IBM Corporation 3 Vendor Responsibilities Engagement Closeout Ensure all labor has been submitted. Ensure engagement owner is aware of any relevant close out issues or status. Ensure final status report is submitted to engagement owner. Ensure all invoicing is submitted within two weeks of engagement end date. Ensure any deliverables are sent to engagement owner and accompany vendor invoice as outlined in ERS or NON-ERS/SOW. Return any loaned IBM equipment. Notify BRAND ID and outssubk@us.ibm.com if the engagement is ending early so that schedules can be updated and system access can be suspended according to IBM guidelines. Collect badges if non-core and return to outssubk@us.ibm.com. AFTER ENGAGEMENT

4 © 2005 IBM Corporation  The VEC process was established to inform Vendors of the impending closure of their PO.  Between 30 and 35 days after the engagement end date, the Vendor will receive an email (by PO) indicating that they have 30 additional days to invoice for any outstanding labor or expenses.  After the 30 days have passed, a notice will automatically be sent to Procurement to close the PO. 4 Vendor Responsibilities VEC (Vendor Engagement Close Out Process) AFTER ENGAGEMENT
