1 Additional Pay for Temporary Employees A Change in Payment Processing HRMS Unit Liaison Meeting February 19, 2009

2 Current Payment Processing PeoplePay is the web based tool that is used to direct you to the correct method of payment for individuals Payments for services to individuals with only temporary appointments are currently processed on a Non-Employee for Taxable Services form

3 Change for Temporary Employees The PeoplePay tool will be updated to direct payments for services to individuals with active Temporary appointments to the Additional Pay Submittal Form The M-Pathways Additional Pay Submittal Form will be updated to allow its use for Temporary employees

4 Change for Temporary Employees Earnings Code “UNS - Services unrelated to appointment” will be the only code allowable for Temporary employees Payments will be processed with the next available biweekly pay period Effective date and end date of the Additional Pay should reflect the beginning and end of an upcoming biweekly pay period

5 Change for Temporary Employees Dates of actual service can be recorded on the submittal form in the Comments section Check needed for presentation to individual – use the Exception Payment to Faculty and Staff form PeoplePay tool will direct you to this form where you can request a live check in the “Special Instructions” section

6 Considerations Communication will be sent out when both PeoplePay and M-Pathways Additional Pay have been updated – anticipate mid-March Any payments in progress at that time will be accepted through April 16, 2010 HR ADDITIONAL PAY USER role may need to be requested for anyone who processes payments for temporary employees but does not currently have access to create Additional Pay Submittal forms

7 Process Improvement More consistency in processing payments for regular and temporary staff Help eliminate confusion around using a “Non- Employee” form for a temporary employee “Non-Employee” form will no longer be used for anyone with a current active appointment
