2 Something to work with Open Word by double clicking the folder titled Office Features Materials on your desktop Double click the word document titled Word Demo.doc Minimize it by clicking it on the Task bar Open Powerpoint by double clicking the file titled February 30 th Staff Meeting.ppt Minimize it too Open Excel by clicking on Start / All programs / Microsoft Office / Excel

4 Configuring Office Programs Maximize Microsoft Word Click on Tools / Options Click on General Tab Set Recently Used Files Click on other tabs What can you control that you’ve always assumed was built in and not controllable? Check your version for other Options under Tools (Autocorrect?)

5 Customizing Toolbars Point at any toolbar and right click Turn toolbars on/off by checking/unchecking them Click on Customize at the bottom Click on Commands tab Add a tool to a toolbar by dragging (left click and hold while moving to the toolbar of choice – then releasing the click) Remove tool from a toolbar by dragging the icon off the bar and releasing it

Click on toolbars tab Click on a toolbar that you’ve been changing Click on Reset This will reset it to the way it was when the program was installed Click on Add This opens a blank toolbar on which you can put the icons you use for specific tasks Name it for that task Open it when you’re doing that task Now delete that new toolbar by selecting it and clicking Delete

10 Drawing Toolbar Word Art Click the Word Art logo Choose a style of word art Edit the text to what you’d like Click OK – it becomes an object Resize it Click on it to get Word Art toolbar

Pictures (Inserting from file) Click Insert Picture icon or Insert / Picture / From File… Navigate to Desktop / Office Features Materials / Pictures or SH Pictures Click the picture you want and Insert Right click / Format Picture Layout important – In line with text makes it act like a character / anything else releases it

15 Drawing Toolbar (cont.) Pictures (Copying from another file) Find a picture using any software Right click on the picture / Copy Place cursor in your document where you want the picture Edit / Paste Resize picture / place picture Right click / Format Picture

Organizational Charts or Diagrams Click Insert Diagram or Organizational Chart icon Click on the desired diagram style Fill in the text in the diagram One could spend a long time learning to fill these in (we won’t today) Resize diagram / place diagram Right click / Format diagram

17 Picture Tool Bar Click on the picture to select it Resize by pulling circles at corners or center of sides Cropping the picture Click on Cropping Tool Move corners and edges to crop rather than resize Click on Cropping Tool again to turn it off

18 Picture Tool Bar (cont.) Select the picture by clicking it Click on Color icon Set Color to Automatic, Gray Scale, B&W, or Washout Click on Contrast up or down Click on Brightness up or down Rotate the picture Put a border around the picture

Compress Pictures reduces the number of pixels (doesn’t make it smaller) Recolor Picture allows you to substitute a new color for an old color throughout Format Picture opens same tool as Format / Picture Set Transparent Color allows you to make any single color in a picture transparent Reset Picture reverts all changes

20 Tables and Borders Toolbar Two ways to create a table Click Table icon Insert Table Set Columns and Rows Click OK Click Draw Table icon Use pencil to draw the table Use eraser to take out lines or parts of lines

21 Tables and Borders Toolbar (cont.) Select the cells you want to change first Split or Merge Cells Change Alignment of cell contents Equalize cell height or width Auto Format Change Text Direction Sort up or down

22 Tables and Borders Toolbar (cont.) Border tool Click arrow next to border tool Select the part of the border to add or delete This tool works on plain text too Border Color Fill / Shading Tool

23 Chart Wizard You may have to add the Chart Wizard icon to your Standard Toolbar Choose Chart Wizard icon The following window appears

24 Chart Wizard (cont.) Click on “1 st Qtr” and type “English” Hit “Tab” and replace “2 nd Qtr” with “Soc Stud.” Rename the other two columns Math and Science. Rename row headings “December” “January” and “February”

25 Chart Wizard (cont.) Add total numbers of copies in the table for each department for each month – use your imagination! Close the table window. The chart now appears in your document

27 Adding Sound & Movies First – a distinction Microsoft Office makes it quite easy to import a file in Microsoft format – anything that plays with Microsoft Media Player (comes with your operating system).mp3 music files.mpg /.avi movie files More difficult – but possible – to import others such as Real Player files or even Quick Time files (Macintosh)

Inserting Microsoft formatted sounds and movies Click Insert / Sound (Movie) from file… Navigate to the file containing the media Select the file and Insert Formatting the file Click Slide Show / Custom Animation… Set how file will be started (with slide, clicked, etc.) Set how long it will play (until click, end of slide, 3 slides etc.)

29 Adding Sound & Movies (cont.) Inserting other media AutoShapes / Action Buttons / Choose one (movie projector?) Draw the button on the document Right click on the button / Hyperlink Hyperlink to / Other File… Navigate to the file, select it, and click OK Clicking the hyperlinked button launches the player with that file ready to play – plays on top of current slide
