Copying : All copying must be done in Copy Center (only 3.6 cents a copy) Mailbox Stuffing : 1/quarter, <$100 Clear all expenses > $400 for remainder of the quarter through VP of Finance When in doubt, apply the “in front of the class” rule KSA funding guidelines

15 The Role of Corporate Relations Central contact for all club and conference activities –40 professional clubs –~13 student-run conferences –Other activities through professors & classes, centers, executive education, TMP Liaison between students, administration (Dean’s Office) and companies –Knowledgeable on Kellogg’s complex relationships and history with corporate partners –Some companies prefer to deal exclusively with our department and routinely follow-up with us even after coordinating with students Support clubs and conferences -- coordinate sponsors/ budgets/speakers Help facilitate and coordinate speaker and sponsorship efforts

16 Corporate Relations Nightmares Objective is to avoid: CEO speaker arriving at Kellogg without the administration’s knowledge Receiving checks from companies with no indication of who the money is for Checks sent directly to students at their home address – corporation does not receive credit for their gift

18 Corporate Sponsorship is Appropriate For: Kellogg’s policy is that corporate sponsorship is for educational and cultural events Academic events Conferences Speaker events School wide events

19 Overview of Sponsorship Process Students submit a proposed ‘event’ budget and list of target companies for sponsorship 5-6 months before the event. Sponsorship monies will not be allowed to be solicited if the event is less than 2 months away. Meet with students to review and approve event budget and target companies Students submit solicitation letters to ensure letters conform to Kellogg format and standards Bottom Line: Start Early. The budget, potential companies and letters must be approved before soliciting companies

20 The Budget Students should ensure they include: Estimated Costs and Revenues Accurate SOFO account balance (Contact Deborah Garcia 467-3525) List of potential sponsors, including contact person and dollar amounts requesting from each company

21 The Approval Process Development office reviews the submission, checking: Companies that have recently given major gifts Companies under solicitation for other events simultaneously Companies that have specified what areas/types of clubs/events they are interested in sponsoring Companies are fairly targeted Items in budget seem reasonable

22 What Companies To Target Companies that have a close affinity for the club or activity Previous employers Companies with strong alumni connections Companies with high recruiting interests

23 Other Things to Remember Career Fairs, Case Competitions, Treks & TG’s have different rules/guidelines Career Fairs – All Career Fair’s must be approved by the Career Management Center (CMC) before being eligible for corporate participation. Case Competitions – A corporation can host, not sponsor, a case competition. This means that no money can exchange hands between the Kellogg School and the hosting corporation. All monies paid by the corporation for hosting the competition (prize money, food, room rental fees, etc.), must be paid directly to the vendor from the corporation. Additionally, because Case Competition’s benefit very few students, no sponsorship money can be raised to support a team’s entrance fee, traveling expenses, etc, to another school or company’s case competition. Treks – A corporation can host, not sponsor, a trek. No sponsorship money can be raised to support an activity that removes students from their required academic classes. TG’s- Companies that give money to help fund a TG are considered corporate hosts. A TG corporate host does not receive any recognition by the Kellogg School. The money given by a corporate host for a TG is not considered a donation to the school, is not tax deductible and does not count toward their Kellogg Corporate Affiliate Status. As money given by companies for TG’s directly affects money given for sponsorship of academic events, anyone interested in soliciting for a TG must work directly with the KSA social chair, Marisa Blankfeld and the Assistant Director of Corporate Relations, Jennifer Johnson.

24 Other things to Remember Cont. A company can only sponsor an event. They cannot sponsor a Club generally Only BWAH should be fundraising for other charities (Kellogg is a non-profit organization) No cash prizes Online credit card registration is available to any club that charges a fee for their event or activity (Contact Deborah Garcia 467-3525)

28 Kellogg Policy If you are interested in bringing a high-level speaker to the Kellogg School for your club, you must receive approval by the corporate relations office

29 Points to Remember Start Early. Start Solicitations 4-5 months before the event. It is important to be aware and respectful of potential speakers relationships with the Kellogg School, past, present and future. It is important to have a large audience for a high level speaker. (Partnering with another Kellogg club, be aware of Calendar conflicts, be conscious of possible content overlap. Would this person fit well with a Kellogg conference theme? Conferences are a good venue for high-level speakers, as the additional programming and marketing/promotion efforts involved in a Kellogg conference ensures strong attendance numbers. We discourage inviting the same individuals to the Kellogg School year after year. Please check the speakers database.

33 Phone-a-thons = Thank-a-thons Overview: Simple way to raise vital club funds Connect with Kellogg alumni & thank them for their financial support Work especially well for clubs that cannot solicit for corporate support

34 What are Thank-a-thons? Call Kellogg alumni for two reasons: –Inform about the latest campus news –Thank them for their support to the Kellogg Annual Fund A Kellogg development staff member is present at all thank-a-thons

35 Who Can Participate? Any club at Kellogg can participate Minimum of 6 students required Maximum of 8 students All callers must participate for 3 hours Bonuses available

36 When do Thank-a-thons happen? Typically take place in November & February Arrange on any weekday during these months Call on weekday evenings: 6:00-9:00 pm

63 Speaker events require appropriate attendee etiquette Speakers continue to raise issues with poor etiquette by meeting attendees to the CMC and other administration –Laptop use during presentations –Students coming in late/leaving early We are asking clubs to “police” their own speaker events this year to prevent these things from happening –Reminders when introducing speakers –If necessary, addressing students (appropriately) during presentations If clubs are unwilling/unable to do this, KSA and administration will have to move to larger measures

67 The Managers’ Program (TMP) TMP has 1200 fully-employed students taking the same classes with the same professors as the FT program during the evenings Student government is the Evening Management Association--similar but much smaller than the FT program Several special interest and industry-focused clubs that work with the FT counterpart

74 TGs at Kellogg They are fun! They are part of our tradition! They provide us the opportunity to socialize and learn from the clubs at our school Lauren Nuechterlein will be the point person for planning TG’s –Any questions about planning should be directed to Lauren (lnuechterlein2007@kellogg.northwestern.edu)lnuechterlein2007@kellogg.northwestern.edu We need to protect TGs at Kellogg by following a few simple rules…

75 Hosting TG Scheduling a TG: Scheduling for TGs takes place at the beginning of the quarter prior to the quarter you wish to schedule in Example: To schedule a TG in the Winter of 06-07; scheduling will begin at the beginning of Fall quarter 2006 An e-mail will go out shortly asking for Fall 2006 hosting requests How the dates are chosen: You will have a week to submit a request for a TG (no exceptions to the deadline) Please submit your top three date choices with the rationale for your #1 choice (i.e. prior to a conference or event hosted by your organization) We reserve the right to move your date if there is a VERY good reason Clubs that collaborate on TGs are given special consideration

76 Funding TG TG hosted by a club KSA will pay for the cost of TG The sponsoring club is expected to: Provide a unique atmosphere for the TG Promote the TG to the student body TG hosted by a conference Conference must pay for entire cost of TG Multiple conferences may co-sponsor a TG Please coordinate with Dawn Berry and Lauren Neuchterlein

77 Corporate “Hosting” Securing corporate funding for TGs: Companies can not officially sponsor a TG, but they can be offered an option to host All company contact must be approved by Jennifer Johnson Do not solicit a company less than a month before your event (just a common courtesy) Please inform me ahead of time if you plan to seek corporate funding for your TG

78 Advertising at TGs The club, conference, or company hosting may advertise in any way they wish (within reason) at the TG. This includes, but is not limited to: Banners and flyers in the atrium Announcements by the DJ Any additional activities or decorations in the atrium Clubs and Conferences not sponsoring the TG may reserve one of four tables under the atrium overhang with approval from the sponsoring body. Advertising for these bodies is limited to: Banners/flyers on the front of the table and on the wall directly behind the table Any decorations, food, or activities which can fit on the table itself. NOTE: No announcements may be made by the DJ for clubs/conferences that do not sponsor the TG

79 Other TG Information Wristbands: If you order alcohol through KSA, wristbands will be included in the order to the distributor. If you use another source for your alcohol, you must provide wristbands as well. You must supply people that will handle the responsibility of checking id’s and wristbands What is included in the standard TG package: Up to 10 kegs of beer Snacks & soda (Kafe Kellogg) EMMC DJ Setup & Cleanup (Kafe Kellogg)

80 Other TG Rules Fines and Penalties: Conference or Company advertising outside the guidelines described in this presentation – full cost of TG Club advertising without permission/approval - $100 Canceling a scheduled TG less than 2 weeks before the actual date – your club will not be given first choice dates for TG the next year Alcohol: Beer and wine only at TG – NO hard alcohol is allowed at on-campus events
