1 Introduction to Qualtrics for Online Surveys Claire Goverts; Office of Research Analysis, and Planning (RAP)

3 Introduction to Qualtrics Survey building and deploying is easy. But it helps to have a frame of reference for where options are in Qualtrics and their terminology. – Tabs for navigation, similar to Microsoft Office Ribbon. – Panel = list of potential respondents – Library = file storage; messages, graphics – Embedded Data (ED) = data from sources aside from survey response.

5 Layout Continued In addition to the navigation tabs, Qualtrics also has a row of task icons for each survey. These are quick short cuts for the specific survey. The Collaborate button is how you can share your survey with others on campus.

7 Panels Qualtrics mailer uses panels to e-mail the survey invitations / reminders. Panel tab, create new. – Can upload from CSV. Name and E-mail needed. – Can include ID, along with any other data elements wanted for survey and analysis. (ED)

8 Create a Survey Using the create survey tab there are a few options. Today we are going to cover the Quick survey builder. – Click on the Quick Survey builder Option. – Type in a Name for your survey – (Optional) Folder – Click the “create Survey” green button.

9 Create a Survey You will then launch the edit survey tab and can start building. Click the green “create new item” button.

10 Create a Survey By default a multiple choice question is there. If this is wanted, change the wording. If not, then change the question type (red highlight).

11 Create a Survey Clicking the green button brings up this menu. Can click directly on a question type. Or hover for more options. (under text entry)

12 Create a Survey Text entry – multi line was selected in the previous step. The screen shot below shows editing the question after clicking on the “write question text”

13 Create a Survey Example of options, multiple choice and text entry Edit Multiple: If you want to copy and paste an existing list of question options, this is the place to do so

14 Create a Survey For each question needed, add and edit. For most surveys the default block is fine. For branching logic questions can be organized by intended audience. If the last questions are in their own block, can use block options to make the next button say “Done” or “Submit Survey”

15 Create a Survey Adjust any survey options as needed. Click the “survey options” button. – Back button or not – Prevent ballet box stuffing or not – End of survey message – Redirect to a specific web page – Thank you message Next button text in the “Look & Feel” menu.

16 Embedded Data This can come into your survey various ways, and have a variety of uses. To have it available, the Embedded Data elements need to be added in survey flow, in the “Edit Survey” tab. – Add new element, choose Embedded Data, type your field names. Capitalization and spelling important. – Can automatically pull from an existing panel instead of typing.

17 Distribute Survey Once finished building, activate your survey. Can be done in “Distribute Survey” tab, or the “Launch Survey” button in the “Edit Survey” tab. – Click the link to activate.

18 Distribute Survey Once the survey is activated can choose from the following: – Anonymous link, there by default – Qualtrics Mailer – mainly uses panels – Social Media / QR code – In-Page Popup

19 Survey Link This link can be sent to your respondents in any way. If in print or social media consider link shortening such as Bit.ly. It is possible to “tag” this link to correspond with the outlets in which it is shared. This can help track responses from various sources. – This is an example of embedded data (ED)

20 Qualtrics Mailer Click on the “Email Survey” option. Select your panel in the “To” field. Decide when to send. Write (and save) your message. – {a} button is how to pipe text, useful for first name and other personalization. Send / Schedule

21 Qualtrics Mailer - Reminders Once a survey is sent out, then the “Email History” option is where to go. 1) Click on the arrow under actions, then select “Send Reminder or Thank you” from the menu. -This will load the message editing screen. -When creating the message you can choose which type to send (reminder / thank you) -Can schedule multiple reminders while working. 2) Click on the bell to view reminders. Can see both scheduled and past reminders.

22 Social Media / QR Code Qualtrics has built in options for sharing via Social Media websites. – Click the network you want, follow the prompts The last option is a QR code – Save image, use in print publications. – Respondents scan with smart phone to launch survey. Useful for quick shares. If want tracking beyond network level use tagged survey link.

23 In-Page Popup This can be useful if you want to survey visitors to your website – Specify the text for popup – Edit the text for the link – Other options as needed for the popup

24 Results The view results tab has several options – View Reports; default tables for all items – Responses; raw data – Download data; for use outside of Qualtrics – Cross Tabulation; Rows and Column, Chi Square

25 Results – View Reports Anything generated from Embedded Data has a blue “ED” Social Media Distribution Demographics from Panel Question Responses

26 Results – Cross Tabulation Can select rows and columns to display data by. Useful to compare survey answers between groups. Can use survey questions and Embedded Data Calculates a Chi-Square

27 Reporting Newer feature in Qualtrics. Rather than the auto generated tables, you can build a report with various tables, graphs, and graphics. Can add more than one data source.

28 Survey Says Both the results and the reports can easily be exported. Both can also be scheduled to email. Analyze your data in Qualtrics or download in various formats.
