Staff and Faculty users are able to access their individual departments via the For Staff or For Faculty links. If a user is a staff member and a faculty or adjunct professor, they will be able to access both their staff department and faculty department sites. Student departments (most departments within the Provost Division ) can access their sites within the For Students link via their public site. Adjuncts also have access to the Faculty department areas they are employed with.

This is the Faculty Home Page. The Staff Home Page is very similar to this one, the only difference is the Provost has a public page accessible to all Faculty as well as a prominent space for announcements. On the Staff Home Page, the President’s Office is setup in this fashion. The “I need to…” area is designed to help users quickly locate common resources. The Site Links area provides quick access to GCU Committee sites. If you are a member of a Committee, then only the committee you are member of will be shown here. If you do not belong to any committees, then the entire Site Links are will be invisible. While within the Student, Staff, or Faculty areas, you will find Quick Links. This drop-down menu will bring you to key GCU online areas. Locate and click on your School/Department. School of Arts & Sciences members: Hover over the School of Arts & Sciences button, then click on the department you belong to. The Provost Division is a public site viewable by all faculty/adjunct members. Any announcements displayed here will automatically appear within the Office of the Provost announcement area on the Faculty Home Page. On the For Staff home page, the same will be found for the Office of the President.

Agendas and Minutes: Upload/retrieve your department’s meeting information. Message Board: Post and/or reply to internal departmental communications, i.e. discussions, questions, out of office, etc. Messages can be created, viewed and replied to via the department main page. Shared contacts are available for all department users to view/utilize. The Department Calendar is available for users to view/post events related to the department, i.e. employee vacation time, holidays, etc. Entries will additionally be shown under Upcoming Events. G Drive and Z Drive access is available via the left menu. You can view, download, and delete documents, however you can not save directly to it via the portal. If you open a document and want to make changes, you must save the document locally to your computer, then upload it back into the G/Z drive area. Please note: G Drive access is established via your login credentials. You will not be able to access any other G Drive other than your own. Additionally, permissions for Z drive access are the same as they are when accessed via your office workstation. If you are denied access to a particular folder or file, only requests received via email from your supervisor to IT will be accepted. Targeted announcements can be created via the Announcement Links area. To create an announcement, choose who your target audience will be. This is an example of a department site. While some sites may have more information and/or customization, all sites have the basic areas shown here. These basic areas will be explained now.

Click New from this tool bar.

Fill in the fields as necessary. Be sure to make the Title as brief but descriptive as possible. Note within the Body, you can change font styles, add hyperlinks, bullets, and more. Enter an expiration date for your announcement.

Your new announcement will be displayed on the MyGCU Home Page. Please note: Students are not able to view Staff, Faculty, & Adjunct Announcements.

Accessing Your Private Site via Your Public Site Some departments have public sites that are viewable by all GCU users (i.e. all Student Affairs and GCU Service Departments). To access your private site, you must navigate to your public site, then click on the Members Only area located on the left menu bar shown here. Please note: This link is only viewable by members of the private site. To all other users, it is invisible.

Shared Members Only Sites Some departments have sites available to share information with others including their own staff, such as Work Study students or multiple department access (i.e. Library, One Stop, etc.). In this case, accessing the Members Only area will bring you to this shared area. Within this shared area, departments will be able to access their own Staff Only areas either on the left menu bar as shown previously or on the right under an area called Secure Links as shown here. Within this area, individual departments can view only their information securely as well as access their department Z Drive. Please note: This link is only viewable by members of the private site. To all other users, it is invisible.
