1 Graduation Cohort and Dropout Dataset Reports
School Year

2 Overview Reports fall into three categories
Cohort – reports designed to show the status of students based on their grouping into a cohort using the reported grade 9 entry date. Dropout – students reported for any given school year who have left school before earning a regular high school diploma and are not enrolling at another educational institution that issues a regular high school diploma. Graduate – students reported for any given school year who have earned a regular high school diploma regardless of their grade level or how many years they’ve attended high school.

Some reports are utilized by more than one category. These reports are located in the top level of the Graduation and Dropout Reports section. Report Structure Three folders are present for each of the categories mentioned above. Location: Public Folders > eScholar Framework for Cognos – Production > Graduation and Dropout Reports Additional verification reports – The Student Template Details and the School Enrollment Template Details reports located in the Public Folders ‎> eScholar Frame- work for Cognos - Verify ‎> Validation Reports ‎> Template Verification‬ show raw template details.

4 Cohort Reports Cohort List without Attribution (4, 5, and 6 Year)
Used to determine how students will placed into the cohort before attribution. Ideal for determining students who are in the selected cohort. Best way to determine students with omissions in Grad Status Code. Cautions: Do not mix up reported dropouts and graduates from the school year with cohort graduates and non-graduates. Preliminary report only – once attribution is applied you may see additional students. Use this report to clean up your data prior to attribution.

5 Cohort Reports Frozen Data PDE Attribution Cohort Graduation Detail & Summary Shows all students who PDE is attributing to your LEA who were reported by both your LEA and other LEAs, as well as students attributed away from your LEA. This is the list of students that will be sent to DRC for attribution. By fixing any reporting errors indicated in this report you can significantly reduce your DRC requests! Cautions: Report includes information from other LEAs – as LEAs make changes to their reports it can cause the attribution of students who’ve been attributed to you to change. You should run this report frequently and look for changes that you may need to correct in your report or during DRC attribution.

6 Cohort Reports Frozen Data Final Cohort Graduation Detail & Summary
Shows all students who are attributed to your LEA from your LEA and other LEAs. This is the final list of students that PDE received from DRC after attribution. It is not available until after all reporting, correction and attribution windows are closed. It is for verification only. The summary counts and rates are what will be used for the School Performance Profile. The detail allows you to see each included student as an individual record. Cautions: The DRC attribution window closes for new attributions two days before final attributions are permitted. You must review and dispute any attributions before the final close date. Corrections are no longer possible by the time PDE makes this report available.

7 Cohort Reports Grade 9 Entry Date Cross LEA Verification Report
Shows all students from your LEA who fall in the selected cohort who’ve been reported with a differing Grade 9 Entry Date at another LEA. Very useful for cleaning up your cohort and correctly placing students into the appropriate cohort. When used in conjunction with the Frozen PDE Cohort reports, you can find why students from other LEAs may appear in the incorrect cohort for your LEA. Cautions: You cannot change another LEAs Grade 9 Entry Date. If you find a discrepancy, you must work with the other LEA to determine who needs to make edits.

8 Dropout Reports Dropouts Reported Elsewhere (Being Retired) Cautions:
Helps you find students you reported as a dropout who are also reported at another LEA. This may help you find students who enrolled elsewhere. Once verified, this report counts as written documentation of a Transfer and can be used as verification for transfer reporting. Cautions: This report does not show the reporting order for the student. Another LEA reporting the student may be before or concurrent with your LEA and therefore MUST be verified with the LEA before changing the student to a transfer. Not all LEAs are considered attributable. Some PIMS reporting agencies do not issue a standard high school diploma and are not valid for transfers.

9 Dropout Reports Dropouts Who Re-Enrolled Cautions:
Helps you find students you reported as a dropout who are also reported at another LEA. This may help you find students who enrolled elsewhere. Report counts as verification of enrollment. Can be used as written documentation of a transfer, the school of enrollment issues a regular high school diploma. Cautions: Not all LEAs are considered attributable. Some PIMS reporting agencies do not issue a standard high diploma school and are not valid for transfers.

10 Dropout Reports Dropout Publication Report (Preliminary and Final)
Reports show a summary of the LEA’s dropouts for the given reporting year. This is the data that will be published on the School Performance Profile, education.pa.gov website and sent to EdFacts for dropout reports. The preliminary report is from live data which continually changes during the course of a year. The final report is based on frozen data figures to match the published data and is not updated to reflect changes from overrides that you have requested. Cautions: Be sure you select the correct report. The preliminary only shows the current reporting year in the prompts. The final only shows previous years which are considered complete.

11 Graduation (Non-Cohort) Reports
Graduation Status Student Detail Verification Report shows a detail list of each student who is being counted as a reporting year graduate, reporting year dropout or reporting year transfer. This is the primary report to verify how each student in your Student template is being counted irrespective of their cohort. It is used to provide the detail behind both the Dropout Publication Reports and the Graduation Summary Reports. Cautions: Do not intermix this information with cohort reporting. Cohort reporting is based on students from many years grouped into a cohort based on their Grade 9 Entry Date. Graduation and dropout reporting is based on students from any cohort who have dropped out, transferred or graduated in a specific school year.

12 Graduation (Non-Cohort) Reports
Graduation Publication Report (Preliminary and Final) Reports show a summary of the LEA’s non-cohort graduations for the given reporting year. This is the data that will be published for non-cohort education.pa.gov website graduation files. The preliminary report is from live data which continually changes during the course of a year. The final report is based on frozen data figures to match the published data. It is not updated to reflect changes from overrides that you have requested. Cautions: This shows total graduates for the selected reporting year. It is not cohort based and is not the graduation rate or data used for the School Performance Profile or EdFacts graduation reporting. Be sure you select the correct report. The preliminary only shows the current reporting year in the prompts. The final only shows previous years which are considered complete.

13 Graduation (Non-Cohort) Reports
Graduation Validation Report (Being Retired) Report shows records for students reported as a graduate in the reporting year that may be missing required reporting information. It also shows 12th graders without grad statuses. It shows comparative counts of students post secondary plans between the reporting year and the previous year. Cautions: This report will be retired soon. The information it displays is presented in the non-cohort unaccounted for student report and the graduate summary reports. Most of the verification information on this report is now superfluous as the DQE looks for, and blocks the errors shown on this report.

14 Multi-Category Reports
Student ID Search - Grade 9 Entry Dates Shows all LEAs who have reported a student who have been reported in your student template. This allows you to see each grade in which the student was reported and the Grade 9 Entry Date reported for that entry. Very useful for correctly placing students into the appropriate cohort. Cautions: You cannot change another LEAs grade 9 entry date. If you find a discrepancy you must work with the other LEA to determine who needs to make edits.

15 Multi-Category Reports
Non-Cohort Unaccounted for Students Shows all students for a given reporting year who were reported in a previous year without an exiting Graduation Status Code (grad, drop or transfer) but were not reported in the selected school year. It also shows any other reported activity by another LEA in the selected year. This frequently indicates that the student has transferred. It is important to verify that the other LEA is one that offers a regular high school diploma before reporting the student as a transfer. This report replaces the “Students Reported Elsewhere” report. Cautions: While this report can count as verification of a transfer it can also be a case of a misreported student at another LEA. You should contact the other LEA and request verification.

16 Multi-Category Reports
Year-Over-Year Change Shows student counts for the selected year and the previous year, broken into the various demographic groups that are used for reporting to EdFacts, The School Performance Profile and the education.pa.gov website. Used as a comparative validation tool. In most cases the change in graduate counts from one year to the next should be similar to a change in enrollment. Use the Student Detail Graduation Status report to see the detail student list of students being summarized in these counts. Cautions: These are not cohort counts. Cohort reporting is students from many years grouped into a cohort based on their grade 9 entry date. Grad/Dropout reports are students from any cohort who have transferred dropped out, or graduated in a specific school year.
