First you need to pull the Master Data. Sign onto IRIS, and enter Z_FM_ZFMFINCOD - View / Download ZFMFINCODE Table , into the transaction field

Your search criteria will be pulling all Funds with a Business Area in the 3000 range. So enter that range into the Business Area Fields.

Most of the columns displayed are not needed for this report. To select specific columns, click the “Current Display Variant” button.

Select Fund, Fund Long Name, BE, College, and Department

Download to Excel, changing column heading names as needed.

For the Web search query, all blank fields in the BE, Coll, and Dept fields will need to have an asterik (*), inserted. This can be done with a Find/Replace.

Repeat this same process to pull all UT Foundation Funds. Use Business Area as the search criteria, and this time use the 7000 series.

Copy and paste this to the bottom of the previous master data spreadsheet. This should be all master data.

The spreadsheet is now ready for Treasury Office personnel to use to add the financial data (not handled by the Controller’s office).

There are now 2 spreadsheets that need to be taken into Access. One with Master Data, and one with the Financial Data provided by the Treasurer’s Office. The master Access query is located at I:/Shared/Pam/endowcurr

Upload the appropriate Excel spreadsheet into the appropriate Access table, and run the ENDRPT query. Export the ENDRPT query back to Excel, and this spreadsheet will be ready to upload to the Web.
