1 SAP Max Timeframe: What Works at Lenoir CC

2 Maximum Time Frame SATISFACTORY ACADEMIC PROGRESS (SAP) To be eligible for FSA funds, a student must make satisfactory academic progress, and your school must have a reasonable policy for monitoring that progress. Maximum timeframe— • For an undergraduate program measured in credit hours, a period no longer than 150 percent of the published length of the program.

3 The FEDERAL SAP TYPE is run the first time students are processed through SAPC. This assigns students the Max Out Time Frame status. Further review of there file will be completed to determine if there status should stay as maxed out.

4 Max Timeframe Rule On SPTD, the max timeframe rule is set to 85% instead of 100% that is normally recommended in our Job Aid. SAPR.CUM.ATT.PCT.PROGRAM GE ‘85’ 6/25/2019

This is the output from the Informer query. This gives the Student Id, First Name, Last Name, Academic Program, the amount of developmental classes a students has passed, the 150% point for the program, total attempted credits on the student’s record, and the remaining hours they can be paid for in financial aid.

9 If there is a negative number is the ‘remaining credits’ column, the student has truly maxed out . Those students are highlighted in yellow in this chart. They are no longer eligible for aid and they will remain on the SAP status that was assigned when SAPC was initially calculated. The students that are highlighted in yellow have maxed out their financial aid and will remain on the SAP status that was assigned when SAPC was initially calculated.

10 The students that are highlighted in BLUE have remaining eligibility in financial aid. There SAP status will be changed to reflect the remaining eligibility. It may be easier to sort this spreadsheet so that all positive numbers pop to the top. Then you can copy the Colleague ID numbers to SLED and create a savedlist to remove the MAX TIMEFRAME SAP status by using SABD. Depending on how many of these students you have identified, you may also choose to go to SAPV and remove the incorrect SAP status one student at a time.

11 SAPV or SLED/SABD Delete line 1 to remove the incorrect status of Maxout.

12 The spreadsheet that was created by the Informer report can be sorted by the Remaining Credit for FA. This will enable you to identify the students that have remaining eligibility. Then the Student Id numbers can be selected and a savelist created.

13 Name the savelist for the Max Remaining students using SLED.

14 Copy and paste the student id numbers from the excel spreadsheet
Copy and paste the student id numbers from the excel spreadsheet. Save and update out of SLED.

15 Run SAPC with the Savelist created on SLED
Run SAPC with the Savelist created on SLED. In the SAP type select the status of Max Remain to identify that these students have remaining eligibility. Save and update through SAPC.

16 Run PCEX The SAP correspondence also has a paragraph that explained they have XX hours left in FA eligibility. A computed column could also be written to identify the number of hours remaining. 6/25/2019
