1 RB Controls Clocking in and out follow ups inner office emails
Please press on the keyboard when ready for the next slide

2 All employees are responsible for clocking in into RB Controls at the start and finish of each workday Employees may not clock in more than 15 minutes before their assigned start time As part of the clocking in process, all employees are responsible for checking their and follow up assignments

3 in the lower left corner you’ll see the time clock button you need to use to clock in and out

4 Once you click on the time clock button this screen will appear Enter the last 4 digits of your social security number and then press enter

5 This screen tells you how many follow ups and s you have You must click confirm at the bottom to be sure you have clocked in or out

6 To check your follow ups and s you’ll need the buttons indicated below and to enter the last 4 digits of your social security number to access them

7 Follow Ups HAVE AN ACTION RELATED TO A SPECIFIC JOB OR CUSTOMER
SHOULD BE CHECKED AFTER PUNCHING IN AND BEFORE PUNCHING OUT KEEPS A RECORD OF ONGOING CONVERSATIONS WITH TIME STAMPS AND THE NAME OF THE PERSON RESPONDING THEY CAN BE FOUND EVEN AFTER BEING COMPLETED Example for follow up use – a customer asks about a quote for a new heater – this would go to the service manager

8 ONCE YOU SIGN INTO FOLLOW UPS (THE BUTTON SHOWN ON THE LEFT) YOU WILL SEE THE SCREEN SHOWN ON THE RIGHT

9 ONCE YOU’RE IN THE FOLLOW UPS YOU HAVE THE FOLLOWING OPTIONS along with responding and changing the follow up person Print Create a new follow up View customer profile Create a quote

10 Inner office s Should be checked after punching in and before checking out For non job specific or customer specific conversations Can be for more than 1 person Can be for requesting time off, information about training/meetings Example – asking everyone for help with a community service project

11 Once you have signed into the (called messages in the picture below) you will see the screen on the right

12 When you read emails you will see the following at the top and the bottom of the email screen

13 Follow ups and s For the next 5 days you’ll be receiving one of each daily Don’t forget to check them when you clock in and out! If you have any questions don’t hesitate to ask for help
