3 Job Orders The purpose of this policy is to review the process of taking a job order. When a client calls to place an order, the consultant completes an order entry Form. Accurate and thorough completion of this form is necessary for the first or unique job order taken from a client or prospect. This document serves as the basis for computer order entry and has many key questions which should be asked of the client company. The job order should be entered into the system immediately. SEEK has a temporary order entry form and a professional job order form which is used for direct hire orders.

4 Master Orders A master order is an order that is used as a template for future orders. A master order is created for the first request and then copied for the actual order. Each time a company makes a request for the same type of employee, the Master Order is copied. All changes to an order should be made to the master in order to keep that file the most current and up-to-date. If a client company has job orders for multiple shifts, each shift should have its own master order.

6 Entering a Job Order Navigate to the Customer record and go to the Defaults section of the client record. Make sure to enter all shifts in the Shifts in the shifts area. Confirm that the Worker’s Comp code is listed for the customer record for the job order you are entering. Click on the actions menu (Hand) in the client file and choose New Order. Choose Order Type (Example for a temporary Light Industrial Job – choose Light Industrial Assignment.) Confirm or choose correct WC code. Enter Directions if they are not entered in the Worksite in the customer record. Enter 1 as the number required for Master Job Order or enter the number of AE’s requested. Confirm you chose the right Order Type. You have the option of changing this at this step.

Choose job title for the position – note that this position will show on the Job Board and on the Applicant portal in the assignment information unless you put a public job description and title. Enter the Job Description as you would like this to read on the web unless you edit the Public Job Description – be as accurate as possible entering all the information that you possible have about the job duties, responsibilities. If it is larger than the box shown, a magnifying glass will appear and allow you to see the entire job description at one time by clicking on it. This area should only house job description information. Enter the dress code for the position. This should include what they can and cannot wear. Enter in the safety notes, all PPE required or safety orientations required. Enter Start Date and Duration. Est. End Date will populate for you based on the two fields. Choose Shift from drop down. If shift is not listed in the customer defaults, you will not be able to enter this here. Shift Start and End Time can be entered here if the proper shift is not available. If it is available, start and end times will populate for you. Shift notes can be used for breaks, lunches and other information pertaining to the shift such as rotation schedule or a different start time for the first day. Check the days of the week that the job normally is scheduled to work. Enter the rate of pay. Calculate and enter the bill rate based on the customer requested pay rate x bill rate of 1.xx.

No need to figure out overtime bill and pay rate unless it is different from the standard (contact Randy or Sara to set up exceptions to the overtime rules.) Pay periods are always 52 and this is the default – do not change. Add contacts – Report to, Supervisor, Ordered by, Arrival rep, and absence notification. Add any special report notes in the Notes area as well as any special requirements – testing, orientations, etc or if it does not fit in the notes area, place in the custom data fields. Change status to a Master order to create a template for copying in the future. Note: Create a standard order for each shift. In the notes area, please put any special client requests such as orientations, drug testing, sending resumes. Click on the Web Options Tab (As pictured below) and enter a public job title and craft the public job description to answer the two questions below. Currently this defaults to not posting the job to the web. Save the Job Order. Add Interest Codes to the job order. If required, add PO and Invoice recipients if other than company standard. (For assistance with both of these items, contact Randy or Sara). Click on Copy order from the Actions Menu (Hand) to create a copy of the Master Order.

Post to the web if necessary and document in the custom data for any other recruiting efforts.

10 Entering a Job Order Click on the actions menu (Hand) in the client file and choose New Order.

11 Creating an Assignment for an Order:
Navigate to the order you would like to fill From the employee search option select the candidate that you have qualified for the order Using the Actions Menu select "Create assignment for (order name)" TempWorks will automatically open the assignment screen.

13 Closing an Assignment:
Navigate to the order of the assignment you would like to close From the Actions Menu select "End Assignments" From this screen: From the Order Visifile choose the message that was created when you closed the assignment and choose "Edit Message" Change the message action code to:

Select the assignment you would like to close by checking the appropriate box Select the correct performance code Add appropriate performance note to indicate the reason for the assignment closing Choose the appropriate end date (the last day the employee worked) If the client would not like for this employee to return check the DNA box Choose the Save option at the bottom of the screen to close the box

16 Closing an Assignment:
Closing an Assignment: From the Order Visifile choose the message that was created when you closed the assignment and choose "Edit Message"

17 Closing an Assignment: Change the message action code to:
Layoff- if the employee is not the moving party Quit- if the employee is the moving party
