1 Renew your CIO for the 2018-2019 Academic Year!

2 CIO Renewal Process Timeline
Monday, April 2 - renewal app opens at 9 am Monday, May 14 - renewal app closes at 4 pm All CIOs with submitted renewal applications (not necessarily approved yet) by Monday, April 16th at 11:59 pm, will be entered to win FREE PIZZA at their first CIO meeting in the fall! The app does not need to be approved yet, just submit your initial app by that date. *Note that both “frozen” AND “active” organizations can renew. Frozen orgs are those who did not renew last year.

3 Opportunities to renew
Have your incoming President ( ): Fill out the app online OR Come in to the PAC on the 1st floor of Newcomb and we can help fill it out in person PACAs and/or CIO Consultants will be around to assist. Don't know who your incoming officers are yet? See slide 5!

4 How to access & Complete the Renewal App
Log in and go to your CIO’s page Click “Manage Organization” Click “Re-Register this Organization” Read each step thoroughly, and complete each step of the process. Make sure to hit SUBMIT at the end. Check on your CIO renewal status BEFORE Monday, May 14th, at 4 pm when the application closes. *Note that this form will only be accessible to the current Primary Contact and President. If for some reason, you need another member to complete the renewal, please let us know.

5 Before you submit your app
Update the new INCOMING President for to be the President in your CIO’s roster The incoming President needs to submit the application. *Individuals must be listed as members before they can be updated to an officer position. The app will ONLY be accessible to the President and Primary Contact of your organization, as listed Don't know who your incoming officers are yet? Here’s TWO options: Designate a returning member as the Primary Contact on your roster and ask that person to complete the renewal.  Or wait until your new officers are in place, as long as the new President can submit the renewal BEFORE May 14th. 

6 BEFORE you submit your App
List at least 10 DIFFERENT members of your organization in your roster and update roster with all new/current officers and current members. To be active, you must have a minimum of 10 returning members for the academic year.

7 BEFORE you submit your App
Copy and paste the exact non-affiliation language (BELOW) to ALL of your CIO’s websites and social media platforms. Although this organization has members who are University of Virginia students and may have University employees associated or engaged in its activities and affairs, the organization is not a part of or an agency of the University. It is a separate and independent organization, which is responsible for and manages its own activities and affairs. The University does not direct, supervise or control the organization and is not responsible for the organization’s contracts, acts or omissions. We will be checking your websites throughout the academic year. If your CIO does not have the non-affiliation language on ALL webpages, your account will be frozen until the requested changes are made. Google your organization & delete old websites/social media that you are no longer using. The non-affiliation language will not fit on Twitter, so please link your Facebook page to your Twitter account.

8 BEFORE you submit your App
Copy and paste the exact non-discrimination language below into your organization’s Constitution and upload the Constitution to the Documents section of your CIO’s page YOUR CIO NAME does not restrict its membership, programs, or activities on the basis of age, color, disability, gender identity, marital status, national or ethnic origin, political affiliation, race, religion, sex (including pregnancy), sexual orientation, veteran status, and family and genetic information. Note: This has been updated! Constitutions with ONLY the non-discrimination language are not sufficient. Please reference the Constitution template on Student Council’s webpage here.

9 BEFORE you submit your App
If you are using the University’s name in your CIO’s name, please check that you are using it correctly (see section 4 of CIO Agreement) in ALL places– social media urls, social media sites, websites, Constitution, etc. The Waffle Wednesday Club at UVA The UVA Club of Waffle Wednesday Please change “UVa” to “UVA” if you have this listed in your CIO’s name. Utilizing “Virginia Club of XYZ” is acceptable.

10 BEFORE you submit your App
Check to see that your logos abide by section 4 of the CIO Agreement. CIOs are permitted to use the official split-V logo. The use of all other University marks, symbols, logos, mottoes, or other indicia of the University is NOT permitted. Your Marketing Officer has access to create the split-V logo on brand.virginia.edu. Having trouble creating a split-V logo? Not sure if your logo is ok?

11 BEFORE you submit your RENEWAL App
Update the new INCOMING President for to be the President in your CIO’s roster This person should submit the app. List at least 10 DIFFERENT members & update the officers in your roster. Include the non-affiliation language on all websites and social media platforms. Delete old sites you are no longer using. Include the non-discrimination language in your CIO’s Constitution & upload doc to your CIO’s Documents section Check that your organization is using the University’s name correctly. Check that your organization is using logos correctly. Renewal app opens Monday, April 2nd at 9 am Submit renewal app by April 16th & be entered to win FREE PIZZA at your first CIO meeting in the fall! Questions?

12 How to access & Complete the Renewal App
Starting Monday, April 2nd! Log in and go to your CIO’s page Click “Manage Organization” Click “Re-Register this Organization” Read each step thoroughly, and complete each step of the process. 13 How to RESUBMIT CORRECTIONS
If your application is “denied,” don’t freak out!!! This just means we noticed a few things that need to be corrected. Please make the requested modifications and resubmit. To resubmit: Log in via Netbadge. Click the gray circle with your first initial in the top right corner of the page. Click on "Submissions" and then click on the renewal application. There, you can make edits and resubmit. Do NOT submit an entirely new application. Please be sure to edit your original and resubmit. *Note that this form will only be accessible to the current Primary Contact and President. If for some reason, you need another member to complete the renewal, please let us know.

14 How to Check your CIO’s Renewal Status:
The person who submitted the app can: Log in via Netbadge. Click the gray circle with your first initial in the top right corner of the page. Click on "Submissions" and then check the status next to your CIO Renewal submission. If the status says "In Progress" = renewal NOT completed and needs to be submitted If the status says "Pending" = renewal submitted successfully and waiting for approval  If your status says “Approved” = renewal completed successfully!
