To register you card click on ‘Register Online’

3 Online Registration Short Name is ‘HASI’
Enter your 16 digit card number and the expiration date. The last step is you need to enter the zip code the card is registered under.

4 Licensing Agreement After you enter your account information you will need to agree to the licensing agreement before creating your account profile.

5 Online Registration (Next four screens are password and contact information) The next few slides go over how to create your user profile. User ID will need to be at least 7 letters, numbers or both. Password will need to be at least 8.

8 Transaction Management
Once you’ve registered your account you will come to the following page. This is the page you will come to every time you login. To code your purchases click on ‘Transaction Management’

9 On this page click on ‘transaction list’

10 At this point you will come to a page with your name where your charges will be listed.. The screen will default to the current statement period but you can search for older transactions by clicking on the down arrow. At the bottom you will see your charges along with the status of each

11 At the bottom of the page you will have a ‘Reallocate’ option’ In this tool Allocate or Reallocate means to Code with account numbers. Select each Pending transaction and then click on ‘Reallocate’ to code them. Or you can select all transactions by clicking on ‘Check All Shown’.

12 c After you’ve selected the transactions you want to code and clicked on ‘Reallocate’, you will be brought to the reallocation worksheet page. A purchase description is required. The description should include the guest’s invoice number if applicable, the reason for the purchase, and any other pertinent information. If you know the account, you can free enter it. If you don’t know the account, just click on the magnifying glass to select from a list. District managers will do the same with the subaccount.

You can search for the account by description or value. When you find the appropriate account, click on ‘select’.

14 If you need to split a charge to two or more accounts, click ‘Add Alloc’ to open a new account line. Once you have entered the required fields you need to click on ‘Save Allocations’ to save your coding.

15 When you have a coding combination that you use a lot click on ‘add as favorite’ when you are done coding so you can quick code when transactions come up with the same coding combination in the future.

16 Submitting a transaction for approval
When transactions have been allocated (coded) and saved, Select those transactions that are ready to forward for approval, then click on “Approve”

17 Submitting a Transaction for Approval
The first time thru, you will need to select your default approver. After the first initial approval, all you will need to do is select, “approve”. This is the end of your part of the approval process.

18 Rejected Transactions
If an allocation has been rejected by your approver, you will need to click on “rejected” to find out why. After this has been corrected, resubmit (hit the approve button) to your approver

19 Disputing a Transaction
If you need to dispute a transaction, Click on Trans. Date
