Industrial Experience Option (INEX) Retroactive Admission Information Session Webinar -HIDE CHAT AND LIST OF ATTENDEES, START RECORDING. -My name is Stefanie Corona. I’m the Coordinator of Student Learning and Professional Development and Industrial Experience Graduate Programs at the Institute for Co-operative Education. I’m looking forward to sharing information about the Industrial Experience Option for undergraduate and graduate students specifically how to submit an application for retroactive admission for a Summer 2019 work term. I’ve been an active members of the Industrial Experience team for several years. Wednesday, January 9, 2019 2:00-3:30 p.m.

3 *Overview* -Will cover benefits; admission types; eligibility and policies; work term criteria; application forms, deadlines, components and policies; international student policies; fees. -This webinar will cover information for both undergraduate and graduate students. We’re also joined by faculty and staff members from the Gina Cody School of Engineering and Computer Science such as Department Assistants. Welcome! -The focus of the content is on applying for retroactive admission.

4 INEX Opportunity to add value to your academic program by gaining practical experience in a field relevant to your program of study Available in all Gina Cody School of Engineering and Computer Science undergraduate programs and course-based (non-thesis) graduate programs excluding Aerospace Engineering -The Gina Cody School of Engineering and Computer Science offers this option in collaboration with the Institute for Co-operative Education. -If you are in a thesis graduate program then INEX is not an option for you. -In 2017, we made significant changes to this option. If you have visited our website in the past and/or talked to friends about INEX, please make sure you have accurate information by reviewing the updated content on the INEX webpage.

5 INEX versus Co-op Functions like regular Co-op programs with several exceptions: It has a different application process Graduate students obtain 9 academic credits once all work term academic requirements are completed satisfactorily

7 Admission Types Formal Admission: You are formally accepted in the Fall semester and secure a work term through Co-op i.e. you complete the Career Fundamentals webinars, in-person Work Term Prep Seminar and apply to jobs on COMPASS (our internal database). We are no longer accepting applications for formal admission for work terms in Summer 2019, Fall 2019 or Winter 2020.  Retroactive Admission: You are not formally accepted in the Fall semester but secure a work term through your own job search. We are currently accepting applications for work terms in Summer 2019 only. -The next application deadline for formal admission will be in September This will be for work terms in Summer 2020, Fall 2020 and Winter 2021. -Not all students who apply for formal admission will be accepted which is why we have another application format called retroactive admission.

Are registered in an undergraduate program in Engineering and Computer Science Aerospace Engineering Building Engineering Civil Engineering Computer Engineering Electrical Engineering Industrial Engineering Mechanical Engineering Software Engineering Computer Science

12 Eligibility Must be in 2nd or 3rd year of program (i.e. have completed a minimum of 3 semesters of Engineering and Computer Science courses) Have and maintain a minimum cumulative GPA of 2.5 throughout the time you are enrolled in INEX Satisfy the Writing Skills Requirement by either passing the Engineering Writing Test or by completing ENCS 272 with a grade of C- or better -If you do not have the minimum cumulative GPA of 2.5 then do not apply.

13 Policies You cannot take a leave of absence prior to the work term
You cannot rescind an accepted job offer. A student that rescinds an accepted job offer will be immediately withdrawn and will not be eligible to re-apply to the program in a future admission term. You may complete 1 work term only You cannot schedule a work term during your capstone project

14 Policies If you wish to take a course during the work term, it must be approved by your Co-op Academic Director, work term supervisor and your Program Coordinator must be informed You will be enrolled by the Co-op office in the Work Term and Reflective Learning courses during the work term and must complete the respective academic requirements -If you have any account restrictions, this will prevent us from registering you in the Work Term and Reflective Learning courses. -The Work Term and Reflective Learning courses for undergraduate students are Pass/Fail courses that are not for credit and do not count towards your GPA. Work Term course requirements include submitting a work term report which is assessed by your respective program Academic Director (an Engineering and Computer Science faculty member) as well as an employer evaluation form. Reflective Learning course requirements include contributing to discussion forums on Moodle about workplace topics. The requirements will be explained in detail once you have been accepted into the option.

15 Policies You can end your degree on a work term, as long as you attend convocation in the following semester (ex. students completing their degree requirements while on a work term in Fall 2018 must apply to graduate before Tuesday, January 15, 2019 to attend convocation in Spring 2019) The Co-op office does not provide advising on academic matters. It is your responsibility for knowing the rules, regulations, policies and deadlines in the undergraduate calendar. The Co-op office is not responsible should you encounter any difficulties registering for academic courses, paying tuition and fees and/or applying for graduation.

18 Eligibility Have completed a minimum of 8 credits before the work term begins Your transcript must indicate that your status is full-time Have and maintain a minimum cumulative GPA of 3.4 throughout your time enrolled in INEX -If you do not have the minimum cumulative GPA of 3.4 then do not apply.

20 Policies You will be enrolled by the Co-op office in the ENCS 6931 course (worth 9 academic credits) during the work term and must complete the respective academic requirements You can end your degree on a work term, as long as you attend convocation in the following semester (ex. students completing their degree requirements while on a work term in Fall 2018 must apply to graduate before Tuesday, January 15, 2019 to attend convocation in Spring 2019) -If you have any account restrictions, this will prevent us from registering you in the ENCS 6931 course. -ENCS 6931 is a Pass/Fail course for graduate students administered by ENCS and managed by Co-op. It is worth 9 academic credits and does not count towards your GPA. There are several assignments throughout the work term including an objectives proposal, monthly progress reports, a final paper (approximately 50 pages) and presentation. The requirements will be explained in detail once you have been accepted into the option.

21 Policies You should consult your respective Graduate Program Director or Assistant for any advising on academic matters. The Co-op office does not provide advising on academic matters. It is your responsibility for knowing the rules, regulations, policies and deadlines in the graduate calendar. The Co-op office is not responsible should you encounter any difficulties registering for academic courses, paying tuition and fees and/or applying for graduation.

22 Work Term Criteria Paid Minimum 35 hours a week 12 to 17 weeks
If the student is currently working at the company, the internship must be with a different department and supervisor The student cannot be supervised by a family member. A graduate student must be supervised by an experienced engineer or computer scientist during the work term. The internship must be in an office setting with a physical address (remote/virtual/home-based company opportunities are not approved)

23 *Application Forms*

24 Applications Complete the respective application form by the deadline specified to be considered for retroactive admission. Incomplete/late/ submissions will not be considered. We recognize that students eagerly anticipate the release of their decision and would like to know as soon as possible. All admission decisions (accepted or not accepted) will be sent via . As we receive record numbers of applications, we are unfortunately unable to reply to individual s regarding the status of an application. Please allow a minimum of 10 business days for the Co-op office to process your application. -Application is now completed online. No hard copies will be accepted at the Co-op office or via . There is no need to send any documentation whatsoever via ex. transcript or résumé. These s will be deleted. Focus on answering the questions on the application form carefully. -Make sure to review your responses very carefully prior to hitting the final submit button. You cannot re-apply or ask for your application to be deleted.

25 Application Forms -There are separate application forms for undergraduate and graduate students and international students. -The deadline for undergraduate and graduate international students to apply for retroactive admission to INEX for Summer 2019 is Friday, January 18, 2019 at 5:00 p.m. -Applications have questions about background information; cumulative GPA; must upload job description, offer letter and interview summary sheet for graduate students only; contact information of hiring manager or supervisor.

Offer letter from an employer confirming that the internship is full-time, paid, 12 to 17 weeks, with a different department and supervisor if the student is currently working at the company and the contact information of the hiring manager or supervisor (name, address, and telephone number). The offer letter for a graduate student must also confirm that the supervisor for the internship is an experienced engineer or computer scientist.  Not all students who apply will be accepted An offer letter from an employer does not guarantee admission

33 International Student Policies
You must obtain a valid Co-op work permit through Citizenship & Immigration Canada. For more information, visit the Government of Canada website. You should consult the International Students Office with any questions -The Co-op work permit will be explained in detail once you have been accepted.

34 Fees Obliged to pay Co-op fees in addition to regular tuition and fees
Non-refundable Fees will begin upon admission and the last fee will be charged during the work term Undergraduate students pay 4 fees of $185 in addition to their regular tuition and fees (i.e. 4 x $185 = $740 plus Reflective Learning course) Graduate students pay 4 fees of $185 in addition to their regular tuition and fees (i.e. 4 x $185 = $740 plus ENCS 6931 course) -New fee structure for students admitted as of Fall The fee structure is subject to change without notice. -This is to cover in part the administrative costs particular to Co-op.
