Request for Emeritus Status Request for Recall

2 Redelegated Merit Department prepares the dossier in MIV
When completed, department submits the packet electronically to the Dean’s Level in MIV by the assigned deadline Department submits required hard copies, supporting documents and a cover sheet to their analyst in Academic Personnel by the assigned deadline Cover sheets are located at Recommended Action Form and department letter is stamped with the date and the time it was received at Academic Personnel and it is placed the inbox of the analyst assigned to that department

3 The analyst will review the dossier and determine if it is correct and ready to submit to the FPC committee If corrections, edits or additions are necessary, the packet is returned electronically in MIV to the department level Once corrected, the department notifies their analyst in Academic Personnel that corrections, edits or additions have been completed and that it has been sent back electronically to the Dean’s Level in MIV If hard copies were re-submitted to Academic Personnel due to necessary corrections, they are stamped with the date and the time it was received The analyst will review the corrected dossier and determine if it is ready to submit to the FPC committee or if further corrections, edits or additions are required

4 The dossier is logged into the list of completed packets and placed on the FPC agenda for their review and recommendation The FPC committee meets the 1st and 3rd Wednesday of every month The agenda for each meeting is determined by the availability of the committee members and the number of actions that can be reviewed within the timeframe of the meeting Once the FPC committee has reviewed the dossier, they prepare a memo with their vote and recommendation FPC returns the dossier back to Academic Personnel together with the recommendation memo

5 DEAN’S APPROVAL The dossier is logged into the list of reviewed packets from FPC and given to the Dean for approval, denial or modification Once the Dean has determined the result of the merit, it is given back to the analyst to complete the processing

6 The analyst prepares the announcement memo, enters the transaction into PS and logs the decision into the academic personnel database If approved, the analyst returns any supporting documents back to the department If denied, the analyst keeps the supporting documents until it is determined whether the candidate will be submitting an appeal

7 Non-Redelegated Merit
Department prepares the dossier in MIV When completed, department submits the packet electronically to the Dean’s Level in MIV by the assigned deadline Department submits required hard copies and hard copies of supporting documents (including publications) to their analyst in Academic Personnel by the assigned deadline Recommended Action Form and department letter is stamped with the date and the time it was received at Academic Personnel and it is placed the inbox of the analyst assigned to that department

9 The dossier is submitted to the Vice Provost’s Office
The MIV file is sent electronically to the Vice Provost’s Office for CAP to review and recommend approval, denial or modification The cap committee meets once a week The agenda for each meeting is determined by the availability of the committee members and the number of actions that can be reviewed within the timeframe of the meeting Once the CAP committee has reviewed the dossier, they prepare a memo with their vote and recommendation

10 VICE PROVOST’S APPROVAL
The dossier is logged into the list of reviewed packets from CAP and given to the Vice Provost for approval, denial or modification Once the Vice Provost has determined the result of the merit, the announcement is sent to the candidate and to the Dean The supporting documents are sent back to the department

11 The analyst prepares the announcement memo, enters the transaction into PS and logs the decision into the academic personnel database If approved, the analyst returns any supporting documents back to the department If denied, the analyst keeps the supporting documents until it is determined whether the candidate will be submitting an appeal

12 Request for Emeritus Status
Department chair prepares recommendation letter one quarter before the non-senate academic appointee retires and submits to Academic Personnel for the Dean’s recommendation Academic Personnel stamps the request with the date and the time it is received and the request is placed in the analyst’s inbox Analyst reviews for accurate information and forwards to the Dean for recommendation Dean forwards recommendation to the Vice Provost Vice Provost academic personnel reviews and forwards to the appropriate personnel committee for recommendation

13 CHANCELLOR’S APPROVAL
Personnel committee makes recommendation and forwards to the Vice Provost Vice Provost confers with the Provost and makes recommendation to the Chancellor Chancellor reviews all materials and makes final decision; notifies candidate in writing of conferral Academic Personnel analyst is notified and processes the transaction into eHr CHANCELLOR’S APPROVAL

15 Recall of Emeritus Department chair prepares request memo to recall an Emeritus faculty A minimum 30-day break in service after the date of retirement is required prior to any recall to active duty. Emeritus can be recalled up to 43% for 1 year or less and shall have a specific end date Recall appointments are on a year-to year basis Salary is based on the fiscal year salary at the time of retirement Request to recall is submitted to Academic Personnel for the Dean’s recommendation Academic Personnel stamps the request with the date and the time it is received and the request is placed in the analyst’s inbox Analyst reviews for accurate information and forwards to the Dean for recommendation

16 CHANCELLOR’S APPROVAL
The Dean’s recommendation is sent to the Vice Provost for recommendation Vice Provost recommendation is sent to the Chancellor, who has approval authority Academic Personnel analyst is notified and processes the transaction into eHr
