1 RecTech - Associated Recreation Council
- Digitizing intake forms & collecting data - ALBERT: For 10 years, RecTech has been a leading community resource that provides technologic growth for communities that need it most (Yesler, Rainer, Rainer Beach, South Park, and Delridge) They provide digital access and knowledge to Seattle communities, teach classes to middle and high school students that prep them for their future schools, RecTech in general is a leading community resource that builds stronger communities through technology.

2 Problem Statement Main focus:
Simplifying registration of new computer lab users by digitizing intake form Secondary: Simplifying the exporting and retrieving data to tell the story of how RecTech is helping to bridge Seattle’s digital divide Tracking more specific information related to user demographics ALBERT: What problem does RecTech need help solving? Why is it a problem? While RecTech is good at delivering programs and resources to the community, it is hard for them to keep track of vital information. Many of the information if not all is obtained by paper and then getting manually input into their data system. Digitizing the new user form would not only save trees but will save time and keep precious data protected. Simplifying the export and retrieval of the data is the secondary problem. This is important because it allows RecTech to get more funding with this information provided. Solving these two problems would allow RecTech to keep track of who, when, and why people are using the services which leads to more funding for their programs.

3 YVONNE: Before we dive into how we approached the problem and designed our solution, we wanted to present a visual that reinforces why this is important. Like Albert mentioned, RecTech depends on funding to keep their centers open, and so finding a simple way for them to store and organize their data is really important. And with a good digital intake form and database model, they’ll more easily be able to generate reports, like this one, that tell the story of the impact their making in their communities and how they’re helping to bridge Seattle’s digital divide.

4 Our Vision: Data Flow PUMA: Our vision: how do we picture the data flow? From the time a person walks in to one of the centers, to when they log out. New user walks in → logs in → Gather data → Database → RecTech pulls data & generates reports There will be two types of users, existing user and new user. If user is new to the RecTech Coalition, she will prompted to create a new profile. Then, server gathers data and automatically logs in to services. On the other hand, existing users can enter their name and birth date to login. All information about who is logging in and how long they are using computers will goes into database, so that site lead can extract/get those data for getting funded and show its progress for further action.

Might be way to use Microsoft Access forms to sign in to the Access database To connect to a MYSQL Server PHP is the standard way to connect web elements with a MYSQL Database Other ways based on the language and type of database Google Directory API Accesses Google Cloud Database environment Costs money so not too much research

Cloud Hosting Azure/AWS/Google Cloud Databases Cost based on # of processors, # amount of storage per gb, network usage Azure: 1 processor: $32.27 per month Storage: $0.11 per GB per month Databackup: $0.12 per GB per month Benefit of cloud is that you don’t need to worry about purchasing and running a server AWS, Heroku hosting services have free options Limited

14 Report Analysis Options
Either Access or MYSQL can export data into commonly used data formats that can be accessed by Excel and Other Data Analysis Services SQL statements are essential for getting the necessary information from the server Access has a drag-and-drop query creator that can export directly to Excel Simple SQL statement to export query to .csv Scripting Languages such as R and Python have data analysis modules Tableau Online (data visualizer tool) - no server needed, can upload files from either Access or MYSQL Expensive at $42/month unless they have other special pricing

15 Next Steps/Recommendations
Create login system & web interface Set up system for pushing data from web forms into database Future possibilities: User online profile Think Khan Academy, where you get badges for making new milestones. Design additional survey that gathers qualitative data on computer lab usage HANSEN: If time allows, we could further expand from this project by creating a functioning login system and web interface, which would allows users to automatically enter data into the database instead of having someone from rectech to have to deal with those paper works. We could also update the database model design with the access database that we already have. We could also design queries to generate standard reports that can be pulled on regular basis. For the user profile, think of an Interface where user can see their progress, number of programs they’ve participated in, number of hours spent learning,
