3 [Setup User Access] Initiate
Giving a person the ability to login to Vault is managed via Vault Settings. This can be found under the ‘cog’ icon in the Menu bar. A prerequisite to this action is that the person requiring access must already exist in Vault as either a Worker, Contracted Worker, Third Party / Visitor or Other Person type. In this guide, it is assumed that this step has already been completed.

4 [Setup User Access] Add User
Click the User Authorisation icon. A register of all existing Vault Users is shown To add a new User, click Add User

5 [Setup User Access] Add User Form
This invokes the Add User form which allows us to select the person requiring access, and define the level of access they will be given To select the Person, click the Find button. Select whether you wish to add a Worker, a Contracted Worker, or a Third Party / Visitor.

Find the person either by scrolling the list, or search using some detail about the person, such as their name or Employee number Once the right person is located, double- click to select

7 [Setup User Access] User Name, Key User
Next, select a User Name in the format of your Organisation’s choosing If this person will be one of the main Users of Vault for your Organisation, tick the Key User check-box. Enabling this option provides the ability to submit support requests and feature requests via the Vault Support Centre

8 [Setup User Access] Sensitive User, Password
If this person should be able to see Events marked as sensitive, click the Sensitive User check-box. Note that this should be enabled with careful consideration as it will allow access to events that may be highly sensitive to the business or individuals involved. Create a password for the User, noting the requirements. The password must be at least 7 characters long and contain at least 1 number and 1 special character. A special character is a non alphanumeric character such as the ‘at’ or ‘dollar’ symbol.

9 [Setup User Access] Business Intelligence
Select whether any additional permissions are required in other Vault systems your Organisation may use such as Business Intelligence, or Vault apps If Business Intelligence is required, select the correct level of User access

10 [Setup User Access] Vault Apps
For Vault Audit and Vault Check access, select from the following access levels

11 [Setup User Access] Vault App Portal
If the User is given any level of access to Vault Apps, select the Vault App Portal that you would like the User to see in the Vault App Portal drop-down list. The options shown here will depend on VForm Portals created by your Organisation in settings. Finally, select the Sites and permissions that the User should be able to access with their Vault login. To make your selection, click the Edit button.

12 [Setup User Access] Access Group
The modules and tabs that the User will or will not have access to within Vault are set via selection of an Access Group already defined by your Organisation in Vault Settings Simply select the required Access Group from the list to apply it to the User Site list

13 [Setup User Access] Site Selection
Use the Organisation Structure to select the Sites that the User should have access to The column on the left shows the entire Company Structure. The column on the right shows the section of the Company Structure that the User will have access to To make your selection, find the required section of the Organisation in the ‘left’, and ‘push it’ to the ‘right.’ For example, if the User should have access to all Sites, select the Organisation itself and click the right- facing arrow to ‘push’ this to the right.

If the User should have access to all Sites within a particular level, click the level and ‘push’ it to the right If the User should have access to one or more individual sites, click a Site and ‘push’ it to the right, then repeat for any additional Sites

If you’ve made a mistake, use the left-facing singular arrow to remove the selected part of the Structure, or the double-arrow to remove all Once the correct section of the Organisation is ‘pushed’ to the right, close the window to confirm the selection.

16 [Setup User Access] Save
Once all selections are made, click Save The User is now setup and the login may be used. Supply the User with the username and password you created for them, along with the URL for your Vault system which you can find in your browser’s address bar
