1 Converting Vacation to Banked Leave

2 Definitions Vacation is paid time off that is accrued but hours may be lost if not used in an appropriate amount of time. Banked leave is a ‘Back-up’ vacation account in which you can transfer Vacation hours to Banked Leave. These hours will never be lost if they are not used.

3 Qualifications for Banked Leave
Must be earning at least 160 hours of Vacation each year or Have a Sick Leave balance of at least 520 hours by the middle of October.

4 Converting Vacation to Banked Leave
Under the Time and Absence module, click the Leave Reports tab. Select the current year’s Banked Leave Report. If you do not see the form, you are not eligible.

**Note this form is not used to convert vacation to Banked Leave. It is only used to show eligibility. Determine the amount of hours you are eligible to convert. To do this you need to look at both the amount of hours in the ‘Eligible to Covert Up To’ box at the top right and the Option marked in the Part 1: (Eligibility) section.

After determining eligibility start by clicking Enter Absence.

7 Converting Vacation to Banked Leave
Entry instructions for converting Vacation to Banked Leave: Start Date: Click on the calendar and select a date between 12/1 and 12/31. Please use day that is your normal day off, such as a Saturday or Sunday. Absence Name: Click on the down arrow and “Convert Vac to Banked Leave”. Now the End Date shows up…select the same date as your Start Date. Convert: Enter the amount of vacation hours you want to convert to Banked Leave. You will receive an error message if the hours are not entered in whole hours. HRS will verify eligibility and availability before converting. Click on Submit

8 Vacation To Payout You are only eligible for the Payout option if you are earning Vacation at 200 hours or more. To transfer hours to payout, please follow instructions on previous slide. #4: Enter hours in the Convert or Payout boxes or a combination of both.

10 Verifying Request From the Request Absence Screen:
Click on View Absence Request History On the Absence Request History Screen the request to convert will look like this: *** Note when you look at the Absence Request History Screen, the hours converted will not be listed. Click on the blue link Convert Vac to Banked Leave to see the hours converted.
