Enterprises need to adapt to a globally connected world
Teams span the globe Extended enterprises and strategic partnerships Mergers and acquisitions Outsourcing Teams are fluid Changing from project to project Crossing organizational boundaries “WPP…looked at all its employees… as a vast pool of individual specialists who could be assembled horizontally into collaborative teams, depending on the unique demands of any given project. And that team would then become a de facto new company…” Thomas L. Friedman, The World is Flat Management models of the future will need to contend…with how to orchestrate a complex and changing network of individuals within and outside the boundaries that previously defined “the enterprise”… Global Innovation Outlook 2.0 March 2006 When we plan a new product like Lotus Quickr, one of our key inputs is absolutely the suggestions and input from our customers. But we also look at trends in the marketplace… trying to anticipate key challenges that organizations will face and how our Lotus software can have a positive impact. This section of the presentation covers some of the key business trends that we think our particularly relevant to the are of content management and team collaboration. To start with, we all know that the nature of the teams we work with is changing. The notion of a departmental system just doesn’t match the kind of fluid virtual environment in which many of us work today. We work on multiple teams, some of which include members from outside our organization. In fact, as this quote from Tom Friedman’s book indicates, sometimes teams even become like de facto small companies.

Innovation is critical to compete in the 21st century and collaboration is essential for innovation…
Top innovation priorities Extend the ability to collaborate inside and outside Innovate business models and processes Leverage information for business optimization 87% of CEOs believe fundamental change is required in next two-years to drive innovation Innovation is also a very hot topic in the business news and a critical priority for an overwhelming majority of the CEO’s that we surveyed in mid Moreover, the CEO’s identified effective collaboration as a critical factor in their ability to innovate effectively. External collaboration is indispensable. CEOs stressed the overwhelming importance of collaborative innovation – beyond company walls. Business partners and customers were cited as top sources of innovative ideas … Source: 2006 IBM Global CEO Survey

A workforce in transition provides challenges and opportunities
Older workers (Age 50 +) Mid- career workers (Age 35 – 50) New generation (born after 1980) Growing as % of workforce Shrinking as % of workforce Hold the wisdom and intellectual capital of the organization Essential source of professionals and middle managers Critical to long-term viability and innovation Traditional approach to technology, collaboration, organizational loyalty, and rewards Tech savvy but not “native speakers”; mixed approach to collaboration, loyalty, and rewards Technology is 2nd nature; more interested in peer / interest groups than organizational identity; think work should be fun and fulfilling Another important trend that many organizations are starting to focus on is the dramatic shift in the demographics of the workforce. The number of mid-career workers – the core that represents middle managers and critical professionals – is shrinking. Workers approaching retirement is a growing number… and execs are worried about how to capture their intellectual capital before they leave. The number of gen Y workers or millenials is growing… organizations need to court and keep them and they have very different styles of working. They aren’t driven … and they aren’t document-centric… Capture their knowledge before they retire Relieve their stress and increase their effectiveness Attract and retain; harness their collaborative style

Web 2.0 is the native language of “Millennials” and the new language of collaboration …
By 2009, wikis are predicted to become mainstream collaboration tools in at least half of all companies. Everyone contributes A new blog gets created every second. Everyone’s opinion should be heard Almost three-fourths of teens send instant messages more than . Communication is constant For the millenials, Web 2.0 isn’t a passing fad. It is fundamental to the way they expect to work. They expect that authoring means everyone contributes… thus the rapid growth of wikis. They expect that everyone has a right to publish their opinions… thus the rapid expansion of the blogisphere. And they communicate via IM and Facebook or Myspace, rather than . And every generation wants the applications at work to be as “cool” and attractive as the ones at home … Technorati/ Law Technology News, Dec 1, 2005; Comscore, Aug 8, 2005; America Online /Research Alert, Jan 6, 2006

A “collaboration gap” looms large in the mind of the CEO
External collaboration is indispensable. CEOs stressed the overwhelming importance of collaborative innovation. % of CEOs who believe collaboration is “absolutely critical” or “of great importance” 80% % of CEOs who believe their organization collaborates “to a large extent” Financial performance: strong collaborators enjoyed healthier revenue growth and average operating margin over their competition... 60% 40% Another key finding of our latest CEO study… just over 80% of them identified collaboration as critical – either “absolutely critical” or “very important”… and yet only about 55% of them felt that their organizations were collaborating successfully. Also notice that we found a direct tie between organizations that collaborate effectively and financial performance.. so the need to collaborate isn’t just a subjective thing in the minds of execs. 20% The gap: although collaboration aspirations were high, actual implementation was dramatically lower… 0% Source: “Expanding the Innovation Horizon: IBM Global CEO Survey”

State of current tools contributes to the gap…
Fragmented: collaboration tools are fragmented and disjointed Hard-to-use: only those with greatest need are willing to tackle the learning curve Stove-pipe silos: users are forced to change applications to access needed collaboration services Lack of integration: separation between communication and collaboration services leads many users to fall back to the pervasive “reply to all” Unfamiliar: current tools don’t enable users to stay within their favorite applications Why the gap? Some of the reasons are obviously things like corporate culture… or like the transformation in demographics that we mentioned earlier. But we know that it is also the collaboration tools we have today. People might have tools, but they don’t use them as pervasively as they use or IM. They find the tools non-intuitive, silo’d… not integrated. And Lotus Quickr is focused on helping organizations close this gap.
10
Transforming the trends into product strategy…
Integration & flexibility: Fits right into the applications you use Customizable to meet your needs Open Simplicity: Easy to get started Easy to learn Simplifies your everyday work Anytime, anywhere access: Collaborate inside or outside your firewall Take your content offline Relative importance* of attributes to buyers of collaboration software Integrates easily Simplify way work Anywhere/time access Organization more responsive Reliable and stable Employees productive Adaptable to needs Excellent service / support We also mentioned at the beginning that we listen to our customers when we design a product like Lotus Quickr. We listen to you and build some of the specific features and functions you want. We also listen to you and focus on the attributes that are most important to you. In a recent survey, you told us you value integration and flexibility --- a solution that fits into what you already have. You value simplicity – it has to be easy to get started with, easy to learn.. something that simplifies your life instead of adding another silo’d application to worry about. And you want anytime, anywhere access… we doesn’t necessarily mean looking at a teamspace on a PDA… It also means collaborating outside the firewall, taking content offline, working from your favorite applications. Introducing IBM Lotus Quickr
Fastest way to share everyday business content with your teams… Lotus Domino IBM JCR IBM FileNet * SharePoint * Other Quickr Connectors Shared Content Team Workspaces Anywhere, Anytime Workflow Wikis Team Blogs Business templates Quickr Services Quickr Content Stores Most complete set of connectors to desktop applications and an open connector architecture for developers Rich collaborative content and team services integrated with entire IBM portfolio Out-of-the-box business templates (e.g. Innovation Place) leveraging composite application support Integration with Lotus Dominoâ and JCR content stores initially, and plans for IBM FileNet P8 support, providing comprehensive, scalable end-to-end content management options Quickr Content Stores So let me define what Lotus Quickr 8.0 is. The product tagline or short description, is about “sharing everyday business content with teams”. The keyword here is “content”, Quickr is not just about sharing “documents”, you know, the artifacts that you create in MS Office. It is more than this, it includes of course diverse file types (like PDF, ODF, etc..), but it is even broader than this and covers web-based content: wiki pages, blog posts, calendar events, etc.. Nice description but ... What is the box ? The easiest way to describe Quickr is in using the three layers on the graphic on the right: first, Quickr is of course a browser experience but also a set of client connectors that deliver content and team collaboration to the end-users inside the applications that they are using every day. In other words, connectors are extensions to the most widely applications such as Lotus Notes, Sametime, MS Office, Windows Explorer, that allow a user to create, share and manage content - without having to use the browser. This native experience is critical to closing the collaboration gap, as connectors will make it natural and easy for people to share and collaborate. Second, in the middle, Quickr is a set of open services to create and manipulate content, such as team spaces, document libraries, wikis, etc... These services are open and public, so the Quickr content can be naturally embedded into other applications, not just a stand-alone content that is out of the way. It is good to have open services but out of the box value is also important. So Quickr will also provide a set of business templates (project management, innovation places, etc.) so your customers can be productive day one. Third layer, at the core: Quickr will provide a choice of content stores in the box, available either as a) the Domino repository or b) as a relational database, also referred to as the Java Content Repository (JCR). More importantly, the strategy is to provide integration with diverse content stores, first to FileNet in late 2007, and then to other content stores. The design goal is to isolate end users from the repositories, so users don’t have to worry about where the content resides. It should be transparent to them which provides more freedom for IT to manage their infrastructure without impacting end users. To summarize, out of the box Quickr delivers the following: client connectors, the set of open services for the functionality and a choice of repositories. * - Requires separate purchase; supported in future release of Lotus Quickr

Lotus QuickPlace® & Lotus Quickr
Lotus QuickPlace customers will be entitled to Lotus Quickr 8.0 QuickPlace 7.0 customers can think of Lotus Quickr 8.0 as their next release With so much more: connectors, collaborative content management, composite applications, etc... For QuickPlace 7.0 customers, moving to Quickr 8.0 will be even easier than previous release upgrades No need to upgrade your entire environment ! Lotus Quickr 8.0 runs on both Domino 7.0 and 8.0 Before we go further… the name Lotus Quickr might have you wondering about the relationship between Quickr and Lotus QuickPlace. Two messages – both good news for QuickPlace customers. 1) Lotus Quickr is a NEW product with many new and exciting capabilities beyond what QuickPlace has today. 2) Lotus Quickr will be like a release upgrade for QP customers – they are fully entitled and moving to Lotus Quickr will be like doing a release upgrade… even easier actually. And Lotus Quickr will also run on a Domino 7 infrastructure so you don’t have to wait to deploy Quickr until you’re ready to upgrade your whole Domino environment.

Lotus Quickr also runs on multiple servers, supports multiple desktops and integrates with multiple directories. And Quickr supports industry standards like Eclipse, RSS / Atom feeds, Open Document Format, AJAX for user interfaces, and of course Java and Linux. * - Requires separate purchase; supported in future release of Lotus Quickr

Access Lotus Quickr from an inviting, intuitive Web 2.0 interface…
This Lotus Quickr welcome page is representative of a new, fresh, Web 2.0 user interface… designed to make people want to use the product. Our goal is to provide a rich browser experience that surfaces the full range of Lotus Quickr capabilities. In addition to this browser experience we also provide the Quickr connectors to access many Lotus Quickr functions directly from popular desktop applications.
18
Lotus Quickr Connectors integrate right into your favorite applications…
Making sharing & collaboration transparent and natural Lotus Notes® client Windows Explorer / “My Documents” Lotus Sametime® Microsoft Office / IBM Productivity Editors These Lotus Quickr Connectors are a key differentiator for the product… an important part of how we plan to help organizations close the gap between their desire to collaborate and the actual practice of collaboration. Initially, we’re providing four connectors – for Lotus Notes, for Microsoft Office and the IBM Productivity Editors, for Windows Explorer, and for Sametime. We’ll provide more in the future (like Microsoft Outlook) and we also anticipate that our Business Partners will leverage our open architecture to build additional connectors. Let’s take a look at them up close… Simplicity Anytime & Anywhere Integration & Flexibility
19
Integration & Flexibility
Lotus Notes Connector Helps reduce attachments, content duplication, and “version anxiety”… Open and save attachments into library or team workspace Replace attachments with shared links Integrated into file menus and “right click” “Reminder” prompt encourages participation Supports Lotus Notes 7 & 8! These are screen shots of the Lotus Notes Connector… both for Notes 7 and for Notes 8 (code-named Hannover). You can see that you have the ability right from an to attach a link to a document that is in one of your Quickr places. Right from your Notes client… from within the .. you can navigate to find the right document in your Quickr place, just like you would navigate through the window that shows the folders on your C-drive when you want to send an attachment. That’s the key here… you don’t have to leave what you’re doing to go find the appropriate document and do “copy as link”… you use the same familiar “gesture” that you would use to attach a document. Another key capability of this connector that people really love when they hear about it --- the little pop-up window that gently nudges you when you revert to your “send an attachment” behavior. Essentially, it says “do you really want to send that attachment? wouldn’t you like to put the document in a Quickr place and send a link instead?” Seems like a simple concept but it can make a huge difference in managing your in-box and actually starting to transform behavior… By the way, the Notes connector works with Notes 7 and Notes 8… so you can start collaborating with Lotus Quickr before you have upgraded your desktops to Notes 8. Simplicity Anytime & Anywhere Integration & Flexibility
20
Microsoft Office Connector
Facilitates collaborative document authoring and version management… Open and save documents into library or team workspace Assign document properties (meta-tags) Integrate with workflow for approval routing Integrate with “dogear* ” for tagging Use your editor of choice (no forced upgrade) Microsoft Office XP, 2000, 2003… IBM Productivity Editors The Microsoft Office connector lets you take advantage of Lotus Quickr capabilities directly from Office applications … PowerPoint, Excel, and Word. You can see that when you are in Office, you have an actions drop down that gives you capabilities like being able to check a new document into a Quickr place. If you have created workflow for a document, you might have additional actions (that are grayed out in the example) like being able to approve or reject a document. An important thing to note here… our goal is to support the versions of these desktop tools that are the most common, which means Office 2000 and In the near future, when adoption starts to increase, we will of course support Office This is an important advantage for customers. They don’t want a solution that forces them to upgrade all their desktops to the latest version of Office. A final point to mention. We will provide a similar Quickr connector for the IBM Productivity Editors. These are the editors that we provide as part of the Notes 8 client. Also available for IBM Productivity Editors with ODF support * Requires purchase of Lotus Connections Simplicity Anytime & Anywhere Integration & Flexibility
21
Lotus Sametime Connector
Provides easy access to shared content right from real-time client … Navigate content through a simple tree interface Drag and drop from local system to libraries and team workspaces Integrated action menu Quick contextual access to shared documents Send links in chats Invite colleagues to download the connectors The Sametime connector takes advantage of the Eclipse framework that we use for the Sametime 7.5 client. You can see we have a “shelf” for the Lotus Quickr connector where you can easily navigate through your Quickr places to find a particular document. You can choose to chat with someone about that document and it inserts a link into the chat. So if we step back a minute… what you’ve seen with these Quickr connectors is what we consider to be a key benefit of the product. They provide the ability to access your content and collaborate from where you are without having to switch to a separate application. We believe – and the overwhelming response we’re already hearing from the customers and press and analysts who have reviewed the product – that this has the potential to make a huge difference in how people work. By letting them work the way that they normally do… and still share content and collaborate … we actually have the potential to make big changes in how they work. Simplicity Anytime & Anywhere Integration & Flexibility
22
Microsoft Windows Explorer Connector
Makes it easy and natural to move content to collaborative environment… Navigate content through familiar tree interface Drag and drop content from local system to libraries and team workspaces Integrated action menu Let’s look at the last Quickr connector for Windows Explorer. This is also a connector that people really like… You can navigate naturally through your Quickr places just like you normally navigate through the folders in your C-drive. You can drag and drop into and out of Quickr places. You have a “right click” action menu that lets you do things like check-in, check-out, and approve or reject. Simplicity Anytime & Anywhere Integration & Flexibility
23
Team workspaces Components for managing projects, including:
Easily create online places for projects and teams Components for managing projects, including: Document libraries Team calendar and milestones Lists for managing structured content Discussions forums, blogs, & wikis And more... Self-service with a step-by-step guide to set up the places Now let’s go back and look more closely at the browser interface for Lotus Quickr where you can really leverage the full power of its capabilities. Quickr is designed to be self-service so that business users can create a Quickr place or team workspace like the one that you see here. We provide a number of components that you can select from to create a Quickr place. Most places will start with a content or document library. You can add things like a team calendar and team milestones for the project. You have options for creating content that we’ve now expanded to include wikis – an increasingly popular method for collaborative authoring. (note to presenter: if you’re not familiar with wikis, check out wikipedia.com). You can have discussion forums and you can also create a blog inside your Quickr place.
24
End users can create custom team workspaces using flexible Lotus Quickr templates and components
Team blog Wiki Project dashboard Many more… These are some visual examples of the type of components that we’ll provide … you can easily assemble them to create your own Quickr places.
25
You do not need to reinvent the wheel
Use Lotus Quickr application templates designed for specific business needs… We will provide extensible business application templates Plus, we will provide a place for a community of contributors to exchange ideas and share business templates With as easy as it is to create your own custom Quickr places, we still know that users want even more “out-of-the-box” ready to go capability. We’re providing ready-to-go customized Quickr places – or business templates – predesigned to meet specific business problems. You see some examples here. We’ll have more by the time the product ships. And we are also working with our business partners so that they can contribute templates. We’ll be creating a community on the Web where you’ll be able to find templates and other Quickr tools. Simplicity Anytime & Anywhere Integration & Flexibility
26
Content libraries Quickly set up libraries to store and share content securely Check-in, check-out, version control Customizable views to organize content Multi-level security (library, folder, document) Search across multiple libraries Workflow for routing & approving content RSS/Atom feed support to share or consume content Extensibility: custom meta-data, document types and templates Let’s go back and talk a little more about the content library … one of the fundamental components that every Quickr place will have. The content library provides the capabilities that you would expect to help you organize and manage content. You get version control with check-in and check-out capability. You can set up granular security on your content. We also provide basic workflow … not sophisticated workflow like Business Process Choreographer … but the basic workflow that people use to get documents through an approval cycle. You also have the ability to subscribe to content in the library so that it is published to your favorite reader. (Note to presenter… RSS is Really Simple Syndication)

Relationship between Lotus Quickr and other products in our portfolio
Agenda Business and market trends IBM Lotus Quickr overview Relationship between Lotus Quickr and other products in our portfolio The next section provides a very high level look at high Lotus Quickr relates to other products in our portfolio. Many of you might have specific questions about both a technical and entitlement roadmap, based on particular Lotus products that you own. I encourage you to work individually with your Lotus representative to get those questions answered. Lotus Quickr Roadmap ‘06 2Q ‘07 4Q ’07 – Q2 ‘08 Lotus Quickr
personal edition Lotus Quickr - Futures Lotus Quickr 8 Continued focus on user interface Continued focus on connectors New Microsoft Outlook connector Continued focus on integration In-context sharing & web conferencing Profiles, dogear, activities, communities, etc. Extended tools support Lotus Component Designer Integration with IBM FileNet Records management, etc. Integration with IBM Domino.Doc® QuickPlace 7 Modern intuitive UI with Web 2.0 Business templates, blogs, wikis... Connectors for Lotus Notes, Lotus Sametime, Microsoft Collaborative content management Ease of administration From IBM Workplace™ & IBM WebSphere® Portal offerings From a big picture perspective, our goal is to provide a single product – Lotus Quickr – that provides everyday content management and team collaboration capabilities. It’s important for us, for our partners, and for our customers to simplify and streamline… and to eliminate confusion. It’s also a trend in the market – to converge and integrate these capabilities. Today, we have several different products in this space. These products have come from different heritages and met different needs. As you can see from this roadmap, the goal for all of these products is to provide Lotus Quickr as their “destination” – with enhanced capabilities compared to what they have today. We went get to this simpler, streamlined portfolio in a single step so we will need some of our customers to be patient with us until we get to a future release of Lotus Quickr. Initially, Lotus Quickr provides a simple “release upgrade” for our Lotus QuickPlace customers (as we mentioned earlier). When you deploy Lotus Quickr 8 on Portal, it also provides a fairly simple upgrade for people who are using Workplace Documents or Portal Document Manager (PDM) today. Going forward, we plan that Lotus Quickr will also be the destination for Workplace Team Collaboration customers and Lotus Document Manager (or Domino.Doc) customers. We are working through the mechanics of how we will provide the appropriate licensing entitlements for various customers and we’ll publish that information later. In the meantime, as mentioned earlier, customers who have specific situations that need to be resolved quickly should work with their Lotus representative. You can also see from this roadmap that we’re already well underway in planning the next release of Lotus Quickr .. the one after Quickr We will continue to enhance the user interface. We’ve indicated we will do FileNet integration. We’ll also look at other repositories, like SharePoint. We’ll build a connector for Microsoft Outlook and provide increased integration with other Lotus product such as Sametime and Lotus Connections. Lotus Domino Document Manager 7 Lotus Domino Document Manager 8 This product roadmap is directional in nature and does not imply any product plan commitment on the part of IBM. Plans are subject to change at any time without notice.

Lotus Quickr is also a set of very extensible services… so as a Domino programmer or a Portal programmer, you can customize Quickr capabilities, build your own templates, integrate Quickr components into applications, or build your own connectors. Lotus Quickr and Lotus Connections: a perfect combination
Profiles Communities Connect team members to their profiles for expert location Connect places and communities to support rich collaboration Bookmarks Quickr Connectors Shared Content Team Workspaces Workflow Anywhere Anytime Wikis Team Blogs Business templates Quickr Services Quickr content stores Activities Tag content, events, wiki pages, tasks, etc... for more accurate searching and retrieval Add place content to an activity Grow an activity to a place Spawn-off activities from a place Blogs As people learn about the major announcements that we made at Lotusphere this year, they often want to understand the relationship between Lotus Quickr and Lotus Connections. First of all, these two products are very complementary. We think that many customers will deploy both of them. As you can see from this chart, we have identified many opportunities where we can build increased integration between these two products. The profiles in Lotus Connections for example can provide much more information than a simple directory entry about team members. We are already leveraging dogear to tag content in Lotus Quickr. Perhaps the majority of discussion centers around two things – a “community” versus a team and the relationship between an activity and a Quickr place. We think of a team as a formal entity that people are assigned to … or self-assigned … that has a specific objective, like a project. A community is typically a looser affiliation, a community of interest rather than a group of people who have a specific task to accomplish. Activities tend to be more ad hoc than the formal structured projects that you manage with a Quickr place. An Activity typically has fewer people, fewer documents, and a shorter duration. It provides a very effective way to quickly accomplish a task with a small group of people. We see lots of opportunity for Activities to grow into Quickr places and for Quickr places to spawn activities to accomplish tasks within the team. Complement Quickr contextual team blogs with personal blogs

Lotus Quickr integrates easily & provides flexibility
For end users, Lotus Quickr connectors integrate into desktop applications Increases adoption of collaborative tools Simplifies collaboration among users with different styles and preferences Improves effectiveness For IT, Lotus Quickr leverages current software and hardware investment Works with multiple versions of Notes clients, Domino and Microsoft Office (no forced upgrades) Supports open standards Roadmap: Support for additional repositories and clients Designed for a heterogeneous environment; doesn’t force adoption of a single set of tools Remember we talked about the beginning about the attributes that customers told us were important in a collaboration product? Integration, anywhere-anytime, and simplicity. Let’s conclude by talking about those attributes… it’s a good way to review what we’ve said about Lotus Quickr. First, integration. People think of this in different ways … and we provide integration in a number of different ways with Lotus Quickr. First, the Connectors that integrate easily into the way that people work. This enables people to easily collaborate together even if they have different working styles and preferences. Lotus Quickr also integrates with your current environment. It integrates with the versions of desktop tools that you use today rather than forcing you to upgrade. It supports different server operating systems and different directories. Lotus Quickr is also designed to work with different content stores or repositories… starting with Domino and JCR but expanding to FileNet, SharePoint and others. And of course we embrace open standards, which gives you the flexibility to easily integrate Lotus Quickr into other applications that you have and to extend it with your own customization.
35
Lotus Quickr provides anytime, anywhere access
For end users: Take an entire team workspace offline to work wherever you are Access team workspaces from outside the firewall to collaborate with strategic partners Access the same content from multiple applications For IT: RSS / ATOM feeds provide an easy way to post Lotus Quickr content to other applications Use Domino replication to move Lotus Quickr content to the edges of your network for better performance Anywhere … anytime. CEO’s have identified how critical extranet collaboration is. That’s a key “anywhere” capability that differentiates Lotus Quickr. It is easy for an end user to add an extranet user to a Quickr place. Of course the Quickr connectors give you access to your Quickr content from other applications… that’s anywhere. And you can subscribe to Quickr content in your favorite RSS reader… anytime, anywhere. We’ve also built Lotus Quickr as an open extensible application that ISVs with expertise in various mobile devices can use to build connectors. Mobile plug-ins for QuickPlace are already in the market, for example. We will be working with ISVs to build similar capability for Lotus Quickr.
