Lincoln University Office of Career Development Student Employment Program Student Employee Orientation Mission: Lincoln University, the nation’s first degree-granting Historically Black College & University (HBCU), educates and empowers students to lead their communities and change the world.

2 Student Employment Program
Administered by the Office of Career Development. Provides part-time employment opportunities for students to assist in offsetting the cost of their education. Jobs are available on-campus with University departments and off-campus with community service organizations.

3 Types of Student Employee Programs
Federal Work Study (FWS) Federally funded program based on financial need. Determined eligible by FAFSA form and EFC. Must file FASFA and submit all required documents by priority deadline date of April 1st each year. Awarded by the Office of Financial Aid. FWS Award included on your Official Award Letter. Community Service Employment (FWS) An extension of FWS that provides service to the general community. Generally off-campus and include such fields as health care, recreation, child care, social service organizations, tutoring, etc.

4 Types of Student Employee Programs
Institutional Work Aid (IWA) Is not based on financial need and has no eligibility requirements. Do not have to FASFA to obtain. Most often provided by University departments to international students and/or students not eligible for FWS. Operates in accordance with the Federal Work Study Program. Grants and Sponsored Programs (GSP) Funded through specific grants by University departments. Operates in accordance with Federal Work Study Program.

5 FWS Community Service Position Requirements
Must be eligible for Federal Work Study award in the amount of $1,000 or more. Must be an upperclassman (sophomore, junior or senior). Must have prior satisfactory work experience. Must have cumulative GPA of 2.5 or above. Must have an updated resume. Must be able to work between hours per week. Must have reliable transportation.

6 Job Placement Process for FWS
Complete Application Packet. View job opportunities on Student Employment Website and select positions of interest. Contact Hiring Supervisor for interview. If Supervisor chooses to hire you, they will provide you with a Request to Hire Student Employee Form. Bring Request to Hire Student Employee form to Office of Career Development and sign your Student Employment Contractual Agreement.

7 Job Placement Process for IWA and GSP
View IWA and/or GSP job opportunities on Student Employment Website and select positions of interest. Contact Hiring Supervisor for interview. If Supervisor chooses to hire you, they will provide you with a Personnel Action Request Form (PARF) which has to be approved by Budgets Office. Receive Request to Hire Student Employee form from Supervisor. Bring Request to Hire Student Employee Form and the approved PARF to the Office of Career Development. Complete Student Employee Application Packet and receive Student Employment Contractual Agreement.

8 Job Placement Process for FWS Community Service Positions
Visit the Office of Financial Aid to determine if you are eligible for an FWS award (minimum $1,000), or go into web advisor and reference your award letter to determine eligibility. Contact Mr. Simpson to schedule an appointment for interview at ext Dress professionally and bring a copy of your award letter, updated resume, appropriate I.D. (photo I.D. & social security card, or U.S. Passport), verification of auto registration on campus, copy of most recent transcript, and current class schedule to interview.

W-4 Form (claim exempt if you do not wish to for Federal taxes to be deducted) Form I-9 (verifies eligibility to work in the U.S.) Must have photo I.D. or U.S. Passport and Social Security Card or Birth Certificate Confidentiality Statement Direct Deposit Form

10 Salaries/Hourly Rates
Pay rate for all FWS positions is $7.25 per hour. Salary for IWA/GSP vary and are based on skill level of position and/or amount allocated in budget Pay rate for all FWS Community Service positions (off-campus) is $10.00 per hour. Students are not eligible for overtime pay.

11 Maximum Award and Weekly Hours
Maximum award is the maximum amount you can earn each semester. Number of hours authorized to work per week are based on award amount. Maximum award and authorized hours are indicated on Student Employment Contractual Agreement. Monies not earned in the Fall semester will not be carried over to the Spring. You must keep track of your earnings and stop working once you’ve reached your maximum award.

12 Student Employment Contractual Agreement
You will receive your Student Employment Contractual Agreement from the Office of Career Development after all processes are complete. You must receive your Student Employment Contractual Agreement before you start your job assignment. If you start your job assignment without receiving your Student Employment Contractual Agreement, you may not get paid for the hours worked. You must submit a copy of your Student Employment Contractual Agreement to your supervisor.

13 Payroll Processing Students are paid bi-weekly via direct deposit.
For direct deposit, you must complete the direct deposit form and attach a voided check for checking account and a letter from the bank for savings account. If there is a discrepancy in your pay check, inquire with your supervisor and not the Office of Career Development.

14 Clocking In and Out for Work
You must clock in when you report to work and clock out when you leave. Students working on campus will be provided access to Paycor, Lincoln’s online payroll system. Students working off campus track their time using the bi-weekly time and attendance report. Students are responsible for having their timesheet approved by the site supervisor as well as their supervisor at Lincoln University for final approval. Failure to clock in or out properly may result in a delay in receiving your pay on time.

17 Important Program Dates & Deadlines
Last Date to be Job Placed September 28 Students awarded Federal Work Study must be job placed or their FWS award will be cancelled for the fall semester. Request to Hire Form 3 Day Deadline Students have 3 days after receiving a Request to Hire Form from Supervisor to receive their Student Employment Contractual Agreement. Report to Job Assignment Students have 3 days after receiving their contract to report to work. Failure to report to work on or before the established deadline date may result in cancellation of contractual agreement. Waitlist Students 15 Days Students waiting to be awarded FWS funds will be awarded after the first initial group have secured employment, if funds are available. Awarded waitlist students will be given 15 business days to secure employment.

18 Student Employee Code of Conduct
Absenteeism: If you are unable to report to work as scheduled, you must notify your supervisor no later than 30 minutes after your scheduled start time. Tardiness: If you are going to be late for work, you must notify your supervisor no later than 30 minutes after your scheduled start time. Attire: As an employee of the University, you are expected to exhibit an appropriate style of dress when you report to work each day (no scarves, do-rags, sagging pants, midriff tops, and low rider jeans that exposes your bottom, etc.).

19 Student Employee Code of Conduct
Confidentiality: You must act in a professional manner in dealing with confidential University records and other information which comes to you by virtue of your job. Appropriate Behavior: You should conduct yourself in a courteous and professional manner when interacting with other departmental faculty, staff, students and visitors. Telephone Usage: All telephone calls are to be restricted to University business only, unless prior approval is given by a supervisor. Computer Usage: Use of office computers and all its components (internet, , etc.) is restricted to University business only.

20 Suspensions/Terminations
Students may be suspended or terminated from their job assignment and/or the Student Employment Program for the following reasons: Involuntary termination from two (2) positions. Exceeding maximum award. Abuse of time clock system or clocking in when not at work and falsification of hours worked. Failure to report to hiring department within 3 days of scheduled start date. Violations of confidentiality of University records. Unacceptable office conduct and/or removal of office supplies. Excessive tardiness or absences. Failure to abide by the Student Employee Code of Conduct.
