2 Legal and organisational requirements for data recording.
The data protection act applies to anyone who handles or has right of entry to, information of an individual, this also gives rights to people who the information is about. It also is a law that protects your right of personal privacy and maintains individuals rights. Data protection applies for anything wherever data is stored, whether it may be s, branch records or even local membership records, the rights of an individual to privacy and access apply. Everyone in a company which holds other peoples data are all individually responsible for complying with the data protection act. If they do not comply to the rules the information commissioner can take enforcement action against anyone who does so. Information is stored within the college and with someone who has the right to inspect and view these documents as it is illegal for someone who doesn’t have the right to view the documents.

3 Incident reporting process.
All members of staff should report the incident straight away. They then have to follow up with a hazard report as well as an investigation and corrective information and take necessary action to reduce risk. Then save all relevant information in a database for all incidents, as well as what preventative actions could be taken. Reporting on all aspects of incidents as well as what if scenarios and a gap analysis. You will report any incidents to staff as well as health and safety officers.

4 Relevant Health and safety procedures
Advise students and staff when necessary about compliance with the first aid rules and regulations. Advise and support first aiders. Undergo a risk assessment . Minimise all risks and hazards by taking precautionary action. Workplace inspections should take place. Consult with staff and student for feedback on how the workplace could me made better. Health and safety legislations , every work place must undergo a risk assessment and have changes made to any problems before it opens. Risk assessments should be carried out to ensure that the possibility of an accident Is minimal and that there are no hazards that you could be endangered by.

5 Policies The health and safety policies include:
All health and safety checks should be done before anyone starts work or enters the building etc. All possibility of risks should be minimalized Any possible hazards should be assessed and made so that they are less of a hazard First aid boxes should be placed around the campus for easy and quick access Health and safety training should be carried out so everyone is aware of what to do in a situation Fire management and evacuation plan should be made and planned. Everyone should have an ID badge so that they are proven to be part of the college. All hazardous substances should be placed out of reach and only accessible to a select few staff members

6 Guidance When coming to health and safety there are a lot of things that should be taken into account: A risk assessment needs to be carried out. All possibilities of a hazard or a risk effecting someone should be minimalized by taking precautionary measures. Every member of staff should have health and safety training in case of emergency. Everyone should be told what to and not to do as well as what is dangerous . As well as what actions people could take which would cause a problem and how to prevent them. Everyone who enters the building should be told all the health and safety procedures. Fire drills should be carried out to make sure everyone would be safe if an actual fire occurred. Health monitoring, mental and physical. Everyone should know how to deal with a certain problem/or who to inform.
