1 Food & Beverage University Dining Services provides the University’s catering & food preparation service. Whenever possible, all catering orders should be placed 7 business days prior to your event. While Dining Services makes every effort to accompany last minute orders, we cannot guarantee your first choice selections can be fulfilled.

2 Food & Beverage University Dining Services is the approved food preparation and serving entity for the University of Hartford Refer to the Dining Services website for a full menu Alternatively, if you would like us to come up with a menu or if you would like something different you can always let us know what it is you’re looking for, and we will price it out accordingly The minimum for service is 12 people, any lower and it would incur a surcharge. We would require final numbers approximately 3-5 business days in advance. Food preparation and serving on University grounds other than that done by Dining Services is prohibited, unless an exception is made in advance by Dining Services who may issue a “Food Waiver” for one-time events exempt from the Dining Service contract Meetings and events that are not catered by Dining Services may incur additional cleaning fees charged by the Department of Facilities

3 Alcohol Connecticut's is a Dram Shop state, meaning under CT law the host of a special event must make “reasonable efforts” in each of these three areas to avoid liability: Prevent your guests from becoming intoxicated Intervene if a guest does become intoxicated Prevent minors from obtaining alcohol No event within the Student Centers shall be of a B.Y.O.B. nature At this time, external sponsored events that requests alcohol service or will feature alcohol at their event will not have their request accepted within the Student Centers

4 Bartending As per University of Hartford Bartending policy:
Each University department or program must request and obtain written approval from an applicable University officer (i.e., President or Vice President) before providing any alcoholic beverage to any individual or group for any occasion That department or program must cause each request for that approval to include verifiable evidence that the department or program has engaged a University-approved alcohol dispensing service to dispense that beverage for that occasion To obtain the University's approval to dispense any alcoholic beverage at the University, an alcoholic dispensing service must provide satisfactory proof to the University's Procurement Department that the service has obtained each legally-required license and permit, as well as appropriate insurance coverage

5 Approved Activities with Alcohol
Alcohol service and cash bars may be requested as part of a approved special event within Student Centers Administration managed and reserved spaces by University Dining Services Events on-campus where alcohol is served may be assigned Student Centers Administration Event Staff or Public Safety based on the number expected at the activity Non-salty food and alternative non-alcoholic beverages should be made available when alcoholic beverages are served No event in the Student Centers featuring alcohol shall be publicized to the greater community Admission to any event with alcohol must be by invitation only and the invitation sent to specific individuals. This does not include event registrations in response to an announcement about the event University alcohol policies do not pertain to activities in the Sports Center and Lincoln Theater since they maintain their own liquor permits

6 Approved Activities with Alcohol
Dining Services has two options for beer & wine service: By consumption (minimum $250) Cash bar (which has a minimum of $250, should sales not reach this number, you would be responsible for the difference) Age verification at point of service will take place for anyone appearing less than 30 years old. While outside vendors would require a waiver from Dining Services to ensure proper licensing & safety at non-Student Centers managed venues, Dining Services served and provided alcohol is required in Gengras Student Union, Konover Campus Center and the University Commons

7 External Caterers & Independent Contractors
The University of Hartford and University Dining Services, managed by Aramark have a long-standing agreement to provide food services, including dining plans and food based retail operations. The agreement allows Dining Services the exclusive right to operate food services, on or from the University’s campus  Dining Services on a case by case basis allows external caterers (including food trucks) for special events as long as it does not impact regular dining service. In order for your department to have an authorized external caterer on-campus, the following conditions must be met: Food waiver requests to Dining Services must be made three (3) weeks prior to the event and will be granted or denied with in 48 hours. with your request details Student Centers Administration needs two weeks before the event in order to arrange inspection of method of food prep (gas, flame, electrical, etc.) and authorization desired location in the case of food trucks with Public Safety Student Centers Administration will also need a copy of proof of insurance regarding the food trucks, which should note: “$1 million of coverage per occurrence, combined single limit and $3 million general aggregate.” Needs to name the “University of Hartford and each of their affiliates, agents, trustees, officers and employees” as additional insureds. A current health department certificate verifying an A – B+ rating A Temporary Food Service license for the event as issued from the City of Hartford External Caterers agree that they are “independent contractors” performing one-time work at the University of Hartford and carry their own insurance coverage, unrelated to the University

8 Dining Service Food Waivers
University of Hartford Dining Services (managed by Aramark) is the contracted caterer and food service provider for the University of Hartford. As a dedicated event partner, Catering Services will make every effort to meet each client’s special event needs. Food waivers are granted due to extenuating circumstances where Dining Services food does not meet the needs of a special event. Should a waiver be granted Dining Services bears no responsibility for the food quality or safety, the set up and / or clean up or any details related to said special event. The University does not select nor recommend a food service outside of its Dining Service which is managed by Aramark, nor bears responsibility for the food quality or safety of any external caterer A waiver request may be made via at or in person at the Catering Services Office GSU All requests must be made three (3) business weeks prior to the special event and will be granted or denied with in 48 hours
