1-Time Setup Steps

2 Agenda Enter Schedule Requirements (Fixed Shifts)

3 One-Time Setup Task In Site Manager: Enter each teammate’s Fixed Shifts on the Schedule Requirements page. This is a one-time setup task. You will also need to do this one time for any new teammates. Not for management or CDL drivers (will need for APH-drivers).

4 Schedules Are Auto-Generated
Every Sunday night: The system will generate a new schedule for two weeks in the future based on the times you entered in the teammates’ Fixed Shifts as well as any time-off requests. Every Monday: In Site Manager, you will see the auto-generated schedule for two weeks in the future. Review and make any needed edits for that week’s schedule The system will post the schedule Thursday night.

5 How to Enter Fixed Shifts
Click the Employee tab.

6 Enter Fixed Shifts Click the name of the teammate.

7 Enter Fixed Shifts Click the Schedule Requirements button.

8 Enter Fixed Shifts Click the Add Schedule Requirements button.

9 Enter Fixed Shifts Click the Calendar button to change the start date.
Enter the Start Date when the Fixed Shifts will take effect. The End Date is not required.

10 Enter Fixed Shifts Important: Do not change the General Availability. Leave the checkmarks in the “All Day” checkboxes.

11 Enter Fixed Shifts Important: Enter the teammate’s regular schedule under Fixed Shifts. The system will use this information to automatically generate schedules every week. (If there are changes for any given week, you’ll be able to make edits after that week’s schedule is generated.)

12 Enter Fixed Shifts For each day, enter the Fixed Shift start and end times in the From and To fields. Click the arrow button in the Job field and select the teammate’s job.

13 Enter Fixed Shifts - Rotations
If a teammate’s schedule alternates on two or more weeks, this is called a rotation. For example, if a teammate works every other Saturday, this is a two week rotation. You would need to enter the teammate’s entire schedule for two weeks.

14 Enter Fixed Shifts Click the Plus button to add another week.
To enter a schedule rotation, you need to add additional weeks. Be sure that the Start Date field for each week correctly lines up with the rotation.

15 Enter Fixed Shifts Enter the Fixed Shifts for Week 2. Add more rotation weeks if needed. Important: Complete all rotation weeks before submitting the Fixed Shifts. After submitting a teammate’s Fixed Shifts, you cannot edit them. You can only create a new set of Fixed Shifts from scratch using the same Start Date, which will replace the old Fixed Shifts. When you are done entering all Fixed Shifts, click the Submit button.

16 Enter Fixed Shifts Notes about meals:
Every Sunday night, the system will generate a schedule for two weeks out based on the fixed shifts and will add meals based on shift strategy (after 3 hours and before 5 hours) and staggers meal times. Teammates must punch out at the start of their meal and punch back in at the end of their meal. Teammates must be clocked out for a meal for a minimum of 30 minutes before they can clock back in. Meals will not be validated against the schedule. In other words, the system will not require teammates to punch out at the scheduled meal time. No exceptions will be generated.

17 Enter Fixed Shifts Note about shift strategy and constraints:
Fixed shifts cannot violate pertinent shift strategy and constraints. For example, if you schedule a shift more than 12 hours or schedule a teammate to work more than 45 hours a week, the system will generate a schedule with reduced hours according to Company scheduling rules. These rules vary by location based on state/provincial laws, union requirements, etc.
