Provides easy access to student information Provides a simpler way for staff and offices to collaborate to support student success

Compass makes important student info easily available to advisors Student Name What advising looks like in the platform Electronic record keeping Good when you get a new student from another advisor or when your students go onto another advisor Helps staff and faculty coordinate outreach and support for student Compass has a variety of other features that work for advisors and staff in various offices 157XXXXXX

6 What are progress reports and alerts?
A way for instructors to inform student success staff how students are doing in the classroom Quick and easy online form Allows staff to intervene proactively to help the student be successful Issued through progress reports when you indicate that a student is performing below expectations Can also be issued outside of progress reports Provides a data point for staff about a student’s performance Faculty spend much more time with students that advisors and academic coaches, passing along that info is helpful Students are not able to view progress reports or alerts Alerts can be seen (and issued by) anyone who can access the students’ profile– assigned advisor, coach, retention team, department chairs, deans, administrators

Administrator Create Progress Report campaign Identify desired outcome of campaign Search for list of students for whom progress report requests will be sent Kick off campaign Monitor progress of campaign Faculty Notification of progress reports awaiting responses notice sent to faculty Home page banner visible to faculty Fill out and submit progress reports Includes “Yes/No” field for “Is student performing below expectations in your course?” Responding “Yes” requires alert reasons Advisors + Staff Alert reasons trigger cases Cases can be auto-assigned to specific advisors (managed by System Admin in “Alert Reasons”) Case Management Begins Case assignees notified of pending case (via ) Work with student and relevant departments to address case Track comments within case Close case when appropriate (mandatory criteria or specific permission optional) This workflow gives you an idea of the full progress report process and who your responses fit in In Part 1 of the training, we are focusing on the faculty piece of the progress report workflow

Receive Link to Progress Report Form & Banner on Compass Home Page We’ll be asking for progress reports twice during the semester (week 4-next week and weeks 6-7)

14 Progress Report Form Form available to instructors without logging in to Compass (week 6-7) The wording is “Is the student performing below expectations” This progress report gives student success staff the opportunity to intervene before mid-term grades and the drop date

15 When a student is performing below expectations
You will be asked for alert reasons Frequent Absences Poor Academic Performance Missing Assignments/Tests Poor Classroom Engagement Other A few things to keep in mind Alerts for academic concerns are supplemental to, not a replacement for, communication between the professor and student about expectations and topics related to class performance Students are not automatically contacted through the Compass when an alert is submitted Frequent Absences  Potential action: attendance campaign/coaching When you should use this alert reason: Student is absent multiple times without explanation The student provides an explanation for absences but is still chronically absent Poor Academic Performance  Potential action: Campaign to encourage use of resources (tutoring, office hours, writing center, etc) Homework, quiz, or test scores are routinely below expectation Written work is completed but is below expectations The student was performing well but displays a sudden decrease in grades or work quality Missing Assignments/Test  Potential action: Academic coaching, time management, etc. The student regularly has late or missing assignments Poor classroom engagement  Potential action: Coaching The student displays a lack of participation or focus in the class Other Use this reason for other academic concerns not covered by the available reasons. Please describe your concern in the comments Administrative For office use only

16 After Your Progress Reports are Submitted
Alerts are meant to be data points Retention Specialists will look at all the available data points (alerts) to determine if action should be taken Pilot courses this semester were chosen because of their overlapping enrollment with other pilot courses Retention specialists will take action when progress reports suggest that students have a pattern of alerts across classes Retention specialists may also take action when at-risk groups of students display concerning academic behaviors Without logging into compass, instructors will not know if a case has been opened and whether it has been closed Please use the comments to provide us with context

33 Some Pointers on Alerts and Cases
Students are not notified that alerts or progress reports have been submitted about them The retention team may contact you about a case if you are connected with the student Like they have with Beacon Alerts Beacon alerts are being transferred into Compass this semester If you see that a number greater than one on a student’s profile, that does not necessarily mean that a student has 3 separate alerts
