-My name is Stefanie Corona and I am the Coordinator of Student Learning and Professional Development and Industrial Experience Graduate Programs at the Institute for Co-operative Education. I’m joined by my colleague Samantha Hamer, Administrative Assistant. We’re looking forward to sharing information about the Industrial Experience option for undergraduate and graduate students specifically how to submit an application for retroactive admission for a Fall 2018 or Winter 2019 work term. Samantha and I have both been active members of the Industrial Experience team for several years.

5. What is INEX?
Opportunity to add value to your academic program by gaining practical experience in a field relevant to your program of study
Available in all Engineering and Computer Science undergraduate programs and course-based (non-thesis) graduate programs excluding Aerospace Engineering
-ENCS offers this option in collaboration with the Institute for Co-operative Education.
-In 2017, we made significant changes to the eligibility requirements, policies and application procedures. If you have visited our website in the past and/or talked to friends about INEX, please make sure you have accurate information by reviewing the updated content on our website. -If you are in a thesis graduate program then INEX is not an option for you.

6. What are the benefits of INEX?
Apply academic knowledge and theoretical concepts in a practical work environment
Take advantage of networking and mentoring opportunities
Gain important soft skills and develop independence and maturity

7. How is INEX different from Co-op?
Functions like regular Co-op programs with two main exceptions:
1. It allows a flexible number of work terms, depending on the degree program 
2. It has a different application process
-Undergraduate students have the flexibility to choose the number of work terms you’d like to do (1 or 2).

8. What is retroactive admission?
Possible for you to do a week paid work term in Fall 2018 or Winter 2019 if you find an internship through your own job search that meets our criteria i.e. you may be eligible to be admitted retroactively
Our formal admissions process for work terms in Summer 2019, Fall 2019 and Winter 2020 will take place in September 2018 (only those who are accepted receive access to our database of job postings)
-Information session webinars will be offered in September 2018 about the formal admissions process for work terms in Summer 2019, Fall 2019 and Winter We will not cover the policies and application procedure today.

9. How do I apply to INEX?
Complete the respective application form by the deadline specified. Incomplete/late/ submissions will not be considered.
We recognize that students eagerly anticipate the release of their decision and would like to know as soon as possible. All admission decisions (accepted or not accepted) will be sent via . As we receive record numbers of applications, we are unfortunately unable to reply to individual s regarding the status of an application. Please allow a minimum of 10 business days for the Co-op office to process your application.
-Application is now completed online. No hard copies will be accepted at the Co-op office or via . There is no need to send any documentation whatsoever via ex. transcript or résumé. These s will be deleted. Focus on answering the questions on the application form carefully.
-Make sure to review your responses very carefully prior to hitting the final submit button. You will not be able to modify your application after you have submitted it.

10. When do I apply to INEX?
-If you are an international student, we are no longer accepting applications for a Fall 2018 potential internship. -If you are an undergraduate or graduate non-international student, the deadline to submit the respective application form for a Fall 2018 potential internship is Friday, August 10, 2018 at 5:00 p.m.

11. What do I submit to apply to INEX?
The respective online application form by the deadline specified
Job description. Only a job description uploaded as a PDF will be accepted.
Offer letter from an employer confirming that the internship is full-time, paid, minimum 12 weeks, with a different department and supervisor if the student is currently working at the company and the contact information of the hiring manager or supervisor (name, address, and telephone number). Only an offer letter uploaded as a PDF will be accepted.

12. *Undergraduate Students*
-The following slides do not apply to graduate students.

13. Eligibility
Have completed 1 year of study (i.e. 2nd and 3rd year students)
Have and maintain a minimum cumulative GPA of 2.5 throughout the time you are enrolled in the Industrial Experience option
Satisfy the Writing Skills Requirement by either passing the Engineering Writing Test or by completing ENCS 272 with a grade of C- or better
-If you do not have the minimum cumulative GPA of 2.5 then do not apply.

14. Policies You may complete up to 2 work terms
You cannot schedule a work term during your capstone project
If you wish to take a course during the work term, it must be approved by your work term supervisor and Co-op Academic Director. Your Co-op Program Coordinator must also be informed.

Complete Reflective Learning course worth 3 complementary credits

15. Policies
The Co-op office does not provide advising on academic matters. It is your responsibility for knowing the rules, regulations, policies and deadlines in the undergraduate calendar. The Co-op office is not responsible should you encounter any difficulties registering for academic courses, paying tuition and fees and/or applying for graduation.

16. Timeline
Summer 2018
Conduct your own job search, go on interviews, secure work term and submit application by the respective deadline. No access to our database of job postings.
Fall 2018
Work full-time, complete Work Term and Reflective Learning course requirements
-Work Term course requirements include submitting a work term report which is assessed by your Co-op Academic Director as well as the Reflective Learning course requirements which include contributing to discussion forums on Moodle about workplace topics. The requirements will be explained in detail once you have been accepted into the option.

17. *Graduate Students*
-The following slides do not apply to undergraduate students.

18. Eligibility
Are registered in a course-based (non-thesis) Master's program in the Faculty of Engineering and Computer Science (EXCEPT AEROSPACE)
Have completed a minimum of 8 credits before the work term begins
Have and maintain a minimum cumulative GPA of 3.4 throughout your time enrolled in the Industrial Experience option
-If you do not have the minimum cumulative GPA of 3.4 then do not apply.

19. Policies You cannot take a course during the work term
You will be enrolled by the Co-op office in the ENCS 6931 course (worth 9 academic credits) during the work term
You should consult your respective Graduate Program Director or Graduate Program Assistant for any advising on academic matters. The Co-op office does not provide advising on academic matters. It is your responsibility for knowing the rules, regulations, policies and deadlines in the graduate calendar. The Co-op office is not responsible should you encounter any difficulties registering for academic courses, paying tuition and fees and/or applying for graduation.
-If you have any account restrictions, this will prevent us from registering you in the ENCS 6931 course.

20. Additional Application Component
Completed Interview Summary Sheet fillable form. Open with Adobe Acrobat DC. Only a typed form uploaded as a PDF will be accepted.
-This is a requirement for graduate students only in addition to the respective application form, job description and offer letter which we already discussed.

21. Timeline
Summer 2018

Fall 2018
Work full-time, complete ENCS 6931 course requirements (worth 9 academic credits)
-ENCS 6931 course requirements include submitting a work term objectives proposal, monthly progress reports, a final report and presentation which are assessed by your Co-op Academic Director. The requirements will be explained in detail once you have been accepted into the option.

22. *Undergraduate and Graduate Students*
-These eligibility requirements, policies and fees apply to both undergraduate and graduate students.

23. Eligibility and Policies
Are enrolled as a full-time student in the semester before the work term
You cannot take a leave of absence prior to the work term
An offer letter from an employer does not guarantee admission
You can end your degree on a work term, as long as you attend convocation in the following semester (ex. students completing their degree requirements while on a work term in Fall 2018 must apply to graduate before January 15, 2019 to attend convocation in Spring 2019)

24. Policies
If you are currently working at the company, the internship must be with a different department and supervisor which must be clearly indicated in the offer letter
You cannot rescind an accepted job offer. If you rescind an accepted job offer, you will be immediately withdrawn and will not be eligible to re-apply to the program in a future admission term.

25. Fees Obliged to pay Co-op fees in addition to regular tuition and fees
Non-refundable
Fees will begin upon admission and the last fee will be charged during the work term
-New fee structure for students admitted as of Fall The fee structure is subject to change without notice.
-This is to cover in part the administrative costs particular to Co-op.

26. Fees
Undergraduate students pay 4 fees of $185 in addition to their regular tuition and fees (i.e. 4 x $185 = $740 plus regular tuition and fees).
Graduate students pay 4 fees of $185 in addition to their regular tuition and fees including the 9 academic credit course (i.e. 4 x $185 = $740 plus regular tuition and fees including the 9 academic credit course)
-Undergraduate students will be charged tuition for the Reflective Learning course and graduate students will be charged tuition for the ENCS 6931 course.

27. International Student Policies
Students must obtain a valid Co-op work permit through Citizenship & Immigration Canada. For more information, visit the Government of Canada website.
Students who have maintained full-time status for the duration of their program of study, and who only require a part-time course load in their final academic semester in order to complete their program of study, may work off campus up to 20 hours per week during their final academic semester. Students should consult the International Students Office with any questions
-The Co-op work permit will be explained in detail once you have been accepted into the option.
