Perform Eagle Cash Card (ECC) Operations Stored Value Card (Eagle Cash) Title: Conduct Stored Value Card (SVC) Operations NOTE: Incorporate the political, military, economic, social, information, infrastructure, and physical environment and time (PMESII&PT) into each lesson and classroom work as appropriate. Instructor will illustrate them with appropriate examples from the Current Operating Environment (COE) as it pertains to the lesson. Motivator: Have you even stood in a long line waiting to cash a check or get money out of your account from a teller? That can get frustrating especially if you are in a rush. The EagleCash Card (ECC) is a small pocket sized card, similar to a credit/debit card, which allows you to put money directly from your account onto your card using a Kiosk. Using this Stored Value Card eliminates the long waits to see a cashier for a casual pay.

International student must score at least 70% on the exam. Safety Requirements: This lesson does not contain a practical exercise that involves equipment, chemicals, or potential hazards. Evaluation:   Students will be evaluated on their ability to Conduct EagleCash Card Operations by means or a Comprehensive Practical Exercise. A student must receive at least a 80% to pass. Instructional Lead-in: The EagleCash Card operation is an important part of Disbursing office duties. As a cashier you will experience various transactions that pertain with the EagleCash Card. Having a conceptual understanding of EagleCash Card transactions and their effects on your accountability will help you throughout all the disbursing related tasks. The EagleCash Card builds upon the concepts we have discussed in previous Disbursing lessons.

3 EagleCash Card Cash management tool designed to support US military personnel deployed in combat zones and on peace-keeping missions It is a re-loadable plastic credit card Has been in existence since 1999 and can be found on approximately 50 US Military installations and ten countries around the world Show slide #4 1. Learning Step / Activity 1, . EagleCash Card Information A. What is an EagleCash Card? (1) EagleCash is a card-based cash management program used by the U.S. military to reduce the amount of U.S. currency transported to support Contingency areas of operation. Deployed personnel receive and use EagleCash cards rather than cash to make purchases at the PX/BX, AAFES concessions and military postal facilities (Postal does not accept debit/credit cards, only cash or EagleCash). Rather than going to the camp/installation Finance Office to cash a check or obtain a payroll advance, cardholders can access funds in their U.S. accounts via self-service devices (kiosks) located at convenient locations on the base. (a) EagleCash card is a type of payment card referred to as Stored Value Card (SVC). (b) The concept is similar to pre-paid gas, gift or phone cards. (c) It is a plastic, re-loadable stored value card embedded with a computer chip that stores “electronic money” in its memory. (d) Provides deployed personnel “24/7” fee-free access to personal funds. (2) EagleCash is a comprehensive, closed loop, stored value cash management and payment card system managed under the guidance of the U.S. Department of the Treasury in conjunction with the Department of Army. The Federal Reserve Bank of Boston (FRBB) provides processing, administrative and operational support. EagleCash supports the objectives of the United States Government to reduce dependency on currency – cash – in theaters outside of the continental United States (OCONUS) and thereby improve operations and to reduce costs. B. Why should we use it? (1) The Financial Management Service developed a number of SVC applications designed to improve controls and cash-management applications, streamline administrative processes, and improve the quality of life for cardholders. Stored value cards are low-cost, easy to issue and easy to use. They are used to: (a) Simplify administrative processes for issuing financial instruments to individuals. (b) Convert cash and paper transactions to electronic. (c) Eliminate the cost of securing, transporting and accounting for cash. (d) Speed transaction time at point-of-sale. (e) Eliminate manually intensive back-end processes associated with scrip, vouchers, meal ticket orders, traveler’s checks and other payment mechanisms. (f) Eliminate financial “float-loss.” (g) Reduce exposure to risk of theft/loss. (h) Improve quality of life for cardholders. C. EagleCash has been in existence since 1999 and can be found on approximately 50 US Military installations and ten countries around the world. To date (as of 05/08), over 330,000 cards were issued and processed 15 million electronic transactions valued at over $1 billion. NOTE: The terms “Store Valued Card” (SVC) and “EagleCash Card” (ECC) are interchangeable (referring to the same product).

4 Need Access to Your Funds?
OR 1 minute at a kiosk? 45 minute wait in line? EagleCash kiosks are free standing devices (similar to an ATM) that support cardholder initiated value transfers from and to checking and savings accounts, card to card value transfers, balance inquiries, PIN changes as well as activity reporting to include the most recent 10 transactions. Once the card has been issued, the cardholder can use the EagleCash kiosk to load funds to the EagleCash card. These free standing cashless ATM-like devices carry the trademarked EagleCash™ signage for easy identification are installed in key traffic areas such Finance, AAFES, Post Office facilities, and the Moral, Welfare and Recreation (MWR) center at each theater where the EagleCash program has been implemented. Cardholder kiosk activity requires entry of a Personal Identification Number (PIN) to gain access to the kiosk transaction menu. At card issuance, bank information is collected and a PIN is assigned at the chip level for use with the kiosk only. The EagleCash kiosk application was designed especially for OCONUS Armed Forces use in deployed areas to reduce workload in the Finance Office and provide banking services 24 hours a day, seven days a week to EagleCash cardholders. The kiosk operates offline. Once per day the kiosk is programmed to automatically dial out via Defense Support Network (DSN) or commercial phone lines and to download secured files to the EagleCash processing center managed and staffed by the Federal Reserve Bank of Boston (FRBB). Upon processing the file, the Federal Reserve initiates an Automated Clearing House (ACH) Debit or Credit against each cardholder’s bank account information obtained at the time of card issuance and a record of which is maintained by the FRBB. No transaction or service fees are associated with using the kiosk and once enrolled cardholders can access designated U.S. checking or savings accounts 24 hours a day, seven days a week for the purpose of transferring funds in or out of the designated account. The no-fee feature of the program presents an extremely attractive value proposition for the soldier stationed outside of the continental United States. EagleCash provides the soldier with distinct savings opportunity depending upon location, out of network switch fees for ATM transactions can run $6 or more dollars and EagleCash transfers do not incur any fee. 5 DD Form 2887 Banking Information
During the enrollment process, the cardholder completes a Navy/Marine and EagleCash Enrollment and Authorization DD Form 2887 , Dec 2004 that authorizes the U.S. Treasury – and thereby its processing Agent, FRBB - to debit or credit the customer’s bank account Data captured during enrollment and stored on the card chip includes cardholder last name, first name and Social Security Number (SSN). The cardholder’s name and signature are displayed on the reverse side of the EagleCash card. Cardholders wishing to utilize the kiosk to access funds in their U.S. financial institution banking accounts must provide their permanent address, bank address, bank routing and bank account number, and, account type, ( i.e. checking or savings account).

6 Inventory Control Card Issuance – Un-issued ECCs are the responsibility of the FO and while they have no monetary value should be treated as blank check stock Storage – Un-issued ECCs should be secure and maintained in the FO safe Inventory – Un-issued ECCs should be inventoried on the 1st of every month and sent to Federal Reserve Bank of Boston (FRBB): Learning Step / Activity 2, Inventory Control. A. Inventory Control: (1) Card Issuance – The Finance Office (FO) is responsible for un-issued ECC’s and while they have no monetary value the FO should treat them as blank check stock. (a) All card stock within the EagleCash system is tracked and audited. (b) Cards that are issued will be signed for on the DD Form 2667. (2) Storage – Un-issued ECC’s should be secured and maintained in the FO safe. (3) Inventory – The Federal Reserve Bank of Boston (FRBB) supplies EagleCash cards to authorized Finance Offices. Cards are numbered with a card serial number, in sequential order and are packaged in sealed sleeves of 500 cards/sleeve. (a) Initial Inventory – will be verified and the inventory sheets attached to each sleeve will be signed. As EagleCash cards are allocated to the cashiers for issuance to cardholders, a Statement of Agent Officers Account (DD Form 1081) is completed and referenced back to DD Form 2667. (b) Monthly Inventory – must be conducted using DD Form 2667 and sent to the EagleCash Customer Service Center. (c) Finance Offices WILL: ü Count cards (500 per sleeve and 50 per bundle), verify, and receipt as delivered. ü Sign receipt for cards. ü Maintain card stock in sleeves, by serial number and in sequence. ü Issue cards by serial number. ü Perform monthly inventory and turnover to responsible person with full inventory and receipt. ü Send via the monthly inventory or turnover report status to the EagleCash Customer Service Center at NOTE: Damaged, expired or any cards held as a result of Incident Reports should be kept in a secure place. The EagleCash Customer Service Center provides direction on how to manage such cards.

7 Common Terms Hot List– File of all lost, suspended and revoked EagleCash cards across every theater where ECC is implemented Warm List – Loads that cannot be processed due to incorrect banking or savings account number info and items returned unprocessed due to insufficient funds Cash Out – Known as a transaction that reduces the ECC to a zero balance Each business day, a HotList file is distributed to EagleCash program participants to include the Finance Office, Post Office and AAFES. The HotList is a non-readable file of all reported damaged, lost, stolen, suspended or revoked EagleCash cards across all theaters where EagleCash is implemented. Finance, the Post Office and AAFES receive the daily HotList and download it to their respective EagleCash laptops and POS terminals. Transactions from cards on the HotList are declined at point-of-sale terminals and kiosks. In addition to the HotList file distributed to Post Office and AAFES, the Finance Office and all EagleCash Kiosks receive a daily WarmList. This file contains card numbers that for one reason or another are not eligible to be used in EagleCash kiosk until they are resolved. The most common reasons leading to a WarmList are incorrect ABA routing information, incorrect bank account information, cards with transactions returned as insufficient funds or, closed bank accounts. While cards on the HotList are not be accepted for purchases rendering the card permanently inoperable, cards on the WarmList are prevented from use only at the EagleCash kiosk temporarily. Thus, additional value cannot be transferred to or from the card until the problem is resolved. Cards on the WarmList are still accepted for purchases up to the balance remaining on the card. We also know that EagleCash Cards are to be secured at all times and treated as blank checks. In the next learning activity we are going to learn how to issue a zero balance card.

9 EagleCash Initial Screen
All programs start from the EC folder Select the “Card Processing Station” icon from the EC Screen Show slide #8 Eagle Cash Initial Screen. Learning Step / Activity 3, . Zero and Dollar Value Card Issuance Cards with Zero Value Loaded are generally issued to enable issuance outside the Finance Office and to speed transaction time, or when cards are issued prior to a Soldier’s deployment in theater. NOTE: All programs start from the EagleCash folder found on the computer desktop. Select the “Card Processing Station” ICON from the EagleCash Screen.

10 Card Insert When prompted insert EC card into card reader
Confirm that the customer has signed the NC&EC Authorization DD2887 Show slide #9 Card Insert. The Card Processing Station screen appears – when prompted, insert EC card into the card reader (Chip side down). NOTE: Refer students to ECC Summary Sheet, page 1 (DD 2887). Ensure the document is filled out and confirm the customer has signed the NC&EC Authorization DD 2887.

11 Issue Card The “Issue Card” screen appears next Using ID given, type
first/last name and SSN Card Usage – use drop down box and select Assign Expiration Date Once complete select Issue Show slide #10 Issue Card. NOTE: Refer students to ECC Summary Sheet, page 2 (Card Processing Station – Updating Cards). Type first name, last name and SSN into the computer using the customer ID. NOTE: Cashier is to verify the spelling of first and last name. Be sure SSN is correct. If this information is not correct, it can cause verification problems (e.g. refunds, etc.) in the backend system later. (a) Select a Card Usage. Service member (active or reserve) contractor, visitor, a training card or test card. (b) Select expiration date from screen: ü Active (12 months). ü Reserve (9 months). ü 13 months (contractor's or service members on orders for a year). ü Other (Established by the finance office or individual on orders). NOTE: Card expiration should be timed in accordance with the expiration of the Cardholder’s deployment. Example: cardholder is scheduled to leave theater in 8 months - issue a card that expires in 9 months, NOT 12 months.

12 Card Activation “Activating Card” screen will appear. The information collected for the cardholder is automatically added onto the chip and into the database. Show slide #11 Card Activation Screen. Select "Issue" - Card activating (shown on screen). This is what the screen will look like when the activation is going through. The program automatically adds information collected for the cardholder onto the chip and the database

Enter the 9-digit ABA number on the bottom of the customer’s check (bottom left) If a service member, the banking info can be retrieved from DJMS as well Savings accounts MUST be able to accept ACH transactions Enter the account number located on the bottom of customer’s check (bottom middle Show slide #12 Bank Account Info Enter Bank Information. (a) Enter the 9-digit ABA Number (American Banking Association) located on the left at the bottom of the customer’s check. The banking information can be found and used from the Defense Joint Military Pay System (DJMS) as well. (b) Enter the Account Number printed on the bottom of the customer’s check to the right of the ABA Number or as found in DJMS.

14 Bank Account Info – Cont’d
Select the type of account - either checking or savings “Daily Download Limit” is pre-set, do not change Enter the permanent address information in the lower half of the screen When all information is entered and correct, select “OK” to continue with kiosk enrollment Show slide #13 Bank Account Info – Cont’d. Designate the Account Type as either “Checking” or “Savings.” The Daily Download Limit is a default value set by Finance Office policy. NOTE: Do NOT change this amount unless instructed by an authorized finance official. Enter the cardholder’s permanent mailing Address, City, State, Postal Code and Country in the fields provided. When all information is entered, verify the accuracy of each entry. Then, select OK.

15 New Pin “New PIN” screen appears
Using PIN pad attached to laptop, have customer enter and verify a PIN by entering and re-entering a PIN of his/her choice. This PIN is used to perform kiosk transactions, not to make purchases. PIN should be a non-trivial, 4-digit number, i.e. NOT 1234, 1111, 2222, 3333, etc. Show slide #14 New Pin Screen. The New PIN (Personal Identification Number) screen appears. Using the number pad that is attached to the computer, instruct the customer to, enter and renter a 4-digit PIN. The PIN should be a non-trivial number – meaning NOT 1234, 1111, 2222, ect. NOTE: PIN entry is required when performing kiosk transactions but not required for retail purchases. At some pre-issuance location, the last four digits of the cardholder’s SSN are pre-assigned as the PIN.

16 PIN Confirmed After the PIN is confirmed, kiosk enrollment is complete. Click on OK Show slide #15 PIN Confirmed. After PIN is confirmed, the “Cashless ATM Updates complete” screen appears, the kiosk enrollment is complete. Click OK.

17 Update Card/Zero Value Loaded
FO can update banking information, reset PIN, or load money to card When banking information is entered and saved, select “Cancel” to save banking information and issue a card This will not enter a monetary value to the card Card issuance without monetary value is generally used for pre-issuance or mass issuance of cards Show slide #16 Update Card/Zero Value Loaded. The Update Screen appears which the Finance Office utilizes this feature to update the banking information, reset the PIN or to load money to the card. Select Cancel. This saves the banking information required to issue the card but does not place any monetary value on the card. INSTRUCTOR NOTE: If customer requests to have funds loaded onto the card, it can be loaded at this time; however, for training purposes we will cover it in the next learning activity.

18 Card Processing Station (Card Removal)
Remove card from the reader Cashier will print customer’s name on the top signature stripe on the back of the card Have customer sign their name on the second signature strip on the back Have customer verify load value in the balance reader Issue a plastic sleeve and disclosure statement for each card Show slide #17 Card Processing Station (Card Removal). The Card Processing Station screen appears. (a) Remove the card from the card reader. (b) Using a Dymo Label (or similar device), the Cashier prints a name label with the cardholder’s last name and first initial and places this label above the signature stripe on the reverse side of the card. Should a Dymo Label device be unavailable, the Finance Office may neatly print the cardholder’s name on the top stripe on the back of the card. (c) The cardholder MUST sign the second stripe on the back of the card exactly as the name appears on the label. (d) Cashier and cardholder MUST verify the load value of the card using a key chain balance reader or Point Of Sale (POS) terminal. (e) Give the EagleCash cardholder their new card, a protective plastic sleeve, a disclosure statement and a User Guide. (f) If an EagleCash DD Form 2664 is used for verification, the cardholder must sign for receipt of the card. If a SVC DD Form 2664 is used for verification, have customer sign for receipt of the card

The Finance Offices can load or add value to an issued card using “Check”, “Cash” or Pay Voucher” as the source tender type. B. To add value to an issued card: (1) Open the EagleCash folder on the computer desktop. (2) Double click on the card Processing Station icon. (3) The Card Processing Station screen appears. (a) Verify with the cardholder the current balance on the card using the keychain card balance reader or EagleCash POS terminal. (b) Insert the card into the reader.

21 Update Card/Load Value
FO can update banking information, reset PIN, or load money to card Advance to “Revalue Amount” filed and enter amount of funds cardholder wishes to add Select appropriate “Tender Type” from drop down menu Select “Revalue” Show slide #20 Update Card/ Load Value. The Update Card screen appears. (a) Load funds from the Revalue function on the Update Card screen. In the Revalue Amount field key the dollar value to be loaded onto the card. Separate dollars and cents by using a decimal point. (b) Select the Tender Type from the drop down menu choices of Cash, Check or Pay Voucher (example: Partial Pay). (c) Verify the elements of the transaction for Tender Type, Transaction Amount Balance, if all information is correct click Revalue.

22 Load Value Summary EagleCash Transaction Summary” screen will appear next after the revalue If the transaction data is correct, select “OK” Show slide #21 Load Value Summary. The Eagle Cash Transaction Summary will appear and show the New Purse Balance, confirming the value on the EagleCash card. Click OK.

23 Card Removal/Loaded Value
Remove the card from the reader Verify new balance with customer using key chain reader If a SVC DD Form 2664 is used for verification, have customer sign for receipt of the card Show slide #22 Card Removal/Loaded Value. (c) The cardholder confirms the card value amount and acknowledges acceptance of the load value by signing the DD Form 2664.

A: DD Form 2664 In this learning activity we learned how to update an EagleCash Card by ensuring the bank information is correct and revaluing the card. We know that we must ensure that the balance is loaded on the card by using the keychain card balance reader and verifying the correct amount was loaded. In the next learning activity we will discuss how to do a currency exchange and cash-out for a customer.

25 Unloading Funds from EagleCash Card
Three methods (215’s): Currency Exchange Cash Out Sections 3 & 4 of Incident Report Point of Sale (POS) device used to perform these transactions (except sections 3 & 4) Cashier/customer inserts card, FO enters amount into POS device, customer confirms transaction Show slide #24 , Unloading Funds from Eagle Cash Card. Learning Step / Activity 5. Currency Exchange and Cash Out A. A separate EagleCash POS terminal is used by the Finance Office to sell foreign currency and cash-out cards – meaning to reduce the card balance to zero. The customer inserts the card into the terminal and the Finance Office Cashier enters the dollar amount of the transaction. The cardholder then agrees to the transaction by selecting YES as response to the terminal prompt message TOTAL CORRECT? B. Currency Exchange and Cash-out are acceptance transactions. (1) Purchase Foreign Currency. (a) Cardholder advises the cashier the amount of foreign currency to be purchased. (b) Cashier calculates the amount of currency per the current daily exchange rate. (c) Cashier fills out the DD Form 2664 for currency exchange if applicable. (d) Cashier advises cardholder how much currency he/she will receive. (e) Cashier/customer inserts the card into the EagleCash POS terminal.   (g) Cashier presses ENTER. (f) Cashier enters the amount of U.S. currency to be debited from the EagleCash card into the POS terminal. (h) Cardholder verifies the dollar amount and selects YES. (i) Cashier ensures that the cardholder does not select CANCEL. (j) When the transaction is approved, the new card balance is displayed on the bottom of the screen.   (m) Cardholder signs the DD Form 2664 to acknowledge receipt of the currency.   (l) Cashier pays the cardholder the foreign currency and hands the customer his or her EagleCash card.   (k) The POS terminal display prompts PLEASE REMOVE CARD. At this time the transaction is complete and it is safe for the cashier to remove the card from the POS terminal. (2) Cash Out – Reducing the Card Balance to Zero. (a) Local Finance Office Policy governs the ability of cardholders to cash-out their EagleCash card. This policy typically will permit cardholders to cash-out when they leave the theater on R&R, Emergency Leave, TDY or redeployment to an installation without EagleCash. (b) A cash-out defines a transaction that reduces the EagleCash card to zero balance. Should a cardholder require immediate cash-out of the EagleCash card, the FO can facilitate this process using a POS terminal in the same manner as the foreign currency sale. The cash-out differs from the foreign currency purchase in that upon completion, the card balance is reduced to zero. C. Incident Reporting (Lost, Damaged and Stolen Cards). (1) When an EagleCash card is lost, stolen or damaged, the cardholder should report the problem immediately to the local finance office. The Deputy Disbursing Officer (DDO) or Disbursing Agent (DA) then completes an Incident Report (IR) and s the IR to the EagleCash Customer Service Center at: Timely reporting is essential and receipt of the IR triggers several activities by the EagleCash Customer Service Center. First, the card information is loaded to the “HotList/WarmList” file and included in the next scheduled file distribution. Additionally, the EagleCash Customer Service Center researches the item, validates recent transaction history and the card balance, and authorizes the Finance Office to issue a new card with the validated balance amount. NOTE: Give the students a definition of HotList/WarmList: EagleCash is implemented. HotList – a file of all lost, suspended and revoked EagleCash cards across every theater where unprocessed due to Insufficient Funds. to incorrect banking or savings account number information, and items returned WarmList – many reasons, chief among those reasons are loads that cannot be processes due (2) Completing the EagleCash Incident Report. It is essential that the correct Name and SSN be transferred to the Incident Report. The EagleCash number should also be provided if the card is being reported as Damaged. ü is generated to alert the EagleCash Customer Service Center. ü Send the EagleCash Incident Report (IR) as an attachment to with a copy to Brigade or DFAS SVC POC, Battalion SVC POC and the FRBB. (b) Section II – Federal Reserve Bank ONLY will complete this information. The Customer Service Center (CSC) will immediately add the card to the HotList. Within 48 hours, the EagleCash CSC will confirm the balance remaining on the card and the IR to the DA. Timeframe may extend it over a weekend or holiday. Incorrect information such as name or SSN may prolong the required research and result time to confirm balance on the card. NOTE: Inform students the DA must complete Section III, IV, or V (the preferred method) of the Incident Report and it to the EagleCash CSC. This process will bring the IR to closure. (c) Section III – is to be completed by DA if the balance is being transferred to a new issued EagleCash card. DA will need to complete a SF 215 voucher and indicate stated, as well as a SF 5515 for the amount loaded to the card. NOTE: Refer students to ECC Summary Sheet, Pages 7 & 8 for examples of SF 215 and SF 5515. (d) Section IV – is to be completed by DA if funds are being disbursed. DA needs to complete a SF 215 voucher for stated amount. (e) Section V – is to be completed by DA, if balance will be credited by the EagleCash CSC to the customer’s bank account.

27 End-of-Day Processes (Hotlist)
EagleCash end-of-day process consists of the following steps: Receive “Hotlist” via AKO/ from FRBB and add to the computer (DA) Print POS report and upload transactions to computer (Cashier) Calculate and collect the funds loaded on the FO computer from transaction detail report (Cashier) Zip and transmit all files to FRBB (Cashier & DA) Show slide #27 End-of-Day Processes Learning Step / Activity 7. End-of-Day Processes A. Preparing to HotList. (1) When a card is reported lost, stolen or damaged, the information is collected and reported on Section I of the EagleCash Incident Report and submitted to the EagleCash Customer Service Center as quick as possible. The EagleCash CSC validates the information provided and immediately adds the card number to the next scheduled HotList distribution. (2) The HotList is distributed Monday through Friday excluding Federal Holidays. (3) Inaccurate or incomplete data will delay listing of the card number and may result in loss of funds exposure. (4) The EagleCash Customer Service Center will research the item, validate the accuracy of the information provided and add the card number to the next scheduled HotList File. B. Update the Computer with a new HotList/WarmList. (1) The EagleCash Customer Service Center distributes an updated HotList and WarmList, Monday through Friday excluding Federal Holidays. (2) All EagleCash processing locations – AAFES, Post Office, FO’s must load the HotList to the EagleCash computer as part of daily processing activities. The FO must load the WarmList to the EagleCash computer daily and ensure that all EagleCash Kiosks are loaded with the most current HotList and WarmList daily. (3) All POS terminals in production should be loaded with the most current HotList.

Select the “Collect Transaction” icon Once the “Collect Transactions” icon appears, select “OK” button. The POS terminal will upload transactions to the laptop. Simultaneously, the laptop will download the latest HotList to the terminal. Print the Load Transaction Detail Report – This report shows all loads for the date range entered. Typically, the date range is for the date current closing. (1) On the POS terminal, select “Reports” and then “Detail” for a detailed report. (2) Return to the “SVC EOD” screen on the computer. Select the “Collect Transaction” icon. Once the “Collect Transaction” icon appears, select “OK”. ECC EOD will automatically communicate with terminal connected to the computer and start the collection process. JUL 2008 AAD4C VG

D. Zip Transactions File – compresses the data from collected transactions and creates an automatic copy of transaction files to the CRUCIAL USB drive. This file compression is a key step in preparing for the transfer of detail transaction data to the EagleCash processing system. Receipt of transaction detail ultimately triggers the various Automated Clearing House (ACH) credits and debits to cardholder and merchant accounts. To initiate the Zip Transaction Files utility: (1) Insert the CRUCIAL USB drive to the computer PC USB port. (2) With the SVC EOD window open, slide the curser over the zipper icon where Zip Transaction Files appear. Select “OK” on the Zip Transaction Files Screen. This action copies all collected transaction files to the CRUCIAL USB drive. Show slide #38 End of Day Processes - (Zip & Transmit POS & Load Trans) Cont’d. (b) When the zip process is complete, the Zip Transaction Files screen will pop up. (c) Select “OK.” Safely remove the CRUCIAL USB drive from the computer and proceed to a computer with . (d) File is now ready to be placed on AKO. (e) Backup to FRBB at Send the zipped transaction files as an attachment to EagleCash Customer Service Center. Zipped Transaction Files should be ed daily. This practice will ensure prompt processing of all EagleCash transaction data and speedy credit and debit actions to the appropriate accounts.

We now know that we must receive the HotList/WarmList from the FRBB daily and save them onto our Crucial USB and ensure that all computers and POS terminals are updated with this information. We also know that the POS terminals need everything uploaded into each computer so we can promptly process each transaction. After we complete our daily transactions, we know that we must save it and send a zip transaction file to the EagleCash Customer Service Center. Completing these steps on a daily basis ensures speedy credit and debit transactions to the appropriate accounts.
