The Dashboard After you log in, a toolbar displays at the top of all pages of your database. This toolbar provides access to the functional areas in eTapestry. You can also access Help resources through this toolbar.

Last but certainly not least, our eTapestry Support blog has posts on everything from best practices to new releases. Be sure to check it out! To Add Support Resources to your Dashboard, simply click the Select Tiles and Layout (on the lower, right-hand corner of the Dashboard) > click the checkbox next to Support Resources > and Click Save.

To get to your Organizational Preferences: Click on the Management Tab (red circle). Under the Admin Header (down pointing arrow), select the My Organization (left pointing Arrow).

From there you will click on the Preferences Page link (up pointing arrow). You can set several options up: Currency, Time Zone, Auto Process Report , Last Month of your Fiscal Year, and even add your BBPS/BBMS Credit Card Processor Log In information (red, rounded rectangle).

Once you have added your BBPS Log In Information, you will Click on the eCommerce Page link, and then can add a Transaction Processor. You may have multiple processors within the same database. Talk with your sales person about the various options. The list of processors is in on the left and regardless of which processor you work with, each one will send specific instructions on how to set this up.

Constituent - 98% of your Accounts will need to be this in order to track any of the following: giving, volunteer, membership, grants, etc. Tribute - Tribute accounts are accounts for whom donations are made in honor, in memory, or in celebration. User - User accounts are for individuals in your organization that need to have a login ID and password for your eTapestry database.

Name and Recognition: How to utilize these Fields will be discussed in later slides. Persona Type: Think of these as rolodex cards that help you remember where to contact someone. Every Account has each persona type: Business = Office/Work contact information Personal = Home contact information Joint = Home contact information but the Salutation Fields address a couple, not just one individual. User Defined Fields (UDF’s): Account Type, Gender, Marital Status, Mailing Status, etc. We recommend making Account Type a Required Field. Please remember that the Fields on this screen are Account-level Fields. Adding Accounts - 3

This way of entering Accounts differs from the “Classic View” in that you can create up to five Accounts at once using the Steps. Classic View only allows for the addition of one Account at a time but the advantage is you enter all the information for one Account before moving to the next Account to be added.

The Personas Page The Persona page is where contact information used to: mail, call, or an Account. The different Salutation Fields allow you to have informal and formal ways to greet people in letter templates saved in the Communications Section. Through the use of different Persona Types, you can store data for multiple addresses and ways to communicate with an Account. Though you can enter data for as many persona types as you would like, you must designate one persona as Primary on each account. This persona will be the default persona used for mailing and reporting. If there is only one persona on an Account, that will be the Primary Persona.

Please Note for Individual Accounts: Suffixes [Suffix] that differentiate a person like: II, Jr., Sr., III and IV, etc. should be used in the Account Name, Sort Name, and Envelope Salutation Fields Only. Suffixes that are professional certifications or academic accomplishments [Prof Cert]: Esq., JD, PhD., MSN or CPA, etc. should only be included in the Envelope Salutation Fields. Prefixes/Titles like: Mr., Ms., Dr., Miss and Mrs., The Honorable, etc. should only be included in the Long and Envelope Salutation Fields. Please Note for Two Individuals with Same Last Name Same Account: You may want to ensure you type the man’s name into [First Name1] so the Envelope Salutation is formatted consistently based on traditional uses. If your organization has different preferences, consistent data entry across every Account is critical, not how you address your constituents. You may want to add two individuals to the Joint Persona Type, leaving the Personal Persona Type to address the primary contact as an individual. This is a good solution for a Board Member’s Account: Use Joint Persona to address the Board Member and their spouse and then use the Personal Persona when you want to send correspondence to just the Board Member's attention Please Note for Two Individuals with Different Last Names Same Account You may want to add two individuals to the Joint Persona Type, leaving the Personal Persona Type to address the primary contact on the account as an individual.

Additional Contacts at a Business/Organization/Foundation Regardless of the Account Name and contact person listed in the entity’s Account additional contacts at the same location need to be added as an Individual Account. This also applies to Accounts where the contact person not only supports your organization through the business, but also supports your organization personally (from their own personal checking account). You can simply link the two Accounts together on the Relationship Page via the appropriate Relationship Type. SPECIAL NOTES: The following Account Types are default Values (these are not Persona Types): Individual = A person or couple (if you have two people on one Account) Business = For Profit companies Organization = Nonprofit organizations Foundation = Grant or funding organizations Religious = Faith-based churches, temples, synagogues, etc. You can add additional Persona Types as necessary (System Defined Field): Seasonal = Temporary or Vacation Home, perfect for tracking those that live at one address for part of the year and another location for the rest of the year If you deal with Senators/Representatives that have offices locally and in Washington, DC. It is appropriate to have a Local Persona Type and a Washington Persona Type because those are two specific locations that you may need to utilize to record their contact information.

SPECIAL NOTES (Continued): In order to keep your contact information consistent across various Account and Persona Types, consider the following examples of a Business Account Type (Example 1) and an Individual Account Type (Example 2), both with a Business Persona. You may have noticed that the Company Field on a Business Account may not be necessary if you put the Company Name is the Account Name, or if the Company Name is already in the first address line. The Relationships Page - 1
The Relationships page on the account allows you to track the relationships and associations an account has with other constituent, user, or tribute accounts. You can create any number of relationship types for your organization to track. Common relationship types include Spouse/Spouse, Employer/Employee, Parent/Child, Business/Contact, and Table Captain/Guest. To create additional Relationship Types, go to the Management Tab > Database Configuration Column > click on Relationship Types and then New Relationship Type.

To add a relationship to an account, in the Tasks menu, click New Relationship. This opens a new relationship page. Relationship Type - Select the type of relationship that exists between the two accounts. Choose Accounts - Choose the related account and set the roles each account holds in the relationship. Click Select Related Account and then a Find Account window displays allowing you to search for the related account. When you find the account in the search results, click it to select it.

Households in eTapestry link together a group of separate accounts to combine their information for reporting or for mailings. This feature is commonly used when a husband and wife or other family members have separate accounts, as well as tracking multiple contacts at a Business, Foundation, or other type of Account.

The Journal Page The journal page is the historical record for accounts in your database. It is where you track all interactions with your constituents such as: mailings, donations, volunteer hours, grants applied for, campaigns solicited to donate to, and event attendance. Use the Add menu to add new journal entries to the account when you are on the Journal page. From the Add New... menu, select the journal entry type you want to add. This functionality will be discussed in more detail during Session 2.

The Other Page You can also check for duplicate accounts, delete and merge an account, and add linked account roles. The Other page is where you can edit account name and recognition information

Other Page now has the new Name Format field Users can change an existing account’s Name format if needed Can receive an onscreen warning that the newly selected format does not match the previous format. Some data may not transition automatically and action needs to be taken. 57

Example switching the Name Format from Individual to Family Editing the Account Name does not automatically edit the Sort Name. That kind of automation was only applied to the Add Account process, not to the editing process on the Other page.

The Defined Fields Page
Store account-level information on the Defined Fields page. The Fields on this page record “snap-shot” details related to the account as a whole. Snap-Shot means that only the current information is stored and not the historical Value. Caleb’s Board Membership Start Date is 1/1/2013, we will never know that he used to serve on the Board from 2000 to 2008 because only the current “snap-shot” of his recent Start Date on the Board is recorded. If you need a historical record of prior Values, simply track that data on the Journal Page.
