3 What does a President do?
Presides over all club meetings/events Coordinates activities for the group Works with other executive officers on matters related to club business...i.e. delegation of tasks, appointing committees, establishing meeting agenda and following such agendas Works with executive board to make certain all assigned tasks and responsibilities are completed/followed through on...i.e. fundraiser or other appropriate forms are filed with Student Life

4 What does a President do?
Assures all meeting and functions are conducted in an orderly fashion as well as follow campus/University policies and regulations Official spokesperson for club Keeps Advisor, Vice President and other executive officers informed - i.e. in case President must relinquish duties for some reason Briefs new President/Vice President on responsibilities of position and updates/informs new executive board on current involvement of club

5 How to have a great meeting
Date, Time, & Location Pre-plan Have 1 on 1 with your advisor before or after your meetings Time: typically the best days to hold meetings are Tuesday, Wednesday, and Thursday - create a list of times and dates and locations for the remainder of the semester and hand out to students (also post on Treehouse) Reminder flyers for weekly meetings Pre-planning is something every president should do before meetings. It should take no more than 15 minutes to finish and helps to eliminate chaos

6 Example of Meeting Agenda
Call to order by president - start of meeting Roll - which members are present Minutes from last meeting read. Approval of minutes. President’s report - announcements that concern the whole group. V.P. Report - only if they have a report! Secretary Report - only if they have a report! Treasurer Report - the group should always know how they stand financially. Committee reports - if any! Old Business - Review tabled motion from meeting. Should we give the Youth Club $100 for new swings in their play ground? New Business - future projects or activities. Close meeting - announce next meeting date, time, place and things to be discussed.

Starting the meeting Have an icebreaker to introduce students to each other Put signs outside of the meeting room to direct students inside

8 Duties during the Meeting
THE RESPONSIBILITY TO INITIATE: Items or proposals for the members to consider or take action on. THE RESPONSIBILITY TO FACILITATE: The deliberations and actions of the group in order to make it easier for them to conduct the business which has brought them together. Do this by: knowing your parliamentary procedures, keeping things moving, using your authority to keep order and using your secretary to keep track of motions.

9 Duties during the Meeting
THE RESPONSIBILITY TO ORIENT: The goal is to teach members of parliamentary situations. Help them make motions, help them understand motions and tell them their options. Do this without putting people down or showing them up. RESPONSIBILITY TO ENCOURAGE: Bring about free open discussion of matters brought before the group. Listen to all ideas. Don’t laugh at or criticize others’ efforts. THE RESPONSIBILITY TO SUMMARIZE: Clarify and restate any business not understood by the group.

Celebrate Birthdays Award committee members of the month Plan social events such as bowling, scavenger hunts, and breakfasts
