2 Step One: Login to OrgSync

8 Step Four: Use the Card Swipe Readers
- To use the Card Swipe Readers, select the event you wish to use the readers at and select the “Participation” tab. Special Note: There are several ways to utilize the Card Swipe Readers. In order to use the following Card Swipe functions, the device your Card Swipe Reader is connected to must be connected to the Internet. Ensure the Card Swipe Reader is properly connected to your tablet or computer via the USB drive (a light should illuminate on the Card Swipe Reader). Select the “Turn on Card Swipe” tab. Your tablet or computer must be connected to the internet to utilize this function. 11 Step Four: Use the Card Swipe Readers
Determine whether your organization will track only attendance or track in and out times. Track Attendance Only credits users with a set number of hours after swiping in. The number of hours defaults to the event's length but can be altered on the pop-up. 12 Step Four: Use the Card Swipe Readers
Track Check-In and Check-Out Times requires users to swipe twice, once when showing up and again when leaving. This provides a more accurate record of how long each user was at your event. When selecting this option, determine the amount of time each user is required to attend the event in order to gain 'Attended' status. If they do not attend the entire length of time you define, they will be granted 'Partial' status.  Step Four: Use the Card Swipe Readers Track Check-In and Check-Out Times requires users to swipe twice, once when showing up and again when leaving. Once you’ve determined the card swipe settings, click the “Save Card Swipe Settings” tab. Now when you swipe a Student ID, the student will automatically be logged on the participation list. If for some reason OrgSync does not recognize the ID, it will generate a pop-up that allows you to search for the user within your community. When you are finished swiping IDs, click the “I’m Done Swiping” tab. You may edit the set number of hours allocated to participants by selecting the “View / Edit Card Swipe Settings” link. If a student does not have their Student ID (or is an employee/staff), you may manually add them to the participant list by clicking the “Add Participants” tab. 18 Step Four: Use the Card Swipe Readers
Select a user that you would like to track attendance for. This will move the user into the ‘Selected’ tab.  After you’ve selected the appropriate users, enter their attending status and the number of hours they attended. When you’re satisfied with the participation you’ve entered, click ‘Save’ to complete the process. When you’re done taking attendance, save the file as a CSV document. This document should contain nothing but card swipes in a single column. To upload the Excel file to your event, click ‘Upload Data’ from the right toolbar while within ‘Participation’ for an event. Choose the file from your computer and click ‘Open.’ Depending on the number of entries, the upload may take several minutes. You will receive an notification if any student IDs were not recognized. 23 Step Four: Use the Card Swipe Readers
Potential Issues with Uploading Card Swipes Ensure each entry contains a full card swipe string. Uploading only user ID numbers will likely cause the import to fail.  Remove all headers on your import document. The only information on this document should be the card swipe strings. Check for extraneous data elsewhere in the document. If there is any information in cells outside the first column, the upload will likely fail. If you’ve gone through these steps and everything appears correct, contact OrgSync via Make sure to attach the document in question, as well as a link to the event. 24 Step Five: Manage Participation
After you’ve tracked attendance with the Card Swipe Readers participants will be credited with hours and an attending status. They are also added to the event’s participation list. 25 Step Five: Manage Participation
Click the “Export Participation” tab to view all of your participation data in one excel spreadsheet. Your report will include information such as participant names, event hours, attendance, and check-in/check-out times.
