2 What is a Commercial Parcel?
USPS Requirements The Post Office has implemented mandatory barcoding of commercial parcels. Beginning January 25, 2015 every USPS package will be required to have the IMpb (Intelligent Mail Parcel barcode) label applied and electronically upload information to the USPS or pay higher retail prices for all parcels. Parcels that do not display an approved barcode risk return and/or delivery delays, as well as increased postage rates in some instances. The new parcel rule from the USPS includes padded or large envelopes that are coming from your department. Some things to remember when preparing envelopes: *Envelopes Larger than 12”x15” is a parcel *13 ounces or over is a parcel *¾ inch and over thickness is a parcel *In a box or an envelope that is not flexible or with “do not bend” is a parcel For more size & weight requirement information: The U.S. Postal Service now requires mailers to affix an IMpb-compliant package tracking barcode to all commercial parcels. Commercial parcels include parcels, packages, and Priority Mail Express or Priority Mail pieces of any shape, size, or price category, including flat-rate boxes and envelopes that claim the discounted postage rate. 3 Login Page On the Campus Mail Home Page – select the Shipping & Tracking Link Click the ‘Outbound Shipping Request’ button to access the Request-IT page Login with your University of Idaho credentials and click Sign In to go to the Request-IT Home Page.

4 Pop-Up Blocker You will probably need to put an exception in your pop up blocker for the website. You should do this before trying to print the Ship Request Form. In Internet Explorer go to Settings/Privacy/Pop-up Blocker/Settings/Exceptions/type in or copy paste web address (Uidaho.SclIntra.com/RequestIT) /Add ALL Browsers are supported. The method to enable pop-ups will vary with each browser.

5 Home Page Start a new shipment request or search for a prior request at this starting page. The SCLogic menu selection returns the user to the ScIntra Portal home page. Note: the logout is not required since the Single Sign On will remember the user in the Browser session. You can close the session by closing the browser.

6 Start Request Field Descriptions: Sender Information
User: The logged in user Ship For: Required field, user must select. (Always select the Ship For department BEFORE selecting the Budget #.) Budget #: Required field, user must select. Ship To Ship To: The user can type in the address or select one from their Personal Address Book. Manually entered addresses can be automatically added to their address book by selecting the check box in the lower right corner.

7 Address Book Search Search: Enter information into one or more of the criteria search fields. Any or all fields can be left blank. Click Search to display the results. Select: Click the desired contact to select their address. The system will use the selected contact’s address information and will return the user to the Request IT screen.

8 Address Book User can Add a new address or edit an existing record.
A red asterisk (*) indicates a Required Field. When finished, click Save at the bottom of the screen. Address Book records will only be visible to the user that created them.

9 Address Validation Click Continue to use the address as modified by the address validation feature or click Use Original Address to use.

10 Request Header Once all fields are populated, click Continue to advance to the Package Detail screen.

13 Package Detail Description
Multi-package flag: Used to specify a shipment with multiple packages Enter the total number of packages within the shipment. The weight and dimensions entered will be applied to each package within the multiple package shipment. Weight. Enter the weight, actual or estimated Dimensions. The dimensions are not required but helpful for larger items. Optional Signature and other Special Services, such as Saturday Delivery. notifications can be specified for either or both a Ship Notification or a Delivery Notification. Select the check box next to either option and enter the address. Multiple addresses can be entered separated by a comma. **Delivery Notification is not supported by USPS. Optional Shipment Notes – will print on the ship request form attached to package If enabled, you may also enter Third Party Billing information to have the freight costs billed to a specific carrier account. Click Continue when the entries in the package detail screen are complete.

Declared Value: Enter the total value of the Shipment for Customs Declaration for UPS ONLY; enter 0.00 for USPS. Documents Only: Alternatively, if the shipment is ‘Documents only’ and has no Customs Value, select the Documents Only flag.

If the address entered is located outside of the United States: Customs value field is required Commodity information field is also required for a shipment with a Declared Value. Enter all other required package information Click Continue If a declared value was entered, a new form/screen will display where you must enter the item details (Commodity Information). This screen allows for entering multiple items/products in the same shipment The data entered is not carton specific (if you have three items packed in two different cartons, you do not need to list the three items)

17 Intl. Commodity Screen Click the Add Commodity button to add the item.
Description: enter an appropriate description for the first item Quantity: enter the quantity for the first item Unit weight: enter the weight of each individual item (i.e. if you listed 5 ‘shirts’ then enter the weight of each shirt) Harmonized code: enter this value if applicable Unit of measure: default is pieces, update as needed Unit value: enter the value of each unit (i.e. if you listed 5 ‘shirts’ then enter the value of each shirt Origin country: select the country of manufacturer for the item Repeat for additional items Click continue to proceed to the rating screen

18 Carrier/Service Selection
Ship date: can be modified to specify a ship date other than the current date Select type of service: A Service Group must be selected; Domestic Services or International Services based on the destination address. The system will automatically select the least cost service option. The user may over-ride this by clicking the drop-down field for service to view all service options with cost and estimated transit time.

19 Request IT Summary Review the details to confirm all data is entered correctly. User may select Back to edit the Request, Cancel Request or Complete Request. Completing the request will register the request and allow the shipment request form to be printed.

20 Ship Request Form Attach the Shipping Request Form securely to the package before placing the package in your Campus Mail pick up location. (a single piece of invisible tape at one or two sides so we can remove the form please) When the item arrives in Campus Mail at the Ship-IT system, the CMS employee scans the bar coded form. All of the user’s original selections populate the Ship-IT screen. These selections can include: Ship To address Selected Carrier and Service Selected Account for chargeback Shipping notes Note: browser must allow pop-ups from the Request IT site.

Use one or multiple options: request #, company, contact, city, state or date Search results will populate Reprint button on far left of result record Click Edit to load ship request to Request IT screen and make changes as needed Edit button will be available if shipment has not been processed in the mailroom Edit button will not be available if the shipment has been processed and the tracking number has been created Mailroom will be notified with a pop-up message if the request was modified after it was printed Search results will only be displayed for the user currently logged onto the Request IT application
