11 Goal 2014 Bringing 5S to schools
Get To cover 30 School in 2014 IN an effort to create a more conducive learning environment, the Vasundhara India Corporation (V.I.Pt.) has been working on instilling the 5S culture among schools, NGO Employees and students. By using the concept, schools have benefited by inculcating a continuous learning culture and good habits. 5S is a methodology which helps us to better organise our workplace in order to improve safety and productivity 5S is the foundation on which to build a leaner organisation Where could I use it? At any work station or work place. Traditionally used on the shop floor, but equally relevant in office environments, service, on-site works and even computer file storage. 5S - Example Everyone plays a part to make sure the changes stick. Keeping to the new rules and standards through regular audits. Awards can be given for best practice at each audit. 16 5S - Risks and how to avoid them
Initial resistance against making changes in the well established workplace, not just against the physical changes but also cultural resistance – “We’ve always done it like this”, “It’s not broken, so don’t ‘fix’ it” New rules are not taken seriously Slow but steady return to ‘the old ways’ once the initial launch focus has gone Steps to avoid them : As with all improvement activity, communication is critical. Prior to initiating the 5S it may be prudent to conduct stakeholder and impacted populations analyses in order to identify likely areas of resistance and devise strategies to reduce this opposition. During the implementation, resistance should be searched for and confronted in a positive manner – open and honest conversations about individuals concerns are more likely to have a positive than negative effect on the 80% of the population who are watching to see which way things go! New rules need to be enforced – once a standard is set there should be no variation accepted unless a new and improved standard is agreed. Managers and Supervisors are key to ‘walking the talk’ New standards and ways of working need time to become habit or risk slipping backwards. Use of ‘before’ photographs is a very tangible reminder of how things were and how much better things are now. 5S can be sustained where there is strong management commitment to ensure that new standards are formalised and new rules adhered to. 5S should be restarted every 5 years. 14 © Vasundhara India VASUNDHARA INDIA

5S comes from Japanese but is typically translated to English as: Seiri Sorting Seiton Set or Straighten Seiso Shine Seiketsuso Standardise Shitsuki Sustain 5S removes physical waste & improves workplace safety It also improves quality because the right tools are easy to find It is usually associated with manufacturing but the principles apply to almost any process It is very simple, so there is no excuse for not doing it! The vision of 5S is to have: A safe and clean workplace No items out in the open that are not needed Waste and abnormal conditions become obvious Simple and minimised paperwork Retrieval of information in a short amount of time by anyone A pleasant and stimulating workplace It is traditionally viewed as being something for the factory, but in reality the 5S vision is equally relevant to other work areas. 15 © Vasundhara India VASUNDHARA INDIA
