3 About the UCPath project
What Is UCPath? UCPath is a systemwide business transformation initiative launched by the University of California to modernize its current payroll and HR system.  UCPath introduces new, modern technology on the Oracle PeopleSoft platform that will align payroll, benefits, and personnel transaction processing across all UC locations. Employees will also be supported by the UCPath Center, which will process employee payroll and provide dedicated and responsive customer service support.

UCPath Portal The UCPath online portal gives you 24/7 self-service access to payroll, benefits and HR information. Update your personal information quickly and easily. UCPath Center The UCPath Center is the central hub where payroll, benefits and HR services will be managed for all University of California (UC) employees. The UCPath Center manages the UCPath portal where your job-related information is stored and available to you 24/7.

11 PAY METHOD Pay Changes Videos UCPath Paycheck What You Need to Know
Paycheck: Your paycheck will look different (see the included two page UCPath Bi-Weekly Paycheck sample). These differences include changes that typically occur at the beginning of each year and changes that will occur as a result of the UCPath implementation (see the included January 2018 Paycheck Changes matrix). Some key changes include: New employee ID numbers, which appear on the UCPath paycheck and in the UCPath portal. Paycheck statements will be available in the UCPath portal two days before pay day. Vacation and sick leave balances will be shown in the UCPath portal, rather than on paychecks. Employees can view their leave balances in the portal. Paper Paycheck: With UCPath, paper paychecks will be sent to your home address by U.S. Postal Service on payday.  If you still get a paper paycheck, it may arrive at your home address 2-3 days after payday. W-2: Your 2017 W-2 will come from At Your Service Online (AYSO) for the last time. In 2018, your W-2 will come from UCPath.

However, you will be able to change your paycheck delivery method via the UCPath Portal once it’s available to UCR employees (January 2017). Changes take roughly two weeks to be reflected on paychecks.             W-2: Your 2017 W-2 will come from At Your Service Online (AYSO) for the last time. In 2018, your W-2 will come from UCPath.

16 KEY DATES FOR ALL EMPLOYEES
Dec. 5 – AYSO Blocked for Transactional Activity: After this date, AYSO will be blocked for transactions such as personal address changes, beneficiary changes, tax withholding changes, etc.  However, AYSO will continue to be available throughout the month of December for read-only activities such as viewing earning statements. For more information on AYSO & the UCPath Portal, please click here. Jan. 2 – UCPath Portal Employee Self-Service Available: The UCPath Portal and ESS will be available to all campus employees on this date. The UCPath Portal is the gateway into UCPath for all employees. The UCPath ESS replaces many of the functions of AYSO for employees (such as viewing earning statements, view or update of W-2s, etc.), and allows employees to view & manage key information in UCPath.

12/13/17 (Wed) at 11:00 pm Employee timesheet submission cutoff. Employees should project time for December 14th and 15th 12/14/17 (Thu) at 11:00 pm Supervisor approval cutoff 01/02/18 (Tue) Pay Day (First monthly pay check through UCPath).

Biweekly (B2) Time Reporting Period: 12/3/17 through 12/16/17 12/14/17 (Thu) at 11:00 pm Employee timesheet submission cutoff Employees should project time for December 15th and 16th. 12/15/17 (Fri) at 11:00 pm Supervisor approval cutoff 12/27/17 (Wed) Pay Day in PPS (Last biweekly pay check in PPS) Due to campus closure, paper paychecks will be distributed on Tuesday (1/2/2018) when campus re-opens; however, direct deposits will be deposited on pay day (12/27/17) Biweekly (B1) Time Reporting Period: 12/17/17 through 12/30/17 12/20/17 (Wed) at 11:00 pm Employee timesheet submission cutoff in old TARS. Employees should project time for December 21st through December 30th. 12/22/17 (Fri) at 11:00 pm Supervisor approval cutoff in old TARS 01/02/18 (Tue) Supervisors to Review Timesheets in New TARS for accuracy 01/10/18 (Wed Pay Day (First biweekly pay check through UCPath).

21 Communications The project team delivers communications directly to employees and through the staff readiness network. The readiness network consists of staff in every org unit that shares information with their units and informs the project team about issues or questions that arise. Messaging Packet Information is ed to the staff readiness network monthly or as needed. Communications may include talking points, PowerPoint presentations and other resources with important updates. Weekly s A quick snapshot of the most important information to share with general audiences will be ed weekly. Publications Printable flyers help employees navigate the changes that impact them, including paycheck changes, updating personal information, enrolling in benefits, and how to request help. Daily Digest Special announcements will be sent out through the Daily Digest.

22 Websites UCR and UCOP have developed websites with user-friendly information and portals for employees to navigate. FOM|UCPath The project website is UCR’s source for local information. It includes webpages dedicated to training, FAQs, communications, Shared Services Centers, and more. UCPath Portal Employees will use the new portal to view and/or edit personal information, leave balances, benefits, income and tax withholdings. At Your Service Online (AYSO) AYSO will still be used for retirement and savings, and archived income information. R’Space / R’Web Existing websites will provide easy navigation to the UCPath Portal, ServiceLink, At Your Service Online and the UC Learning Center.

24 CONTACT INFORMATION Shared Services Centers (SSCs) enable UCR to streamline and enhance transaction processing so that support staff may focus on more value-added (non-transactional) services. UCR’s four SSCs are planning for a December 2017 UCPath go-live, while at the same time providing ongoing services to campus organizations.
