1 Data Coordination in Action
Information from Coordinators in the Field MIBLSI ERU: Anna Harms, Jennifer Rollenhagen, Patrick Sorrelle, Christine Russell

2 Agenda 1.0 Data Coordination Overview 2.0 Panel Introductions 3.0 Questions from Moderator 4.0 Questions from Participants 5.0 Next Steps

3 Data Coordination Overview

4 Data-Based Decision Making
Critical feature of MTSS. Full implementation requires data to be collected and analyzed at the ISD, district, school and student levels Without evaluation, actions taken by districts and schools can be a guessing game Data collection is not enough to guide decision making Staff must understand what the data means and how to use data to improve their MTSS systems and practices

5 Types of Assessment Student Assessment Fidelity Assessment
Determine which students need additional supports and when school-wide supports need to be adjusted Fidelity Assessment Determine how many features of school-wide MTSS are in place and the quality of implementation Capacity Assessment How well ISD/district can support implementation of MTSS Reach Assessment Know Stage of Implementation for planning supports

6 Data Coordinators Assist with the gather, study, plan, do process including: Selection of assessments Communication with staff and parents/community Alignment with other assessments Installation of assessments both initially and with long-term re-checks and re-teaching Administration, scoring and reliability checks Use of data at data review Continuous improvement

7 Data Coordination Roles
Coordinator Ideal Number of Coordinators Required Endorsement School-wide Information System (SWIS) Facilitator One per District Endorsed by PBISApps PBIS Assessment Coordinator At Least One per District Early Warning System (EWS) Coordinator Endorsed by MIBLSI Student Risk Screening Scale (SRSS) Coordinator Reading Tiered Fidelity Inventory Facilitator One – Two per District DIBELS Next Mentor DMG Recommends One per School Endorsed by DMG Trainer Notes: This table provides a quick review of the various data coordination roles. You can have participants review the information on this slide and the next on their own before you set up the next activity.

8 Data Coordination Needs
Training Topic Data Coordination Needs SWPBIS SWIS Facilitator PBIS Assessment Coordinator PSC EWS Coordinator DIBELS Next Data Interpretation DIBELS Next Mentor Tier 1 Elementary Reading Systems Reading Tiered Fidelity Inventory Facilitator Tier 1 Secondary Content Area Reading Tier 2 Behavior Supports Student Risk Screening Scale Coordinator Trainer Notes: This slide provides a cross walk of the training topics and the data coordination needs. You can have participants review this slide and the previous slide on their own before you set up the next activity.

9 Context Tab Trainer Notes:
We’ve come full circle to the context tab of the district dashboard. This time we will be focusing on the bottom left corner – the data coordination capacity within the district.

10 Supports to Data Coordinators
State-wide training Online modules and webinars for training and updates MIBLSI Measures Connection Support from MIBLSI IS and MIBLSI Data Coordinators MIBLSI Supports ISDs ISD provides coaching to the DIT. The ISD also supports school level coaching. This could either be through direct ISD staff providing the coaching or through ISD staff supporting the district coaches. Observation – preferred but not always possible Product review Modeling Facilitation Co-facilitation Prompting Adaptation to local context Written and verbal feedback Districts / Schools

11 Data Coordination Support Structure

12 Panel Introductions

13 Anne Gordon, Portage Public Schools
Current Role: District MTSS Coordinator Previous Role: School Psychologist Supporting district academic screeners Working to align reading K-3 Supporting buildings in their team processes and implementing / sustaining their PBIS practices Encouraging use of fidelity tools Preparing for data review.

14 Current Role: MIBLSI Implementation Specialist
Julie Nixon, MIBLSI Current Role: MIBLSI Implementation Specialist Previous Role: First Grade Teacher, Reading Specialist, MTSS Coordinator Supports district and school leadership teams to implement and use DIBLES Next, R-TFI, PBIS-TFI, DCA, EWS and MIDATA Supports use of data within a data review process Worked with grade level teams to use data to action plan their core instruction

15 Lynnette Borree, Copper Country ISD
Current Role: School Psy and ISD MTSS Coordinator Previous Role: School Psychologist Shoring up fidelity for existing data systems such as DIBELS and SWIS Working with tech department to efficiently pull EWS data from SIS Expanding SRSS administration Model and practice with potential data coordinators to help them to become independent with data coordination

16 Troy Finstrom, Cadillac Area Public Schools
Current Role: Success Worker Previous Role: Classroom Teacher, Math Specialist Using SWIS drill down to better action plan Tier 1 implementation Use SWIS data to help support the creation and implementation of Tier 2 & 3 interventions Working to use School Climate Surveys to make system decisions and safer learning environments

17 Sarah Weaver, MIBLSI Current Role: MIBLSI Implementation Specialist Previous Role: School Psychologist Working to install systems for gathering and using EWI data 6-12 (with a long-term goal of K-12) Supporting the development of EWS within Illuminate Ed Working with ISD Implementation Teams and ISD technology teams Preparing for Data Review

18 Questions from the Moderator

19 Questions from the Moderator
How are you carving out time for this role? What are the most challenging tasks you have within your data coordination role and how have you dealt with these? What impact are you seeing on school fidelity and student outcomes due to your data coordination work? What supports have you found helpful to fulfilling this role and staying current on your knowledge of the assessments you support?

20 Questions from Participants
*Please raise your hand if you have a question for the panel. We will get to as many questions as we can.

21 Next Steps with Data Coordination

22 MIBLSI Next Steps Increase number of trained / certified data coordinators across the state Standardize supports within roles and across roles Continue to learn from implementers Support long-term action planning with evidence based data sources Ensure that selected data sources are able to sustain as MIBLSI supports fade for ISDs, districts and schools

23 ISD Next Steps Full Implementation of Decision Support Data Systems:
RCA Item 17: Regional Implementation Team has access to relevant data RCA Item 18: Regional Implementation Team has a process for using data for decision making Support district to set up structures relate to decision support data systems

24 District Next Steps Full Implementation of Decision Support Data Systems: DCA Item 14: District Implementation Team has a process for using data for decision making DCA Item 15: District provides a status report on the Effective Innovation to the school board DCA Item 19: District Implementation Team supports Building Leadership Teams using data for decision making

25 School Next Steps Full Implementation of Data Systems for any Effective Innovation: SWPBIS TFI and Reading TFI provide items related to evaluation at the Tier 1, 2 and 3 levels Use district-wide communication linking protocols to communicate barriers to data collection or use back to the District Leadership Team

26 Concluding Thought Keep in mind – data is frequently imperfect and incomplete. Do not let this fact paralyze your organization or push it in the direction of flying blind. Move forward but strive to improve data quality and completeness over time. Errors using inadequate data are much less than those using no data at all – Charles Babbage (“father of the computer”)
