What is a process? Tools and Techniques Inputs Outputs
Process is a set of interrelated actions and activities performed to create a pre-specified product, service or result. Project vs Product Processes
Project Management Processes Ensures effective flow of the project throughout Project lifecycle. Encompass the tools and techniques involved in applying the skills and capabilities described in the knowledge areas. Product-oriented processes Specify and create the projects product and vary by application area as well as the phase of the product life cycle. Modifying the process to suite needs of a project is called tailoring Project management process is contained in a product management lifecycle for a given product. Project Management Processes
Project Management Processes are grouped into 5 categories known as Project Management Process Groups Process Group Description Initiating Process Group To define a new project or phase of an existing project by obtaining authorization to start the project or phase. Planning Process Group To establish the scope of project, refine objective and define the course of action required to attain the objectives of the project Executing Process Group To complete the work defined in the project management plan to satisfy project specifications Monitoring Process Group To track, review and regulate the progress and performance of the project. Identify changes required and initiate the corresponding changes Closing Process Group To finalize all activities across all Process Groups to formally close the project or phase. All process groups might be repeated in a single project phase. Example of a Project life cycle phase : Concept/Feasibility study, design, prototype, build, test, deliver. Initiating Process Group
Processes performed to define a new project or a phase of an existing project by obtaining authorization to start the project or phase. Initial Scope if defined Initial financial resources are committed Internal and external stakeholders are identified Project manager is assigned Initiating a project may be performed at the organizational , program or portfolio which is at a higher organizational initiative Project manager is given authority to apply organizational resources to the subsequent project activities. Planning Process Group
Processes performed to establish the total scope of the effort, define and refine the objectives and develop the course of action required to attain those objectives. These planning processes develop the project management plan and the project documents that will be used to carry out the project. Express how part of the project and sets the route to desired objective making it easier to get stakeholder buy-in and engagement. Key purpose: Delineate the strategy and tactics as well as the course of action to successfully complete the project or phase. Provide outputs in the form of project management plan and its subsidiary plans. Progressive detailing of the project management plan is called progressive elaboration. Executing Process Group
Processes performed to complete the work defined in the project management plan to satisfy project specifications. The processes involve coordinating people and resources, managing stakeholder expectations, as well as integrating the performing the activities of the project in accordance with the project management plan The results in this process group can trigger change requests and lead to modification of project plan , budgets and forecasts. A large portion of budget will be expended in performing the Executing Process Group processes Tech_Stambha Thirst for Knowledge

Monitoring and Controlling Process Group
Processes performed to track, review and orchestrate the progress and performance of the project. Identifies changes required and initiates corresponding changes. The processes involves Monitoring ongoing activities against project management plan and project performance measurement baseline. Controlling changes and recommending corrective or preventive action. Influence factors that could circumvent integrated change control or configuration management so that only approved changes are implemented. Key Benefit: Project performance is measured and analyzed Variance analyzed Triggers change management and relevant updates to project management plan. Tech_Stambha Thirst for Knowledge

Closing Process Group Processes performed to conclude all activities across all Project Management Process Groups to formally complete the project, phase or contractual obligations. This process group verifies that the defined processes are completed within all of the Process Groups to close project or a phase and formally establishes that the project or phase is complete. This process group also establishes premature closure of the project. The process might include some or all of the activities: Obtain acceptance by the customer or sponsor to formally close the project or phase. Conduct post-project or phase-end review Record impacts of tailoring to any process Document lessons learned Apply appropriate updates to organizational process assets Archive all relevant project documents in the project management information system Close out all procurement activities ensuring termination of all relevant agreements Perform team members assessment and release project resources. Project Data , Information and Reports
Work Performance data: Raw observations and measurements identified during activities performed to carry out the project work Examples: Reported work that is completed, number of defects, actual cost accrued Work performance information: Data collected from various controlling processes, analyzed in context and integrated based on relationships across areas Examples: Status of the deliverables, Forecast for completion.
