TechAnywhere Android Quotes

Quotes As of TechAnywhere Android version 3.6, quotes have been moved to the work order level and can be found on the work order main menu. Previously it was at the equipment level. Now, you must select the equipment at the time of adding an option. This now opens up the ability to create 1 quote for multiple equipment units. Quotes now have 3 tabs for managing New/Open/Approved quotes: New Quote Creation of new quotes and options Existing Quotes Review of open quotes for this work order. This allows the tech to review existing quotes that have Open options. Clicking into the quote will display the option details (read-only). Tech can also change the status to Accepted, Approved (COD only), or Declined. Quote in SAMPro must be flagged ‘Web Viewable CRM?’ to come down to TechAnywhere Approved Quotes Review of approved quotes for this work order (read-only). Quote in SAMPro must be flagged ‘Web Viewable CRM?’

Add Option: Flat Rate [Add]
Step 2 Click Search Flat Rates to lookup a flat rate to add Step 1 Click the Add button to add a flat rate (quote template) to begin building a quote option. Note: Adding a flat rate to the quote will make this quote a Fixed Price quote.

Add Option: Flat Rate [Add] Step 3 Enter a value for the Quantity and choose the desired Price Level. Click the Add button when finished. Optional Click Documents for Flat Rate to view any documents attached to this flat rate item in SAMPro Step 4 You have now added a flat rate item to the quote. Corresponding entries {Scope of Service, Labor, Material, and Miscellaneous} will automatically add to the quote. Swipe from right to left to move onto the next section.

Add Option: Scope of Service
Step 5 Scope of Service is automatically entered from flat rate item. This can be edited or filled in from here. Optional The Unit Down flag determines the description of the quote that will be created in SAMPro Quote. Cleared Flag = Found on ^work order type^ by technician ^tchncn_id^ Checked Flag = Unit Down found by technician ^tchncn_id^

Add Option: Labor Step 6 Labor is automatically entered from flat rate item. You can edit the existing lines by clicking on them, or additional labor can be added by clicking the Add button. Labor entry for quotes is identical to work order labor entry.

Add Option: Material Step 7
Material is automatically entered from flat rate item. You can edit the existing lines by clicking on them, or additional material items can be added by clicking the Add button. Material entry for quotes is identical to work order material entry.

Add Option: Miscellaneous
Step 8 Miscellaneous is automatically entered from flat rate item. You can edit the existing lines by clicking on them, or additional miscellaneous items can be added by clicking the Add button. Miscellaneous entry for quotes is identical to work order miscellaneous entry.

Add Option: Total/Summary
Step 9 Review the quote option total. To override the option price, adjust the dollar amount and click the Update button. Note: Overriding the quote total will make this a Fixed Price quote. Step 10 When finished entering the quote option, press the BACK button to return to the Quote Option List. Optional Click the View Quote Summary to see an overview for the quote option.

Quote Status Step 12 Each Quote Option has a drop down to choose status. Each status corresponds with a Quote Scope status in SAMPro There are 3 optional statuses to set for each quote option. No matter which status is picked, the quote will be transmitted to SAMPro when the Submit button is pressed in the New Quote tab. TechAnywhere created Quotes will post and can be found in the SAMPro Quote Master / Quote Manager where they can be edited and approved Open Transmitted to SAMPro with the status of Open. Accepted Transmitted to SAMPro with the status of Accepted. Subsequently, a quote acceptance process will be invoked when submitting the quote. This is to be used for accepting work to be performed in the future. Approved (COD Only) Transmitted to SAMPro with the status of Approved. Subsequently, a quote approval process will be invoked when submitting the quote. This is to be used for accepting work to be performed immediately. See ‘Quote Approval’ slide for additional information. Declined Transmitted to SAMPro with the status of Declined. Step 13 Use the Submit button to transmit the quote to SAMPro immediately.

Quote Acceptance Step 14a (Optional)
If you marked any quote option(s) as Accepted, you will be taken to a quote summary where the customer can review the quote and sign for it. After the signature is captured, a quote form PDF will be generated and attached to the quote and the work order (Document Manager).

Quote Approval Step 14b (Optional)
If you marked any quote option(s) as Approved, the approval process is the same as the Acceptance, however TechAnywhere will additionally perform the following actions: Move scope of service into the work performed. Move all flat rates, labor, material, and miscellaneous entries onto the work order with 0 billable hours/quantities. A new ‘Quoted’ miscellaneous line is created based on the quote total (specified by config setting)

Existing Quotes Existing quotes will display a list of all quotes for this work order that have a quote option status of open (Quote in SAMPro must be flagged ‘Web Viewable CRM?’). Clicking the quote will display a list of these quote options. Clicking the option will display the read-only details that make up the option. Optionally, the tech can change the status of the quote options to Accepted, Approved (COD only), or Declined. Doing so will change the status in SAMPro and an alert will be queued for execution. The alert exists to notify a contact internally about status changes to an existing quote.

Approved Quotes Approved quotes will display a list of all quotes for this work order that have a quote option status of Approved (Quote in SAMPro must be flagged ‘Web Viewable CRM?’). Clicking the quote will display a list of these quote options. Clicking the option will display the read-only details that make up the option.
