District Training Assembly Attendance & Fellowship Host Club: Rotary Club of Mumbai Mulund South

2 Rules for Attendance Member shall be counted as attending a regular meeting if the member is present for at least 50% of the meetings OR Engaged in the club projects for at least 12hours in each half of the year OR Combination of both OR Is present & is called away unexpectedly & subsequently produces evidence to the satisfaction of the board that such action was reasonable or makes up for an absence in any of the ways discussed next. Same rules apply for e-clubs, except the members meet in an online forum (Google Hangout, Skype, etc)

3 Making Up for Attendance
14 days before or after the regular missed meeting, the member: Attends at least 60% of the regular meeting of another club. Attends a regular meeting of a Rotaract or Interact Club, Rotary Community corps or Rotary Fellowship Attends a convention of RI or District Conference, District Training Assembly, any District Committee meeting or any District event. Is present at the usual time & place of a regular meeting of another club but club is not meeting at that time or place. attends a board meeting or, if authorized by the board, a meeting of a service committee to which the member is assigned; or participates through a club website in an interactive activity requiring an average of 30 minutes of participation.

4 Making Up for Attendance
14 days before or after the regular missed meeting, the member attends: A convention of RI A council on legislation An international assembly A Rotary institute for past, present and incoming officers of RI Any other meeting convened with the approval of the board of directors of RI or the RI president acting on behalf of the board A Rotary multi-zone conference An RI committee meeting A Rotary district conference A District Training Assembly Any District meeting held by direction of the RI Board of directors or the district governor A regularly announced intercity meeting of Rotary clubs

5 International Club Visit Attendance
When a member is outside the member's country of residence for more than fourteen (14) days, time restriction shall not be imposed so that the member may attend meetings in another country at any time during the travel period, and each such attendance shall count as a valid make- up for any regular meeting missed during the member's time abroad. Extended Absence on Out posted Assignment: If a member will be working on an out-posted assignment for an extended period of time, attendance at the meetings of a designated club at the site of the assignment will replace attendance at the regular meetings of the member's club, provided there is a mutual agreement between the two club. A member's absence shall be excused if the member is a current officer of RI

6 Attendance Reports Monthly report has to be sent mandatorily by the Club Secretary to the district governor within 15 days of the last meeting of each month A member’s absence shall be excused if: The absence complies with the conditions and circumstances approved by the board. Such excused absences shall not extend for longer than 12 months Such leave for medical purposes shall not be counted as an absence for purpose of attendance records of the club Aggregate of the member’s years of age and years of membership in one or more clubs is 85 years or more, and the member has notified the club secretary in writing of the member’s desire to be excused from attendance and the board has approved.

7 Encouraging Attendance
Outside of fellowship, promote regular attendance by: Ensuring that weekly meetings are relevant and interesting Encouraging members to make up missed meetings Devising a questionnaire to determine why members fail to attend weekly meetings Recognizing members with exemplary attendance records Assigning members to a committee or giving them specific duties to fill.

8 Fellowship Schedule social and networking activities.
Appoint a different member each week to greet and introduce new members, visitors, and speakers. Foster relationship with other rotary clubs in the district, in the region, and around the world. Include spouses and families in club fellowship and service activities. Wear name badges at meetings to make introductions easier. Rotate seating arrangements to ensure that members get to know one another.

9 The Rotary Family The Family of Rotary includes Rotaract, Interact, Rotary Alumni, Youth Exchange students, Inner Wheel, and family members of Rotarians and members of Rotary’s extended family Remember birthdays and anniversaries. Assist when they are sick, or having personal issues. Share their grief after a death in the family. Celebrate births, weddings, and graduations.
