1 OAKS Online (Required for DTCs, STCs, and OAKS Online TAs)

2 OAKS Online Objectives Understand how to navigate the OAKS Online Test Delivery System and the processes related to online testing Administer OAKS Online appropriately

3 Schedule 2013-14 OAKS Online Test Window: Nov. 5 – May 22
Only one opportunity available between Nov. 5 and Jan. 6 Each test opportunity is subject to a 45-day expiration period

4 OAKS Online Test Opportunities For students in grades 3 – 8, there are 2 OAKS test opportunities per subject Retesting students in grades 3 – 8 who have already met requires explicit parental consent 3 test opportunities for students in High School; no restriction on retesting ODE offers multiple opportunities as a means of limiting the impact of the “real world” on a student’s results (e.g., adult errors, network problems, student illness, invalidation, or expiration). Individual test opportunities may be lost due to test expiration (the student does not complete the test within 45 days of starting it) or invalidation (based on an impropriety).

5 Before Testing OAKS Online
Review Appendix B of the Test Administration Manual, as well as the appropriate subject-specific Appendix (Appendix C – F) and your training notes Identify students to be tested and their test settings Make sure you have the correct SSID for each student Identify students who need side-by-side English- Spanish or who are taking the Braille or Extended formats Identify students who need accommodations Provide students with opportunities to become familiar with the test format and technology -Appendices of the TAM are available online. Appendix B contains instructions on how to prepare for the test, the procedure for administering the test, and student directions. Appendices C (Reading), D (Math), E (Science), and F (Social Sciences) contain allowable resources by content area and other content area-specific information. -Practice tests are available online at the OAKS Portal to familiarize TAs and students with the test format.

6 Overview of Test Delivery System

8 TA Interface at A Glance
OAKS Online TA Interface at A Glance Used to create and manage test sessions and approve students All information is visible on one screen Tests in session Students needing approval to start testing Students with tests in progress Print requests -The OAKS Online TA User Guide includes detailed screenshots and instructions for using the TA interface to create and manage test sessions. The training site available through the OAKS Portal allows TAS to practice setting up practice test sessions and can be used to administer the practice test to students -The following slides will walk you through the steps of creating sessions, approving students, and monitoring student progress through the TA Interface.

9 TA Interface, cont’d Create and Manage Test Sessions OAKS Online
List of available tests automatically displays upon logging in and remains on screen while monitoring students Select the tests for inclusion in the session and click [Start Session] System generates a Session ID that students will use to log in Test sessions automatically expire upon TA logout Sessions cannot be resumed Students may resume a paused test in any new test session that includes the applicable test subject and grade Example: TA creates a test session for students on Tuesday. To resume testing on Wednesday, the TA will create another test session for students to resume testing -Creating sessions is simple. As soon as TAs log in they are presented with a list of tests. All they need to do is select the tests to be included in the session and click Start Session. -The system will then generate a Session ID that students will use to log into the test session

10 TA Interface, cont’d Student Test Settings and Approvals OAKS Online
Approvals Preview (right) allows TAs to see students that need to be approved while monitoring test progress The complete list of students awaiting approval will display on a pop-up screen -As students log in, they will appear in the top right corner of the TA interface. This list will automatically update as students log in, or the TA can manually refresh the list by clicking the “Refresh” button. -To review and approve students to start testing, click on “Approvals.” This will bring up a pop-up screen that displays all students waiting for approval. The system will allow the TA to approve all students. However, to avoid accidentally giving students the wrong test (an impropriety), it is strongly recommended that TAS review individual student names and test settings before approving students to test. -To review student test settings for a student, click on the “See / Edit Details” button for that student.

11 TA Interface, cont’d Student Test Settings and Approvals, cont’d
OAKS Online TA Interface, cont’d Student Test Settings and Approvals, cont’d Clicking the “See / Edit Details” button will bring up the list of all test settings in place for that student. Editable test settings include language, print size, color choice, and computer-based read-aloud. From this screen, the TA can also see but cannot update the Print on Request restricted resource settings for a student. This setting can only be updated in TIDE by a DSA or DTSA.

12 Student Test Settings Language English Spanish Braille OAKS Online
Important: Language setting must be set before a test opportunity is approved to start. Once approved, language cannot be edited! Language Configurable by test subject via TIDE (but can also be adjusted in TA Interface for that specific test opportunity) English Spanish Mathematics, Science, Social Sciences, and Writing can be administered in side-by-side English-Spanish For Grade 3, Reading can be administered in Spanish only as a native-language assessment (this is not an English-Spanish side-by-side test) Braille Mathematics, Reading, Science, and Social Sciences can be administered in Braille Directs Student Interface to the Braille Interface -It’s essential that TAS verify the language setting before approving a student to start a test opportunity. Once a test opportunity has been approved, the language for that opportunity may not be edited. For students who need access to Spanish or Braille, accidentally approving a test in English could mean the student loses that opportunity. -Grade 3 Spanish Reading is not a side-by-side assessment. TAs should be careful to ensure that the language is set appropriately before approving students to take this test. -If Braille is selected as the language, settings for Emboss Request Type and Braille Type are automatically displayed and will also need to be verified by the TA. Part VIII of the Test Administration Manual and Appendix B of the OAKS Online User Guide provide additional information about the Braille interface of OAKS Online. TAs administering OAKS Online through the Braille interface must receive Braille interface training from ODE in addition to test administration and security training.

13 Student Test Settings, cont’d
OAKS Online Student Test Settings, cont’d Computer-Based Read-Aloud Computer-based read-aloud allowable resource available in English for OAKS Math, Science, and Social Sciences; available in Spanish for OAKS Math and Science Recommended for use with Windows 7 or Mac or higher for optimal results (note: Spanish computer-based read-aloud requires purchase and installation of Spanish voice pack) Headsets USB headsets encouraged Ensure sound works with headsets on each computer prior to testing. The student login screen contains a diagnostic tool to verify that audio is working within the secure browser. The student will also be prompted with a sound-check as part of the approval process. English computer-based read-aloud uses native voice pack built into the computer’s operating system. For Windows, Windows 7 provides optimal voice pack. For Mac, Mac 10.6 provides optimal voice pack. Spanish computer-based read-aloud is also supported for Math, but computers do not have native Spanish voice pack built in. This means districts must purchase and install an external Spanish voice pack to use this feature or use the Spanish voice pack available for download

20 OAKS Online Test Administration Monitor to ensure that students only have access to the allowable resources listed in appropriate content-area Appendix (Appendix C – F). If breaking up the test into multiple sessions, allow students to finish all presented items on the screen before pausing the test. If students pause the test for more than 20 minutes, they will no longer be able to return to previously answered or marked items when they log back in. -Students may not access any materials not explicitly identified on the content area-specific allowable resource list. In particular, be aware that students may not access materials such as class notes, electronic translation devices, or cell phones during testing. -When pausing a test to resume later, allow students to finish responding to the items presented on the screen before pausing. For security reasons, this is particularly true for items associated with a reading passage. Any notes or printed passages/items must be collected and securely destroyed by the TA between sessions.

21 OAKS Online Do’s and Don’ts Do’s Do use the TA Training Site and Practice Tests to become familiar with both the TA and Student Interfaces before testing begins Do review the OAKS Online TA User Guide for descriptions of all features of the TA and Student Interfaces before testing begins Do review Appendix B and the applicable subject-specific Appendix of the TAM before testing begins Do carefully review student settings for each student before approving them to test This user guide details a number of enhancements and changes that have been implemented for the OAKS Online administration.

22 Do’s and Don’ts, cont’d Don’ts
OAKS Online Do’s and Don’ts, cont’d Don’ts OAKS Online users must not share their login information and passwords, even with other authorized users. Do not use last year’s OAKS Secure Browser. Old secure browsers should be uninstalled before installing the new secure browsers. Do not approve students to test until you are sure the students are taking the correct test at the right time. Do not let tests linger; they will expire after 45 calendar days. Secure browsers are now available for download on the OAKS Portal. -Carefully check student settings before approving students to begin testing (e.g., language, print size)

23 OAKS Online Promising Practices Before the start of the testing window, the district exposes students to the online test environment using the practice test site. The district uses the practice test to identify students who may need accommodations to fully access the online test. The district restricts students who should not use the system from accessing the online test. -Practice tests include grade/subject practice tests for Math, Reading, Science, and Social Sciences. -In addition to assessment accommodations, OAKS Online includes system features such as Spanish side-by-side, zoom, color contrast, and item-level print-on-request to provide students with greater access to OAKS Online. -Students taking OAKS Extended must not access the Online test for that subject-specific test. The practice tests and Training Site are now available at the OAKS Portal. The practice tests and training site reflect enhancements to the OAKS Online system that will be in effect for the school year. Please remember that the practice tests are only available using either the secure browser or Mozilla Firefox. The following Practice Tests are available: Math, Reading, Science, Social Sciences, Writing, ELPA (now a single test containing both ELPA segments) The Computer-Based Read-Aloud feature can be enabled on Math, Science, Social Sciences, and Writing tests. Additionally, the OAKS Online Braille Interface can be enabled for students taking the practice test in a proctored session. Note: Students accessing the Braille Interface must use a Windows 7 machine that has JAWS12.
