2 Why now is a great time to be involved with Payroll Giving
Year Number of Donors Gross Donation 2010/11 720,000 114,000,000 2011/12 735,000 118,000,000 2012/13 1,022,000 155,000,000 In 2012/13 Donations made to charity through payroll giving reached a record £155m * Over a million people are now signed up to Payroll Giving 2012/2013 was a record breaking year for payroll giving as the benefits are becoming more widely recognised by the government, us as charities and our supporters. The government has also recently released their plans for continuing to improve payroll giving following the consultation. The aim is to further improve administration, reduce the amount of time it takes for charities to receive donations and enhance data management. These efforts show that Payroll Giving is becoming one of the most simple ways to make a real difference. With this, it is now more important than ever to recognise our supporters gifts through our thanking to ensure they feel valued and continue to donate through their pay. There was a 39% Increase in participants making use of the tax-free method of donation

3 Materials To help organisations and their employees, we have simple guides that are available on our website. Once they have donated, we send them a personalised thank you letter To help promote Payroll Giving we have a leaflet and postcard Our main ways of communicating with our payroll giving donors is through our employee and employer guides available to download from our website. The guides offer a simple overview of what payroll giving is, how to set up a scheme and why it is an effective way of giving for businesses, their employees and charities a like. We then have some promotional materials including a leaflet a postcard that can be used to promote payroll giving as a method of donating so our donors feel supported through both the set up and promotion of their scheme. Once a supporter has signed up, they receive a Welcome Pack with a personalised thank you letter to recognise the importance and value of their gift. Following this, they receive an additional thank you at Christmas and a copy of our annual review so our supporters are up to date with our yearly progress.

To help promote Payroll Giving to individuals we have a leaflet poster and card *Our bespoke PG info includes the following: For individuals – leaflet with form/deskdrop/postcard/posters. These are distributed/used by us directly in response to RFIs/by PFOs/by our in-house teams/at Corporate events For Employers – employer guide/info online/FAQs sheets/Proposal templates and How to guides for Corporate Account Managers Donor Journey - Once a supporter signs up, they receive a Welcome Pack Once they have donated, we send them a personalised thank you letter, leaflet, newsletter and survey

5 Key Areas to Focus on Ensure you have a process in place to thank new donors. Be aware there are outsourcing options for your thanking if you do not have capacity in house. Data is king! It is vital to record your donor information on your CRM system and aim for more consistency and higher quality supporter information. Aim to capture NI numbers, Employee numbers, s and telephone numbers where possible. This will enable you to develop and identify your donors in the future for upgrades/reactivation/cross sell opportunities Ensure you have some basic promotional materials offline/online. Update your online pages when possible to make them more engaging. Include a PG form in your induction pack for new starters. Build relations with internal teams with a view to developing cross sell opportunities for PG – create internal champions and educate them. This will all help to enable better donor stewardship as well as improved evaluation of donor recruitment.
