28 Appendix F: Patron Visits
Reports Library Reports Statistics Library Statistics Statistics Snapshots View today’s checkouts—Go! Control A Control C Open Excel spreadsheet Paste into cell A1 Scroll to bottom to see total circulation for day Delete last to rows Delete top two rows Delete the following columns: Call #, Barcode, Title, Patron Barcode Data Highlight Time and Patron Name columns Remove Duplicates Uncheck Box A

29 Appendix G: Student Access Percentage
Run Detailed Report Student Circulation by Homeroom (See Appendix D ) Divide number of patrons circulating for the time frame selected by number of patrons in a homeroom class

30 Appendix H: Lost Book Costs
Library Reports Title and Copy List Title from AAA to ZZZ Show titles with "lost" copies Output as Microsoft Excel. When you open it highlight the Date Lost column and sort A- Z (yes expand the selection) I gave myself a full calendar year window for this one as well.  Delete the rows that are outside of the year.  Delete any items that are not books.  You can also remove any that say "fine was satisfied" if that money goes back to you.  Add the price of the books in the copy price column.

31 Appendix I: Weeded Book Costs
Reports Library Reports Weeding log When it asks for a time period I used a full calendar year.  (Ex. 11/3/ /3/2016) A list of books will be run with the price attached.  You will have to add it manually.  You can try to copy the PDF and paste it into a spreadsheet then use the Find option and searched for $. It will pull out all of the lines that have the money amount in.  I did not add anything I weeded but did not expect to replace.  For example, I weeded an old set of encyclopedias.  I do not expect to buy a new set, so I did not add the cost of those.  You can use your professional judgement.

32 Appendix J: Email Reminders
Patron Reports Current Check Outs / Fines Choose either All that are currently overdue or All that are checked out.  I used all that are checked out. Choose Notices Continue I unchecked the box about books belonging to other sites.  This is up to you. Choose Homeroom and then select one of your homeroom classes (or if you are sending the whole school on the same day, choose the whole school) Click Distributed via (THIS IS ESSENTIAL) In the message type whatever message you would like parents to see.  Mine is written in English and Spanish in my attachment.  All parents get both versions so I don't have to send different types of reminders. Decide if you want parents to see the price of the book.  Click Save Setup Give your report a name.  Warning: parents will see this name as the subject line of their . Schedule the report weekly and pick the day/time you want it to send (THIS IS ESSENTIAL).  The default time is 8:00 a.m.  Please change this!  Too many reports at 8:00 a.m. interferes with school operation.  I run mine at 6:00 a.m. Save Setup.
