1 Tips for Surviving the Administrative Side of Teaching

2 WHAT IS A NO-SHOW? FOR TRADITIONAL COURSES:
A no-show is a student that has not attended at all (never sat in a seat) FOR ONLINE COURSES: A no-show is a student that has not logged in any hours (0 hours) When thinking if a student is a no-show or not, do not consider completing class work as part of this thought process. We are only checking if the student is in attendance.

3 REPORTING A NO-SHOW Reporting no-shows is required by federal law for financial aid Once the drop/add period is over, our office will send an reminding you to report your no-shows with complete instructions No-Shows are entered in MyCSU Under Midterm Grading you will enter PR for present or NA for never attended A follow-up is required after reporting a no-show. Track the student for attendance If the student has exceeded the attendance policy and if your course adheres to the attendance policy you will complete the Excessive Absence Form (grade of “FA”) See the attendance policy R 10 for more information: ( Sometimes students are removed from your roll; but not always If a student starts attending after you report them as a no-show, you will process a change of grade, changing the student’s status from NA for never attended to PR for present

Choose Grade Entry You will enter mid term and final grades here You will always receive an from our office when grades are due Graduating students’ grades are due 24 hours after the student takes their final exam

6 Awarding a Grade of Incomplete
Complete the “Request for an Incomplete” form The form is located on the Faculty tab in MyCSU under the Handouts link Once the form is complete with all signatures you will forward it to the Office of the Registrar for processing If you cannot attain the student’s signature, that is okay. Send us the form and we will mail it to the student.

8 Grades Changes Grade changes are initiated on MyCSU
A confirmation is sent to you, the student and our office You may request mid term and final grade changes You may request grade changes online for the previous term Any grade change over 6 months must be signed off by your chair Any grade change over 12 months old must be signed off by the VPAA The time begins when the term ends

10 Excessive Absences Academic Policies are on the Registrar’s Office page Excessive Absences Policy Number R-10 25% of the class is missed Mandatory for 100/200 level classes; optional for 300/400 level Enter request for grade of “FA” online (Excessive Absence Form) Confirmation is sent to you, student and our office

12 Withdrawals from your class
A student needs to bring you a Drop/Add/Withdrawal form Sign as the professor; provide the last date of attendance Tell student to see their advisor and then our office to process the form Student will show up as history status on your grade list This is an attempt in the course

13 Common Problems with Drop/Add/Withdrawal Forms
For over 19 hours must get Dean’s signature of their major For over 21 hours must have VPAA signature For time conflicts we need both instructors signatures For missing prerequisites we need the signature of the instructor of the class For full courses we need the Department Chair’s signature For online CAPS classes (end in 45, 46, and 47) we need Dean of major approval

14 Academic Violations Academic Violation forms are found in MyCSU
You may choose to award an F for the assignment or the course For more information see Policy R-58 ( olicy58.php) Sign the form and have the student sign it also; if you are unable to get the student’s signature, please send to our office Student can remain in course if they are appealing Forward to our office for processing You will be notified if the violation prompts a grade of FD (which removes the student from your course)

16 FERPA Protects student’s educational records
Do NOT release any information via phone or (unless CSU ) without a FERPA waiver If a student has a release you will find it on MyCSU Student/third party must provide security question and answer; do not lead them
