Vendor Registration Overview Good morning Ladies and Gentlemen, I am and I am the for the United Nations Procurement Division in New York. And I’m pleased to be here today to share with you how your companies can become a registered vendor with the United Nations. The United Nations Procurement Division (UNPD) is pleased to announce that registering with UNPD is now an fully “On-Line” process. And can be accessed at the United Nations Global Marketplace. We would like to emphasis that the INTERNET has become a powerful tool for the United Nations for reaching out to suppliers throughout the world and we encourage you to use the UNGM and the UN Procurement Division’s website as two portals for important sources of commercial information. UNPD and UNGM have worked together to provide vendors with a powerful yet easy-to-use tool to prepare and submit on-line applications for registration with the Procurement Division.  In addition, the registration criteria has been revised and now allows vendors to select the level of business activity that best matches their capacities,  business scope and commercial strategy. 2 The United Nations Global Marketplace (UNGM)
Why Register? On-line registration Free of charge Up-to-date Information on UN Procurement System Activities Immediate Access to over 19 UN Agencies First of all - you may ask - Why Register? Registration with UNPD on UNGM is the first step to be considered for participating in tendering exercises in an easy and systematic way. Some of the advantages of registering on the UNGM are: 1.On-line registration allows vendors from all over the world to prepare a registration in real-time from their office. 2.Once the application is fully completed and submitted, it is immediately available for UNPD to review with the objective to accept the vendor. 3.There is NO COST to register! 4.In addition, the UNGM is a central platform for the UN member agencies to advertise upcoming business opportunities, requests for expression of interest, and contract awards. 5. There are 19 agencies who maintain a roster on UNGM, however over 37 entities use UNGM as a platform to advertise upcoming business opportunities.

3 Register As a Supplier To register for a UNGM account, please complete the on-line form. On this form you are expected to provide basic company information, indicate whether your company has export experience as well as other User related information. You will receive an from UNGM containing an activation link. By clicking on the link you will then receive a second from UNGM with your User Name and Password.

4 Useful Publications Provides data on United Nations system procurement of goods and services by country of supply. Prior to getting started on your application it is a good idea to conduct some market research on the agencies of the United Nations System. These are some useful publications which will help you to identify and target the specific agencies for your goods and services. Business guide for potential suppliers of goods and services. It describes the procurement needs of all organizations and indicates the dollar value of goods and services purchased during the year.

5 United Nations Global Marketplace (UNGM)
The first time you login you will receive a six digit UNGM Registration Number. Your UNGM number is located at the bottom of the screen. Please record this number as it will be one of the ways UNPD, and other agencies, will be able to identify you when processing your application in the UNGM. Then, click on Complete or Edit your Registration Details.

6 Application Form Steps marked with are required to be completed prior to submitting your application. Once all required information for a specific step is entered a will appear. Registration with UNGM is a 14 Step process. Prior to submitting your application you should have green check marks for all steps. It is important to click on “Save” at the end of each step to avoid losing the information that was entered.

7 Step 1 – General Information
Please enter general information on your company. All fields indicated by a red asterisk are mandatory.

8 Step 2 - Select Agencies Suggestion!
Research the buying profile of the various UN agencies. Select UN agencies whose buying profiles are a potential match to your company’s products and/or services. After your market research you may then proceed to Step 2 to select the agencies that you are interested to do business with. Your UNGM application will be evaluated by a vendor registration officer from the agencies selected. It is important to note that response and evaluation times vary by agency. However you should anticipate waiting an average of 6-10 weeks before you receive a response after submitting your application.

9 Step 3- Agency Questions
Each agency selected will present you with a set of Agency Questions. We will now discuss the Agency Question for the United Nations Secretariat. You are required to download, complete and sign the document and upload the signed document in the required field. A copy of the form will be shown on the next slide.

10 Prerequisite for Eligibility Disclosure Form
The fields on this form must be completed as directed and signed. The Prerequisites for eligibility form is a declaration that the company is not:: on or associated with a company or individual on The 1267 List website or the IIC Oil for Food List website; currently removed, invalidated or suspended by the any UN System Office; under investigation by a government or UN Member State; In the event that you have any information to declare with reference to the points mentioned above, this should be clearly documented and uploaded as a separate document.

11 Mandatory Information
Select level of registration State name of country of origin of the company Indicate acceptance of UN “Net 30 days” payment terms Names of owners and principals of the company Names of intermediaries, agents, or consultants uses (if any) The above information is an integral part of your application.

12 Select a Level of Registration
Companies may select a level of registration according to their financial capabilities. Companies may upgrade to a higher level if a business opportunity arises that requires them to do so. The higher the level of registration the more documentation will be required. Based on their size and capacity companies are required to select a level of registration. Select a Level of Registration: LEVEL 1 Estimated Contract Award less than US $200,000 LEVEL 2 Estimated Contract Award US $200,000 to less than US $1 MILLION LEVEL 3 Estimated Contract Award US $1 MILLION to less than US $5 MILLION LEVEL 4 Estimated Contract Award US $5 MILLION and Above We encourage companies to start at Level 1 unless they are have the capacity to supply at higher levels and can provide the documents required. Over the next few slides we will discuss the registration criteria for each level.

13 Registration Criteria – Level 1
Estimated contract award up to US $200, 000 To be eligible for registration at Level 1, companies must provide: Current certificate of incorporation or equivalent document verifying legal status/capacity. Three letters of reference or a list of 3 clients/companies whom you have done business with during the last year. Please note that all requested documents must be uploaded in pdf-format. Maximum size allowed = 3.5 MegaBytes.

14 Registration Criteria – Level 2
Estimated contract award from US $200,000 to US $1 Million In addition to the requirements for Level 1 registration, the following documents are required for Level 2 registration For Level 2 registration you must provide in addition to the documents required for Level 1: Certificate of quality standards – ISO or national equivalent Audited/certified financial statements for the last three years. Uploaded information must include: Auditors Report Balance Sheet Income Statement

15 Registration Criteria – Level 3
Estimated contract award from US $1 Million to less than US $5 Million In addition to the requirements for Level 1 and 2, the following documents are required for Level 3 registration In addition to documentation required for Levels 1 and 2, you will be expected to upload [read on screen] The following documents are acceptable: Airway bills Bill of lading Freight documents and/or licenses Paid invoices or contract documents Documentation that indicates that your company is a part of a global operation. E.g. Corporate literature that shows global offices in different countries etc. For companies offering services you will be required to provide proof of international assignments. Companies may provide proof in the form of evidence of contracts for services offered outside of the country of incorporation. This may be provided to us in the form of a letter on corporate letterhead providing details about services/projects undertaken abroad.

16 Registration Criteria – Level 4
Estimated contract award US$5 Million and above. In addition to the requirements for Level 1, 2 and 3, the following documents are required for Level 4 registration In order to be registered at Level 4, you must provide all documentation pertaining to Levels 1, 2 and 3 and in addition to this provide the following: Code of Ethics and/or Anti-Fraud Compliance Programme – this is mandatory Optional information - ISO certificate or proof of participation in Global Compact

17 Step 4 – Address Information
Moving on to Step 4 – please enter the business address for your company.

18 Step 5 – Contact Information Enter details for contact persons. This step will apply to companies who have indicated that they have three or more years of export experience.

This step will only apply to companies who have indicated that they have three or more years of export experience.

21 Steps 8-12 Previous contracts with the UN
Disputes you have with the UN Quality Assurance Certificates Trade Organization Memberships Subsidiaries, Associates and/or Overseas Representatives Steps 8-12 are optional steps. Read out the steps

22 Step 13 – Product Coding This is an important step in the application process, where you select the product and/or service codes relevant to the goods and services that you aspire to provide to the UN. UN procurement staff use UNCCS codes to source suppliers for procurement actions but also to express their needs in tender notices. There is a guide to the proper selection of UNCCS codes which can be downloaded from UNGM. It is important to remember that a proper UNCCS Code has should end with 2 or 3 zeros. A further explanation will be given on the next slide.

23 Selecting UNCCS Codes To find a code you can either:
Browse the UNCCS hierarchy manually by clicking on the + buttons and descending through the sections or Click the search tab, enter a search word and click the Search button. To see where a search result fits into the tree, click the magnifying glass next to the code. Once you have selected codes click on the “Save selected codes” button. We encourage you to select as many codes as possible including general as well as specific codes to ensure that you do not miss out on a business opportunity.

24 Final Steps Step 14 – Submit your application
Application review process varies from 6-10 weeks Check UNGM and UN Secretariat procurement notices regularly for new business opportunities. Sign up for the UNGM Tender Alert Service – to receive automatic tender notices to your Inbox. There is a subscription fee of US $250 for this service payable directly to UNGM. Read on screen.

25 Tender Alert Service for Procurement Notices
UNGM offers a Tender Alert Service which automatically identifies suitable opportunities for your company. There is a subscription fee for this and interested persons should complete the subscription form and select the UNCCS codes for which they wish to receive tender information. Please note that all procurement notices are available for free on UNGM. The Tender Alert Service is a a value-added service where the tenders are sent via to your inbox. For companies who choose not to subscribe to this service, we encourage you to check the procurement notices on UNGM weekly to avoid missing out on an opportunity.

26 Finding Business Opportunities UNGM
At any given time you may check the procurement notices on UNGM for business opportunities. Approximately 37 UN agencies use UNGM to advertise upcoming requirements.

Procurement notices from the UN Secretariat can be found on UNGM as well as on the website of the UN Secretariat – see link above. You may refer to either source when reviewing procurement notices posted by the Secretariat.

29 EOI Response Form Interested companies must respond to the EOI by the closing date provided. For clarification - “UNGM Vendor ID Number” refers to your UNGM number.
